1 Select a component of an information or knowledge management system with which you are
familiar.
The chosen component is review use of information or knowledge management system.
a) Assess the effectiveness of this system, explaining how you collected the information to
complete the assessment.
This system is very effective because it evaluates the processes to ensure compliance
with the set threshold. Secondly, it ensures that necessary adjustments are made in a
timely manner to avoid further losses in case a risk occurs. The information about
this phenomenon is obtained from performance indicators such as weekly sales.
b) Identify possible improvements that could be made to the system.
The process should be automated so that employees can do self-evaluation as they
carry out their day-to-day chores.
c) Suggest other employees who may be involved in assessing the system and designing
improvements.

d) Write a report summarising your assessment and possible improvements. (1 page)
“Review use of information or knowledge management system” is one of the components of
information or knowledge management system. The information contained in this document is
vital since the managers rely on it to make vital decisions. Managers normally rely on the
established database to formulate policies whose Implementation result into organizational
success. Individuals concerned with this phase of product development have the responsibility to
ensure safe custody of corporate oil that holds the industry firm. Besides, organizational data
needs to be kept safely and only accessible to authorized persons.
According to Zacharewicz et. al. (2017), organizational secrets must be kept a secret unless their
revelation to outsiders is for the mutual benefit for the firm and the outsider. In other words, the

organization must have a reason that is viable enough to let others access its database. Therefore,
all stakeholders must be involved before organizational data is opened for others to read.
This system is important in an organization because it stores information such as, protocol
formulae, procedures and the company’s unique production technology and special talents.
However, the system requires some changes to improve its efficiency. Some of the reasonable
adjustments that can make the system operate at its maximum include;
Establishment of a robust and interactive system in the organization that is capable of
conducting continuous monitoring and evaluation of employees for proper adjustment for
improved productivity (Abu Ghali, Mukhaimer, Abu Yousef and Abu Naser, 2017).
Secondly, there should a proactive approach towards education and training of employees
in ICT department to equip them with modern skills for optimal production of goods and
services.
2 Identify and list three or more members within your organisation who need to use its
information system. Next to each name, record their position and make a note of their learning
needs.
I. Dickens Bobo: Head of human resources department
(has limited knowledge in computer hence requires training to be proficient in electronic
filling of employees data)
II. Mike Bruno: Head of training section. To be trained in human resources management
information system management.
Michael Jordan: Head of Personal Relations department. marketing management system
3 Select a component of an information management system used at your workplace. This may
be a component of the customer relationship system, marketing management system or other
knowledge database.

Identify the resources required to train one of the members you identified in question 2 and write
your answer in table format as below.
Prepare and write a one-page proposal, approximately 400 words, justifying allocation of the

Personnel requirement: To train one person on marketing management systems, the project
requires on instructor. One person who is experienced and equipped with the industry best
practice information is enough to assist an individual. The workforce can be obtained from
within institution to minimize operation (Cong and Li, 2018, November).
Financial requirements: The proposed amount is $200. This allocation has been reached at
ascertaining the resources which were present and the deficit. Since most of the materials to be
used during training were missing, they were to be bought from external sources.
Physical resources: these places are necessary to create a conducive environment as suggested by
Toshima, Suganuma and Takahashi (2019) in their work.
Time: time that will be allocated to this process is only 120 minutes for the learner to finish and
give the learners easy time to ask questions.
4 Create an email, memo, poster or webpage to promote the use of the knowledge management
system. Ensure you explain how all relevant personnel will read the information.
