Subject: Application for the Implementation of EIS in TPG Telecom
Dear Sir,
I would like to bring your kind attention to the fact that the telecommunication
organization of TPG Telecom is in high need of an Executive Information System to be
implemented in their infrastructure for supporting various business processes and operational
activities in an efficient manner. Although the company is expanding its business horizons by
incorporating strategic business partnerships with the internal as well as the external
stakeholders of the organization, the company is facing huge problems in various sectors.
The company is suffering from financial problems in the aspect of cash flow. The
current asset of the company is much less than the liabilities leading to shortage of liquid cash
to carry out significant operations in the industry. In addition, only a limited amount of cash
is assigned for the quality control issues leading to poor quality of services. Diversity in the
labour culture is also a reason for the turnover of employees at a higher rate.
Hence, out team proposes for the implementation of an Executive Information System
that will monitor the business activities and filter the effective information out of them such
that it can be used for strategic decision making for the organization. It will also help to

Introduction
Implementation of information system in an organization has a positive influence
amongst the departments because it eases out the work processes by automation and reduces
the workload pressure of the employees. Hence, the employees can focus on the core business
matters and develop innovative ideas such that the business evolves at large in terms of both
finance and customer service areas. Innovations in IT technologies also help a business to
make strategic decisions by making use of the regular data that is incorporated in the
organization. Executive Information System is one such system that helps to improve the
functional areas of a business and enhance decision-making capabilities by the managerial
body of the organization (Tole and Matei 2016). This particular system can track the
operational processes of all the departments, manage the human resources and measure their
performance measures. It also can enhance data analysis that will influence the business
strategies at large for gaining a competitive edge in the market.
This report emphasizes on the planning, feasibility study and the implementation of
the Executive Information System in the telecommunication organization of TPG Telecom
that will deal and resolve the issues related to the weaknesses of the organization such as cash
inflow and outflow, employee turnover, diverse work culture, integration failures and so on.
The report also comprises of a cost-benefit analysis and a planner associated with the
implementation of the mentioned system. The positive influence of the system in the
organization is discussed thoroughly. Elaborate explanation is also given about the Software
Development Lifecycle Model that will be used to implement the system. Finally, the risk
and mitigation strategies are highlighted to deal with the adverse situations while using the

system. The telecom industry should grant the proposal of the implementation of such a
system for its own beneficiary purpose and actively involve all the personnel involved in it.
Organizational Overview
Considered as the second largest provider of efficient network services in Australia,
the mammoth telecommunication company of TPG Telecom is still evolving and expanding
its business internationally and coping up with its foreign clients as well as the stakeholders
of various regions across the world. TPG stands for Total Peripherals Group and was founded
by David Teoh in the year 1986 (Gregory 2018). Initially, it was only selling OEM computers
although later on, it started providing services in telecommunications, that is mobile and
internet services to the clients of Australia. Along with telecommunications, it is popular for
its multimedia services too, in the Australian community. It has a client base of 1.7 million
customers from the nation to whom it provides voice, non-voice and data solutions with
effective service from their end. The clients are of diverse range including not only the small
or medium sized enterprises, but also the government as well as the corporate sectors. TPG
Telecommunications also owns a cloud-hosting sector and thus is capable of providing cloud-
based solutions to the various organizations irrespective of their size, small or big. Along
with the cloud-based services, the company incorporates a PIPE network infrastructure as
well as a underground cable network to the regions of Asia, United States and Guam.
The services of TPG Telecom can be classified into five sectors that are accessibility
to Internet, networking services, OEM services, and Mobile services and accounting software
solutions. The company is famous for providing unlimited data plan services allowing for
free downloads as well as unmetered uploads and free viewing od IPTV, another service that
is provided free of cost. The current channels of the IPTV are completely free of cost and the
clients can access to it once the subscription is done. TPG continued to take bold steps by

becoming the fourth largest mobile service provider in the nation and this particular service
would cover 80% of the population of the country. This target was achieved in less than 3
years and helped the company to expand its business at large.
Vision of the Company
The TPG Telecommunications of Australia being the second best in its sector glorifies
in the services they provide and focuses on delivering the most efficient data and network
solutions to its customers. They believe in attending the customers with quality services in
terms of communications and technology at the ultimate reasonable price such that they can
attain customer satisfaction. They also believe in developing innovative solutions and ease
out the business processes by incorporating such solutions in real life scenarios. They believe
in smart work and hopes to build a large customer base internationally.
Mission of the Company
TPG Telecom focuses on the main mission of expanding their customer base and
incorporate various innovative technological solutions for the mutual benefit of the company
as well as their clients in Australia. It also focuses on strengthening their business by
attending the quality issues in the organization and improving their business solutions at large
for the satisfaction of the customers with their services and solutions. Their focus is also to
maintain a beneficial relationship with their business partners and use the maximum of their
resources for making lucrative business strategies for the organization.
Business Clients and Processes
The client range of the company can be categorised into three segments that are the
TPG Consumer, the TPG corporate and the iiNet. Each of the segments as visible from their
name provides services in their own sectors. For instance, the TPG Consumer segment
specialises in providing retail service of telecommunications to the small businesses and

residential customers. The TPG Corporate customers include the corporate offices, the
government sectors and the wholesale customers. The iiNet focuses on providing
technological services to the residential as well as the business clients. The services of the
company ranges from data provision to Internet services, voice and non-voice processes and
lastly the networking capacity of services to its various customers.
Operating Environments of the Organization
The operating environments of TPG Telecom be it external or internal can affect the
organization in both positive and negative ways. The company should assess the operating
environments, identify its areas of strengths, weaknesses, threats and opportunities by an
outline map of SWOT analysis, and create a documenting report based on it.
The company can improve its areas of weaknesses and utilise the opportunities to
increase its points of strength. It should also handle the threats and thus help the organization
to emerge out as an economically successful one. This SWOT analysis will not only help the
company to focus on its areas of improvement but also evolve new strategies for enhancing
the productivity of the organization (Morais 2019). The SWOT analysis should be made by
assessing all the departments of the organization including the finances, operations, human
resources and so on.
Strengths
The major strength of the telecommunication company of TPG lies in the distribution
network of its services amongst the clients of Australia. Although it has a limited number of
outlets in each state, the distribution network of the company is strong enough and thus, is
able to provide timely services to a huge number of clients. The company also incorporates a
low structure of cost for providing its services. This attracts a large number of clients due to
the reasonable cost of the services that the customers can afford easily. The company believes

in building influential relationships with its dealers and thus maintains it with those who not
only supplies them with products but also helps in marketing them to a new customer base.
Due to its diversifying network and low cost of the services, the company has always
maintained a strong financial position and continued to making profit reserves for the future
expenditures of the company. It also incorporates a large base of its assets that help the
company to provide its customers with optimal solution of services. In addition to that, the
organization has a well-functioning website that helps in creating networks through different
customer bases. The company also is able to create a huge impact on the social media that
helps in creating its customer base over online interactions too. Due to the diversification in
its employment, the company incorporates unique and innovative solutions at times that helps
in the evolution of the business processes. The brand image of the company and its quality of
services helps the company to retain its position in the market and influence the customers to
get services from them repetitively.
Weaknesses
Although the company has its strengths, it has its weaknesses too that the company is
well aware of and is focusing on improving its services. Firstly, the company is spending too
much money on the research and development processes for incorporating innovative
solutions while providing services to its customers. The cost due to these processes is leading
the organization at a stage of financial crisis. Secondly, the company also incorporates
additional costs in managing the inventories of its products because it takes much time in
purchasing them as well as selling them in the market.
The company is also a failure in managing its cash flow in the organization and has no
management process in maintaining the flow of liquid cash. This leads the company to
situations where it has to borrow money for carrying out its organizational tasks. The

company also has huge employee turnover that leads to the work pressure of the existing
employees. The employees thus has less job satisfaction and does not perform well in their
services. In turn, the company invests much low costs to attend the quality issues in the
services of the employees. The company also experiences reduction in the efficiency of the
operations because the maximum decisions are centralized and not team oriented leading to
the dissatisfaction of the employees.
Opportunities
The company can find its opportunities in various aspects to increase its business
horizon. The company already has a strong fan base in the social media sites. Due to the
emergence of technologies, E-commerce or online websites are a raging phenomenon for
buying and selling items. Hence, TPG Telecom can earn a huge profit, by selling its products
through online markets. The company can thus mark its presence in both the social sites and
the marketing sites and incorporate huge client base from the Internet (Saroha and Diwan
2017). Due to the increase in the population of the country, the company can benefit more
customers for itself, if it can provide quality services to the existing customers.
The company can hugely benefit by implementing technological developments in the
systems of the organization. This will make sure that the processes are automated and will
thus reduce the costs of the operations at a huge rate. The employees can then focus on core
business operations and invent new age solutions for the customer service. Innovations in
technology will lead to an enhanced data collection that will help in incorporating unique
marketing strategies for the products and services of the organization. The company can also
save its cost if it recruits efficient employees and thus there will be no requirement of
training.

Threats
The major threat of TPG Telecommunications lies in the increased competition in the
market. Other telecommunication companies are providing better solutions at much
affordable rate and this will lead to the loss of customers by the organization, if they do not
take active measures immediately. There is also a loss of suppliers for TPG Telecoms
because the bargaining rate of the suppliers has increased that the company does not
entertain. The change in the taste of the customers is also a threat to the company because
they have to meet up to the expectations of the customer and provide them with satisfactory
solutions (Kaur 2017). Many employees are unable to perform due to innovations in the
technological operations of the company. They are deciding to leave the company. Hence, the
production rate will reduce at large. The suppliers of the company are natives and inhabitants
of Australia, whereas the client base ranges from local to international. Thus, the exchange
rate of the company fluctuates at a rapid rate.
Problems of IT in the Organization
The TPG Telecommunications although are successful in its consistent services to the
customers, yet it has problems within the organization that leads to the inefficiency of its
operations. Firstly, the organization makes centralized decisions by the top-level
management. These decisions does not prove to be effective for the teams and hence are not
beneficial for the work pressure of the employees (McManus et al. 2018). Thus the
companies lacks in making strategies at different levels.
Secondly, the company fails to retain its employees due to the workload pressure as
well as diversity in the work sphere. Since there is a huge employee turnover, the remaining
employees feel demotivated at large. In addition, the management cannot apply employee-
retaining strategies. Thirdly, the company lacks in managing the financial sector and thus

fails to stock liquid cash for emergency implementation of operations. TPG
Telecommunications do not have efficiency in managing its cash by technological
interventions.
To address all these issues, the company should implement an Executive Information
System for solving all these problems at its earliest (Irfan et al. 2018 November). Paylocity is
an Executive Information System software that will help TPG Telecom to incorporate
business solutions for the issues in the organization. This software will help to manage the
human resources and schedule tasks for the employees such that their expertise is properly
evaluated (Soegoto and Luckyardi 2018, November). It can also monitor the payroll system
of the company, thus reducing cost for the organization. Another feature of the software is
that provides cloud based solution reducing the cost related to the management of database
systems. Hence, the Paylocity software will prove to be highly beneficial in generating data
for the organization for proper analysis and thus make decisions for reducing the costs in
different aspects.
Executive Information System in TPG Telecom
The Executive Information System in the telecommunication company will have a
positive influence in the work sphere of the organization and help the company to manage it
operations effectively, on a regular basis (Cassidy 2016). The company can implement this
system by the Paylocity Software that provides optimum business solutions to the
organizations. The software can incorporate data at various levels from which relevant
information can be extracted out. This information will help the senior managerial positions
in making effective decisions for the company (Kamaruddin 2017). The Paylocity software
can be used via mobile thus offering flexibility for the users within the organization to use the
software via their smart devices.

Incorporating such effective software system within the company will help the
organization to reduce its cost at large. The software itself is efficient enough to manage the
payroll system of the company thus reducing labour cost for the accounting system (Rantung,
Munaiseche and Komansilan 2019, December). The software can also handle the core
business processes and schedule the operational activities for the employees of the
organization (Bett, Obura and Oginda 2018). It has automated features of sending emails or
specifying notification alerts that will help the employees to handle issues in any case.
SDLC Model
The TPG Telecommunications to enhance its operational processes in their business
should implement the software of Paylocity in their organization. It will help the company to
addresses the existing issues at a higher rate. The company should first go through details of
the Executive Information System and study thoroughly about the software implementation
in the organization (Eroshkin et al. 2017). It should follow the Software Development Life
Cycle methods while installing the Paylocity Software in the system.
Development and Deployment of the System
Before the development of the Paylocity software, the telecommunication
organization should decide about the objectives of the procedure and need of the system in
the organization. The company should list down the operations that will be carried out by the
software system and customize them accordingly. The software should be able to help the
employees with the core business process and thus reduce the pressure of their workload
(Indriani, Seminar and Sukoco 2019, October). The software should also carry out some
automated processes on a regular basis such that the company can cut down the costs
associated with it that is reduction of unnecessary employees from the organization.

14TITLE
Once the requirement analysis is done about the software, expert software personnel
should make the design layout. They should develop the software for its robust functionality
such the telecommunication organization can benefit from it. They should make a user-
friendly interface such that it is easy to train the employees of the organization about its
usability. The software should be able to provide a scalable performance such that the
organization can look up to it. The system should be developed in such a way; it should
incorporate a cloud database for centralised accessibility and an encrypted network system to
maintain data security and integrity (Marchewka 2016). Once the software is developed, it
should be tested for its bugs. The bugs should be removed if there exists any. Efficient testing
will increase the reliability of the system in the organization. If the system turns out to
perform efficiently with minimal or zero errors, it should be implemented in the organization
to enhance the business processes and retain customer satisfaction.

Post-Implementation Analysis
If the executive information system is implemented in the organization, a thorough
verification should done to check whether the system is providing optimum services in terms
of all aspects or not. It should be able to manage the tasks efficiently and schedule them as
per the need of the organization. The system should be able to generate the payrolls
automatically and generate graphs on the business data (Sulianta et al. 2019). The system
should be modifiable as per the changes of operations in the organization. Post the
implementation, the system should be able to perform its activities robustly such that no
issues occur regarding the tasks.
Project Management, Risk Management and Change Management
Project management methodologies should be applied while implementing the
software system in the organization. TPG Telecommunications being such a huge
infrastructure should adopt project models such as agile development model and implement
the software following the steps of the model (Dasgupta 2017). Agile methods can help the
system to incorporate changes in between the implementation procedure.
Risks might appear while the system is implemented and after the implementation
procedure too. For instance, the system might fail to link with the database that will bring the

functionalities to a half for the operational process. In addition, there can be security risks and
hackers might be able to hack the system if proper security measures are not taken. The
system might fail to perform efficiently after software up gradation (Laval, Cherifi and
Cheutet 2018). The employees might not be able to adapt themselves with the changes in the
business process. The company should assess the risks in advance and take effective
measures like training the employees or testing the software after upgrades.
Changes in the business process are a common factor and the system should be able to
adapt to these changes within no time. The changes in the operational activities should not
affect the functionality of the software (Ma et al. 2018, August). It should be scalable enough
to adapt the business processes smoothly and work accordingly in a robust way.
Conclusion
In conclusion, it can be said that the TPG telecommunications although efficient in its
business processes incorporates huge costs and fails to plan strategic decisions in various
sectors of their business. Hence, the implementation of an executive information system will
be beneficiary for the organization to enhance the business process as well as cut down to
costs to manage the financial crisis efficiently. This report highlights the role of the system in
the mammoth organization and the ways to implement it by following the SDLC
methodology. This will help the organization to handle the existing issues efficiently and gain
a competitive edge in the market.
