Task 2
2.1 Provide MetaSoft with TWO different approaches to providing office automation to

their staff.

Cloud computing plays an effective role in providing automation to industries. Office automation

is quite specific to the organizations. In the modern surrounding, this industrial automation

occurs at varying levels of the stack. Automation process includes technologies that are

combined with intention to achieve the targets in the more effective way (
Hosseini & Hosseini,
2016)
. There are several approaches to staff that the organization utilized through office
automation, some of these are provided below:

Training existing staff automation approach
: The staff members are not familiar with the
different computer languages and they do not have knowledge related to updated technologies.

The organization need to provide training. This automation approach is necessary for the

productivity and proficiency of staffs. The flexibility and competencies of the employees are

increases with the help of this approach (
Bhuyar & Ansari, 2016).
With the office automation, the retrieval and processing of information also become easy. The

60% time of the staffs is indulged in communication functions that would be facilitated through

this approach.

Automated assessment approach
: This is an approach that uses cloud computing for the
computing implementation of complex tasks. The staff assesses their work capabilities and sees

their scheduled tasks which they need to perform and this approach helps in increasing

sustainability in surrounding.

2.2 Outline the major benefits and issues with each approach.

Benefits of the automation approaches discussed above are as follows:

The faster and easier automated assessment approach helps in effective utilization of the
staff’s time. This assessment saves time as well as their efforts (
Hosseini & Hosseini,
2016)
.

The approach through which the training is provided to the staffs help in increasing their
extent of skills and understanding related to different business functionalities.

These automation approaches boost the staff's confidence level and help in performing
their duties in a more efficient manner.

The effective processing of information and communication proficiency is improved with
the help of office automation (
Bhuyar & Ansari, 2016).
2.3 Provide a summary of your advice to this company along with your recommendation

about which option to choose.

As per my viewpoint, the company should transfer its energy extensive components at cloud as it

will help in processing a large amount of organizational data in a more efficient manner. I would

suggest that company should provide adopt training existing staff automated approach in order to

train their employees regarding their work and enhance their knowledge related to latest

technologies and more.

Task 3
3.1 Describes the difference between infrastructure provided using an IaaS provider and a

platform provided by a PaaS provider in a public Cloud. You will need to discuss the

critical differences, issues and factors, other than cost, that MetaSoft will have to consider

in choosing to migrate their Web infrastructure to either an IaaS or a PaaS service

provider.

With intention to keep the data centres running, MetaSoft Ltd. utilizes physical liked fibre

cables. The data centres are located in Melbourne and Sydney, Telco copies the data between

centres regularly.

Analysis:
This table provides an effective analysis of IaaS and PaaS services. IaaS is the
preferred service model utilized by MetaSoft from providing services to its clients. This

organization has migrated their current infrastructure onto cloud. It helps in increasing the

scalability and accessibility of the resources. The cost and budget required in purchasing the

infrastructure are least expensive.

Problems associated with the IaaS and PaaS

The IaaS could not be utilized because of the following problems:

1.
The proper maintenance of server and accountability of user clients is an issue and for
this purpose, there is the need of technical expert.

2.
As it is not possible that each and every application has suitability and adaptability to
work upon cloud that depicts the feasibility issue with the IaaS model.

3.
Another problem is Vendor lock-in and inappropriate network connectivity.

4. Slow and steady innovation is also an issue with this model as the business development
and customer attraction could only be achieved with the innovative aspects of the

implementation of projects.

5.
Slow pace of creation and innovation
6.
In case of IaaS, the basic requirement is maintenance of server and the user needs to take
the accountability of hardware and software. Vendor lock-in situations are other problems

related to IaaS.

7.
Cloud feasibility is not with every application. The software upgrades need to be
provided and server

There are some of the issues in PaaS which are as follows:

1.
Maturity extent is less and it requires a separate written section for virtualization.
2.
There are issues related to flexibility and portability.
3.
There is the requirement of dedicated server for the implementation and execution of
application.

4.
Moving to cloud is difficult and there is risk related to security when cloud storage is
provided.

Task 4
4.1 What are the major differences between the models IaaS, PaaS and SaaS?

MetaSoft should utilize SaaS for providing services to its clients as it is simple and easy. The

users are not responsible for the software updates, installation and server maintenance

(
Marinescu, 2017).
There is the great difference between the models of IaaS, PaaS and SaaS models that are

analysed below:

When to be used The SaaS model
could be utilized

when working on a

small project that

requires

collaboration. The

applicants who

require both the web

as well as mobile

access use this model.

When the server

issues need not be

handled, this could be

used (
Martens, et. al.,
2012)
.
It can be used when

there are several

developers working

on the same project.

If the speed and

flexibility are needed

for the entire process,

then this model could

be used.

When the resources

like time and budget

requirements are not

sufficient, then this

would be preferable.

With the

organizations having

varying demands,

they can go for this

model. When the

demand is not clear

that due to its higher

flexibility, it cloud be

employed.

4.2 Recommend the model that you consider most appropriate for this service and discuss
why this model is the most appropriate for the SharePoint service.

Currently, the MetaSoft Ltd is using physical field like fibre cable with intention to keep their

data centers connected. The data centers of this organization are situated in Melbourne and

Sydney which are maintained by Telco (
Almorsy, et. al., 2016).
The SaaS model is considered to be the most appropriate model as it has high scalability and

flexibility. The migration of their current infrastructure onto it is the suitable decision through

which they can access their resources quickly. This model is most appropriate for the SharePoint

services because of the following reasons:

The moving of SharePoint 2013 instance to the cloud with the use of SaaS model is
preferred because of its high accessibility and scalability through which it provides

services to the users in remote or overseas location. The remote hosting of server help in

providing remote services.

The model is utilized as it consumes less time and budget for managing and upgrading.
The responsibility related to the maintenance of server need not be taken care. User
clients do not have responsibilities related to software and hardware that makes it more

suitable to be used for providing services to the clients (
Hashizume, et. al., 2013).
The connectivity of internet is always available and there is a central management that
effectively allocates the resources as well as provides the services efficiently (
Kavis,
2014)
.
This SaaS model is recommended to the MetaSoft Ltd. as it is suitable for providing remote

services to the clients. The availability of internet connection, central management and

unaccountability of maintenance of server, hardware or software makes this model effective.

Therefore, this needs to be utilized by MetaSoft for providing the services and moving

SharePoint 2013 to cloud in order to enhance accessibility (
Hashizume, et. al., 2013).

4.3 What are the most likely problems that MetaSoft will encounter with the model that
you recommend? How would you advise MetaSoft to deal with these issues?

According to
Martens, et.al. (2012), There are some problems associated with the SaaS model.
This model has been recommended for moving SharePoint services to the cloud but despite

several advantages, there are some of the risks which are associated with this model that will be

further discussed.

Issues with the SaaS

Issues related to the dependability of internet need to be handled with the proper and
high-speed connectivity of internet with intention to amplify the services.

It has been found out that the testing controls are not effective while using SaaS model.
It has low performance than the On-system application that needs to be amplified.
Other issues linked with this move to cloud SaaS services are issues related to data
security are privacy is a major problem. Lack of interoperability and benchmarking is

also a problem associated with these services (
Almorsy, et. al., 2016).
Advising MetaSoft to effectively deal with SaaS issues

With an intention to deal with these issues of SaaS services, the security techniques like

cryptography algorithm and two-factor authentication techniques need to be implemented for

ensuring the security and privacy of information stored in cloud.

The high-speed connectivity of internet and its availability should be ensured for maintaining the

performance of services. The security mechanism like multi-factor authentication techniques,

cryptography algorithms, anti-spoofing methods ensures the security. With the implementation

of interoperability, portability and other standards, vendor lock-in situation could be reduced to

some extent. It is to be advised that security at the cloud server need to be amplified and the

vendor lock-in situation need to be reduced. The interoperability and benchmarking should be

implemented efficiently for building the trust of the clients. The strategies should be made for the

effective maintenance of application and server (
Kavis, 2014).
23
Document Page
Conclusion
This report concludes that training existing staff is an appropriate office automation approach

that would amplify business benefits and reduce staff turn-over rate. The competencies improved

with the automated approaches would be beneficial for the organization as well as for the staffs

too. It has been suggested that MetaSoft should utilize SaaS service model for moving the

SharePoint to the cloud. It has been found that interoperability and accessibility help in reduction

of vendor lock-ins situations. This research report has covered the aspects that are related to the

transferring of IT infrastructure and resources of MetaSoft Ltd. to the cloud with intention to

reduce the complexities in managing the data. The enhanced scalability and accessibility would

be achieved through this action that might involve some risks related to security. For future

work, security aspects would be focused on implementing security techniques with intention to

reduce pitfalls of service models and amplify its effectiveness in business functions.
