organizations to create and deliver products and/or services to their
customers?
Procurement processes in an organization helps it to streamline its
processes and apply structured methodologies to save operational costs,
reduce time in executing the processes and enhance relationship with the
suppliers. Procurement processes are beneficial for an organization because,
the activities require an in-depth understanding of the requirements of the
business processes, after which the right kind of supplier is selected that will
periodically contribute to the units to manufacture products as per the needs of
the customer. Hence, negotiating with the most optimum supplier for the best
quality of raw materials and acquiring them will eventually help the
organization to produce the supreme quality of items in order to attain
customer satisfaction. Thus, on the end of the customers they will be the
highest gainer and achieve the products according to their needs if the
organization can maintain an effective procurement process.

Question Two
Explain how the SAP ERP system promotes an integrated approach to
business processes?
Business integration is the combined alignment of the business
processes along with the use of technology to meet the objectives of the
organization, meet the customer expectations and stand against the
competitors. ERP (Enterprise Resource Planning) system helps to attain
business integration by accurately planning the resources for executing the
business operations, provide information to the employees regarding the
execution of the processes and thus automate numerous processes to save
cost and time. With the implementation of an ERP system, the IT department
can ensure security to the information stored in the devices of the organization
and also access data from various other departments. The marketing
department too can share collaborative data that will help them build
innovative strategies. The project management department can execute
automated processes that will help to execute their operations faster. All this
accumulatively done by ERP will help to gain an integrated approach towards
the business goals.
SAP (Systems Application and Products) ERP is a software tool that
integrates the different business modules that eventually covers the
departmental activities in all aspects to enhance the functionality of the
processes. For instance, if a customer checks for a product, it contacts the
sales team who in turn checks with the inventory team to verify the availability
of the product. Unfortunately, it might happen that the product is not available.
However, the SAP ERP software will update the customer about the

Question Three
Explain with an example how Master data differs from Transaction data?
The primary objective of the SAP tool is to utilize data and turn it into
useful information that can be helpful in the business processes. Hence, the
data is classified into two types- the Master Data and the Transaction Data.
Master Data is the detailed data about the components that are involved
in any transactional process of an organization. The personal data about the
vendors, suppliers, organizational members are considered to be the Master
Data. For instance, the name of the vendors, their location, contact number,
address are all a part of the Master Data. Furthermore, the transaction occurs
about the products or raw materials. The specifications or the details about the
products are also considered as Master Data. For example, the size of the raw
materials, their quantity, their material type all forms the Master Data. The main
feature of the Master Data of an organization is that it is not changed
frequently and remains the same for a certain span of time.
On the other hand, the Transaction Data refers to the detailed
information about the transactions between the various parties of an
organization such as the vendors, suppliers and so on. It incorporates all the
business documents that are related to the transactions. For example, the
invoices, pay slips and similar documents can be considered as the
Transaction Data. The Transaction Data is the detailed information about all
the day-to-day transactions taking place in a company. The most important
feature about Transaction Data is that it is hardly constant and can frequently
change depending on the transaction specifications.
