Background Information:
Eat Organic Food is the manufacturer of certified organic food. The
organization was first established at the backyard of Ian along with some
unused land of neighbours. The organization has some farm hand for
assisting in farming activities. The organization is currently experiencing
increase in customer base. For managing the business properly, Ian is
looking forward to implement a new information system at Eat Organic
Food. The organization produces organic vegetables without using any
artificial fertilizer or pesticides. In order to prevent insect attack, Ian has
practiced companion planting approach. In addition to that, Eat Organic
Food produce different corps in cycles for attaining good soil health.
The organization does not work as a dealer of vegetables to local
markets. The customer can place orders over phone at least a day
before picking up the products so that product availability can be
managed. The organization manages the food boxes that customer
purchase weekly basis. The customer orders are informed directly to
Ruth. Finally the organization has implemented delivery approach and
appointed Mark and Marsha for delivery. The delivery is done every day,
however, the organization manages the number of trips delivery
personnel make.
The production of vegetables is done under the supervision of Ian and
Ruth handles the customer order and delivery processes.

Business Functions:
Warehouse Management: The system will be responsible for managing
the products in the warehouse. One person will be responsible for
entering the amount of products imported into the warehouse. The
warehouse data will be updated once again when a successful purchase
is made. The warehouse will also manage the availability of the raw
products.
Delivery Tracking: The system will track the delivery for each order.
The delivery will be marked as complete when delivery personnel will
update into the system. Each delivery will be done to the address
provided during order placement.

data flow design, database design and conduct interview. The path
marked in red in figure 1 is the critical path of this project.

Problem Description
Eat Organic Food is facing various problems due to their manual and
backdated processes. The problems are as following.
Eat Organic Food cannot track the orders placed by the customers
Ruth cannot accurately track the payments done by the customer
Eat Organic Food cannot predict the sales of vegetables for
specific months
There is no approach available for tracking the overall process
Ruth cannot properly manage the deliveries of orders

System Capabilities
The propose system will be able to handle most of the organizational
back office processes. The system will have an order management sub
system that can track and manage orders. The system can also
determine the amount of discount to be provided to loyal customers. The
customer relationship management sub system will handle customer
queries. The customer can provide feedback of the service. The CRM
will allow each customer to have account. These accounts will hold the
customer information and purchase history. The issue raised by the
customer will be handled by representative and update will be available
on the account. The CRM will analyse the customer purchase patterns
and generate vital information that can assist in making decision. The
system will also have a warehouse management sub system. This sub
system will handle entire process of warehouse from importing raw
materials to delivery of product. The warehouse system will integrate
delivery processes within itself.
