Assessment Task 2 Instructions
Carefully read the following:
You are a Senior Project Manager of IT Biz Solutions, which offers a wide range of Information and
Computer Technology services to businesses of all sizes.
You have been assigned a new client, Judith Lee, who is the CEO of Boutique Build Australia, based
in Sydney.
Established in 2010, Boutique Build Australia is a small building company specialising in the design
and building of high-quality designer homes for the Sydney metropolitan and surrounding areas.
The company’s overall business objectives for the next three years are to expand into Queensland
and to set up and operate a permanent model home.
The company is currently quite small in size and everyone except for the site managers work in the
same building. At this stage the business is using an old server which often has problems.
Management have preferred not to upgrade their systems as they did not believe it was worth the
expense and everyone just ‘got on’ with any software of hardware issues. Anything ‘dramatic’ required
a tech from IT Biz Solutions to come and address.
Staff have been saving their documentation on their hard drives, which is against procedure. This
process has in some cases led to data loss and file corruption. Recently there was a situation in which
data in a client’s directory was corrupted. This information was being held on one of the Customer
Service Officer’s laptops and had not been copied to the server. The client was not impressed at the
loss of data that they needed to resend to Boutique Build, and they questioned the organisation’s IT
processes. It took some days to obtain information from suppliers and other sources to replace what
was corrupt.
Management realised that this mistake was quite costly in terms of their reputation and the time that
was wasted in gathering all the required information. They decided to contract IT Biz Solutions to
implement new hardware and software, with a focus on applications that will allow the team to work
remotely – as they are looking to expand interstate, they will need effective systems to keep the
business running and keep all staff connected.

2. Review and analyse stakeholder needs.
Read the emails you receive from the Operations Manager and one of the Site Managers
and use this information to determine their needs. Either take notes from the emails or
highlight them on a hard copy. You will need this information for your meeting with the
CEO.
In the current aspect the main needs of the stakeholder are developing an
appropriate information system through which the Boutique Build Australia will be
able to operate the main part of their business remotely. So, a new system
implementation is the main needs of the current stakeholder of this project.
3. Participate in a meeting with the CEO.
You will meet with Judith Lee in person. The purpose of this meeting is to gather
information about Boutique Build’s IT problems and what she would like to see
implemented in the organisation.
You will need to ensure you have gathered the following information from Judith:
The root cause of the problem
Her suggestions on what she would like to see
Any specific needs she requires in relation to this project
Her thoughts on the feedback provided by the two managers
Budget requirements.

The main stakeholders for this project are the CEO of the Boutique Build Australia,
project team of the IT Biz solution, project manager and the IT team.
5. Define the business problem and initial scope.
Now that you have a clear idea of Boutique Build’s needs, complete the ‘Problem
statement’ section of the Business Case. Also return to the ‘Executive Summary’ and
make any further adjustments or additions as required.
Problem Statement:
Currently, the main problem for the Boutique Build Australia is that their current
information system is outdated and they are facing challenges regarding proper management
of the data. Currently, hard drive is used for saving important data which often lead to data
loss or corruption due to the hardware faults. As this is harming the overall reputation of the
organization, they have decided to implement a new system for the which will allow the
organization to work remotely.
6. Identify feasible solutions.
Using the information, you have gathered from your stakeholders, begin your research
and identify a number of solutions that could meet the needs identified.
Consider core technology and digital trends. Complete an option comparison and
document your recommended option.

Solution Approach:
In this case, a remote infrastructure can be implemented through which the users will
be access the organizational data remotely, but for that they have to provided proper
