Businesses often have on hand a “petty cash” tin or drawer from which
small cash payments are made. For example – petty cash might be used
to buy the milk for the lunch room, or pay couriers when they arrive.
All “petty cash” expenditure ends up being processed in the businesses
expense accounts like all other purchases, but there is also the additional
system of how to account for the petty cash float (formally called the
petty cash imprest) and the petty cash expenditure and top up.
Petty Cash Float
In the petty cash system the petty cash tin is given a starting cash
injection called a “float” eg $200. At the end of each week or month the
person looking after the petty cash tin writes all expenses paid for by
petty cash for that time into a petty cash book – keeping a running total of
how much of the $200 float is left. At the end of that period, you only have
$15 left. You then must reimburse the pretty cash to bring the balance
back to the $200 float amount. This is normally done by cashing a cheque.
This is called the “reimbursement cheque”.
Each month different petty cash expenses are claimed; therefore the
reimbursement amount will be different.

Petty Cash Rules
Most businesses establish rules for both the processes that must be
followed when using petty cash and what staff are allowed to use petty
cash for, and when approval is required.
The following is an example of the approval rules that might apply:
Only the Receptionist is to access the petty cash tin
The maximum amount to be claimed for any one purchase is $50.00
All claims must be work expenses – there is no personal use of petty
cash allowed
Office kitchen supplies (not available through the purchasing
system) such as milk can be purchased with petty cash.
Employees may obtain the necessary cash from petty cash before
the purchase but must provide the receipt and change upon
conducting the purchase
Staff meal allowances are NOT to be paid from petty cash as they
must be pre-approved

Claims that will not meet the Criteria (petty cash rules)
Rules are applied to the use of Petty Cash. If an expense has been
incurred through Petty Cash that is outside the rules it should be referred
to the supervisor for action.
It may be that the rules are varied to allow such future claims, or more
stringent checks put in place to prevent this use of Petty Cash.
Cash Imbalances
From time to time the physical cash float will not add up to the same
amount as the calculated cash on hand.
The obvious first step is to check both again by:
1. Re-counting the physical cash and
2. Checking that all receipts are listed in the petty cash book and
3. Checking the amounts are correctly recorded and
4. Checking the addition in the Petty Cash Book.

In the absence of finding a clerical error, the answer will be that there has
been a cash error. This may be due to a range of reasons:
Incorrect cash given
Incorrect change given
Lost receipt
Businesses would normally then create an accounting transaction to
record the “lost” money. Commonly a voucher would be created that is
debited to an account that expenses “cash balancing errors”.
Then the vouchers will all add up to the physical cash amount.
The reimbursement check can then be processed like normal, and the
float brought back to the correct amount.
Imbalances should be reported to the supervisor, and large imbalances
will typically be investigated.
