Introduction
Business administration refers to the administration of a business that comprises of
certain aspects that relate to overseeing as well as supervising the business operations along
with other related fields consisting of accounting, marketing, project management, and
finance. The administration of the business comprises of managing the business-related
operations and associated decision making (Waldo, 2017). In this paper business
administration system of two companies, namely, Hire Right and Better Build Ltd will be
discussed upon. Better Build Ltd aims at building and construction work and is also involved
in renovating properties. Hire Right being a recruitment company and thus deals in sending e-
mails, documents, taking online interviews and many more.

1.1.1 How Zoho will benefit Better Build Ltd.?
Better Build is a construction company that offers design, plan, and building of various
construction bodies. Zoho provides certain services such as log management cloud and office
integrator which may help in the business process of Better Build Ltd. If the construction
company uses the features of Zoho, it will be beneficial in organizing their work and
transactions in a better way (Kumar et al., 2016).

There are numerous numbers of features that are provided by Zoho. Among them, there are
certain features such as IT and help desk, human resource and custom solutions which can
be beneficial for the construction company (Shabdar, 2017). Various IT services such as
mobile device management, service desk plus and Finance services such as subscriptions,

invoices, and expense provided by Zoho are relevant to the construction company in certain

Zoho provides good quality software that is helpful for Hire Right in their work (Karami &
Danesh, 2018).

1.5 Summary and Recommendations
Better Build Ltd aims at building and construction work and is also involved in
renovating properties. Zoho applications are classified into three broad categories that are
sales and marketing, email and collaboration and finance. Better Build Ltd carries on many
transactions in their day to day work and these Zoho applications can be of great help. For
example campaigns under the sales and marketing section of the Zoho platform can be used

by the Better Build Ltd to drive the sales as it is e-mail marketing software. Under the finance
section comes the facility of inventory management that is beneficial for every growing firm
to keep a track on the stocks. Under the email and collaboration section the project
management software can help Zoho in managing the big projects by keeping a track, making
plans and collaborations.
Odoo provides facilities such as website apps, finance apps, sales app, operations app,
manufacturing apps, human resources apps, communication app and marketing app. Better
Build Ltd. can make use of the Odoo applications for example the expenses application will
help in managing the expenses of the employees on the online platform. Odoo documents can
be used of in the firm for saving time required to record bills, scanning the contracts,
approving the documents and transforming themselves to a paperless company (Moss, 2015)..
Hire Right being a recruitment company deals in sending e-mails, documents, taking
online interviews and many more. These types of firms require business administration
system and equipments thus Odoo and Zoho can be used in the firms. Zoho has three main
sections that are finance, sales and marketing and email and collaboration. Under sales and
marketing head come forms that can be used by Hire Right to create as well as share forms on
the online platform, configuring email alerts. This will also enable the company to manage
their data with all the available integrated apps.
Odoo can help Hire Right by applications such as Appointments that could probably
help in the scheduling process of the interviews and managing the meetings on the online
platform. Odoo can help the firm in managing subscriptions by the help of its subscription
management facility (Moss, 2015).. Facilities such as recruitment will be of great help in the
hiring process from the initial step of sourcing to contract.

2.1 Implementation of a multifunction printer for Better Build Ltd.
2.1.1 Total Cost of Ownership (TCO) and Cost/Value Benefits:
The overall cost of having a multifunction printer includes the cost for physical
hardware which is the initial price, printing costs that refer to capacity and cost of ink and the
quantity of paper used per month. Consumption of energy is an essential factor related to cost
for the running device. HP A3 multifunction printer has been used (Baumers et al., 2016).
The HP A3 multifunction printer costs $168 and along with the accessories required to install
it the total cost will be around $180. The multifunction printer will be apt for the company
owing to its multiple functions and uses.
2.1.2 Output Quality:
Output quality varies in quality for dots in each inch or DPI which can be printed. The
printer can produce better quality output if more dots are available per inch. Paper
requirements vary for different printers and few printers are suppler with any paper provided
to it. DPI can be trumped by the quality of ink. The HP A3 multifunction printer is known for
its high speed, affordable color and high quality print. Therefore, it will help Better Build Ltd
in printing bills and many more.
2.1.3 Functionality and Features:
The HP A3 multifunction printer can print to the internal storage purpose directly.
Printer drivers are available for many operating systems. Document scanning like encryption
of PDF is secured (Agrawal & Bellos, 2016). The capability of forwarding sent or received
faxes through e-mail. Authentication for the user is present for stored documents.

The HP A3 multifuntion printer includes features such as printing, stapling, copying,
faxing, scanning, hole punching, additional paper trays duplexing, optical character

Implementation of VoIP telephone for Better Build Ltd.
2.2.1 Total Cost of Ownership (TCO) and Cost/Value Benefits:
Phone systems with high quality will cost much higher and are more reliable and need
low maintenance. Managed services provider (MSP) needs to be paid for designing,
deploying and configuring the VoIP system. Costs for data plans a voice are also to be
considered. The VoIP system used is Grandstream GS-DP720. The cost of this is $93 and
TCO that is the sum of Acquisition Costs, Monthly Recurring Costs and Annual Maintenance
Costs is $119.
2.2.2 Call Quality:
Interference is a negative factor of call quality during voice transmission. Equipment
of VoIP Grandstream GS-DP720 impedes with one another producing noise. Frequencies of
IP phones cause intervention with other equipment of VoIP.
2.2.3 Functionality and features:
Features of Grandstream GS-DP720 VoIP include automated attendants, video
conferencing, call recording and voicemail. Providers of the phone system of VoIP provide
abundant VoIP features along with service plans (Benlamri & Sparer, 2016). Few are
designed for streamlining the process of call management and others are used for improving
customer experience.
