Sincerely, Riley Question 12 Patrick Green 44 market street Hometown NSW 2112 Jen Humphries 54 Training Street Hometown NSW 2112 Hi Jen, I'm writing this letter because I really need your help. As You're the only person who knows me better, and I believe you can give me a specific recommendation to solve my problem. Recently I saw an advertise in a paper, which is about offering a free journalism course to 1
the successful applicants. I send them an revert in form of article in this I wrote for the uni student newspaper as it is about the government funding for courses. Anyway, they very liked it, but as there are only five places for which they want a reference as well. I haven't given them your name yet, as I expect this would be the first reference you've been requested to give. Is it OK if I sent them your phone number. I think they want contact you so they can have a proper conversation with you and find out all information about me! I know it's been a while but if you could do it, it'd really help me out. I've got a newphone number,(02) 42 95 96 97, so you can get me on that, and my address is always the same. Hope to heard good from you. Regards Patrick Section 16 Question 2 S Smith 16 Lighting Road, Lancaster, NSW 2222 Date: Subject: Aim to inform about the bad delivery service facility provided by the company. Dear Mrs Smith, As a potential customer of your company I have always enjoyed the services provided by your company but recently I have been facing a problem in delivery of the product. The manufacturer for the product and service recently facing a Bankruptcy problem therefore we need to search new manufacturer in a short time so there will be no delay in production process. To add in this some of the employees are taking off from the job due to their personal reasons which I found difficulty in managing all the things. I have found the one manufacturer by my own but they are not working at cheap price, but their services are even better from the existing one they also have the espresso coffee machines. This changes will be relevant for the potential customer. The new manufacturer has the big contracts with the other suppliers in the market therefore it implies that we have to make one large order in every 3 month instead of ordering monthly. Therefore because of this you must have to make the order in the 3 month so that you will receive the services at a time. I know that you always proceed to make order in a month but you must have to adapt the changes. You are requested to lodge your order on the basis of quarterly so there will be no ambiguity. Also you are requested to note this in your reminder so that you will not forget to order advance in 3 month. Thanking you Yours Sincerely Dave Wright 2

For example – petty cash might be used to buy the milk for the lunch room, or pay couriers when they arrive. All “petty cash” expenditure ends up being processed in the businesses expense accounts like all other purchases, but there is also the additional system of how to account for the petty cash float (formally called the petty cash imprest) and the petty cash expenditure and top up. Petty Cash Float In the petty cash system the petty cash tin is given a starting cash injection called a “float” eg $200. At the end of each week or month the person looking after the petty cash tin writes all expenses paid for by petty cash for that time into a petty cash book – keeping a running total of how much of the $200 float is left. At the end of that period, you only have $15 left. You then must reimburse the pretty cash to bring the balance back to the $200 float amount. This is normally done by cashing a cheque. This is called the “reimbursement cheque”. Each month different petty cash expenses are claimed; therefore the reimbursement amount will be different. 4
Petty Cash Rules Most businesses establish rules for both the processes that must be followed when using petty cash and what staff are allowed to use petty cash for, and when approval is required. The following is an example of the approval rules that might apply: Only the Receptionist is to access the petty cash tin The maximum amount to be claimed for any one purchase is $50.00 All claims must be work expenses – there is no personal use of petty cash allowed Office kitchen supplies (not available through the purchasing system) such as milk can be purchased with petty cash. Employees may obtain the necessary cash from petty cash before the purchase but must provide the receipt and change upon conducting the purchase Staff meal allowances are NOT to be paid from petty cash as they must be pre-approved Example Problems with Petty Cash Claims that will not meet the Criteria (petty cash rules) Rules are applied to the use of Petty Cash. If an expense has been incurred through Petty Cash that is outside the rules it should be referred to the supervisor for action. It may be that the rules are varied to allow such future claims, or more stringent checks put in place to prevent this use of Petty Cash. Cash Imbalances From time to time the physical cash float will not add up to the same amount as the calculated cash on hand. The obvious first step is to check both again by: 1.Re-counting the physical cash and 2.Checking that all receipts are listed in the petty cash book and 3.Checking the amounts are correctly recorded and 4.Checking the addition in the Petty Cash Book. 5
In the absence of finding a clerical error, the answer will be that there has been a cash error. This may be due to a range of reasons: Incorrect cash given Incorrect change given Lost receipt Businesses would normally then create an accounting transaction to record the “lost” money. Commonly a voucher would be created that is debited to an account that expenses “cash balancing errors”. Then the vouchers will all add up to the physical cash amount. The reimbursement check can then be processed like normal, and the float brought back to the correct amount. Imbalances should be reported to the supervisor, and large imbalances will typically be investigated.
