3COMMUNITY FIT BUILDS FOR FITNESS PROJECT
Introduction
This report depicts the role and essential importance of project management practices to
implement a community fit building for fitness. This building will be executed by covering a
small building with a size of around 4000 sq ft. in Atlanta. The exact location of the fitness gym
is 1785 Metropolitan parkway, Atlanta. The fitness programs that the gym will provide for the
clients are aerobics, zumba, kickboxing, sin cycling etc.
In order to initiate the project some specific actions are required in terms of market
research, procurement plan, advertising, renovation and styling, staffing and the grand opening.
Each of this project development activities are needed to be successfully followed and
maintained by the project team members and the project team associated to accomplish the
community fitness gym building project.

Project in scope
In order to initiate the community fitness gym opening project a contractor will be hired
to provide the proper landscaping services. The contractor will track the progress of the project
and make sure that, it will be completed within accurately time of 18th April and budget of
$50,000. The scope of the project is to conduct a research first followed by market research,
vendor selection, business planning, interior design planning, exterior design plan, site proposal

kickboxing. After that, the detail project procurement plan will be created followed by selection
of the location, business registration, heath permission, gym equipments installation and
purchasing renovation materials. The interior of the gm is very essential to attract clients from
different locations. In order to promote the project advertisement is the best option. Posters,
flyers, social media are the different platforms to be used to promote the fitness gym. The project
will be completed with a grand inauguration of the fitness gym.
People who are interested to become a member of the fitness gym will need to pay an
amount of $70 every month as the membership cost. In order to design and implement the
project successfully within proper time and pay some project management prcatices are needed
to be followed in terms of scope management, communication management plan, Responsibility
assignment matrix, project priority matrix, risk management plan WBS, project schedule budget
plan etc.
Project out scope
The project is just about the initiation and after the successful initiation hw to run the
project is not a part of this project. In other words the project is just about to facilitate all the
activities unless or until the gym will open.
Project objectives
ï‚· The objectives of the project are as follows:
ï‚· To open a fitness gym in Metropolitan Parkway, Atlanta within a budget of
$50,000 and $85,000
ï‚· Though no specific timeline is allotted for the project but the project is expected
to be completed within 18th of April, 2020

ï‚· To provide all the possible fitness facilities to the membership holders
Project deliverables
The project is comprises of some small phases to breakdown the large activities into
small. It will help the project manager to manage the project team associates and the project
activities as well. It will also make sure that that the project team would be able to accomplish
the wok within assigned timeline and cost of $50,000. After the gym interior will be completed,
in order to promote it different promotional platforms will be used such as social media, poster,
banners, flyers etc.
Project milestone
The major milestones of the project are as follows:
Milestone 1: Completion of market research
Milestone 2: Project procurement stage- purchase the supplies
Milestone 3: complete the building renovations
Milestone 4: Launching the advertisement campaigning
Milestone 5: Completion of project staff obtaining
Milestone 6: Garand opening of the fitness gym
Project constraints
The triple project constraints considered for the project include time, scope and budget.
The total budget estimated for the project is $50,000 and the budget is allowed can be exceeded
upto $85,000 but not more than that. The project time baseline is not estimated in that way but it

is expected that the project will be completed by 18th April, 2020. The other constraints
considered for the project are selection of proper vendors because the project will not be
identified as a successful one of proper goods and services are not avail to refurbish and renovate
the fitness gym. Apart from that, selection of proper location to construct the gym and
consideration of proper pre construction activities to make sure that the project will implement
properly is the other essential deliverable for the project (Kerzner 2017). Resource management,
communication management and responsibility distribution are the other necessary activities
essential for the successful delivery of the project.
Technical requirements
Technical and non technical requirements are the two other important part of the project
deliverables. In order to construct the gym the space distribution is very important for the
individual 4 classrooms. All the equipments needed to complete the fitness gym construction
work are part of the technical requirements. Apart from that, in order to track the membership
card holders a server will be maintained. It will keep the security of the gym and restrict
unwanted entries.
Reviews with the customers
The project holds both the internal and external customers. The internal customers will
check the entire project before the final grand opening and the external customers are the
ultimate customer or the members who will join the gym with membership cards. If positive
reviews come then the project would be executed and if not then before final execution some
change management options will be considered and incorporated. The main concern of the
customer reviews are to check that whether the customers will get the desired deliverable or not.

Responsibility Assignment Matrix (RAM)
RAM is also known as RACI matrix. In order to initiate and complete any project in
proper timeline and budget it is very essential for the project manager and the project team
members to divide the large project into small segments. As soon as the large project will be
break down according to skill, knowledge and experienced individuals should be allocated to
different activities (Ahmed 2019). The RAM are used when decision making and approval
processes are found holding the project, when there are chances of conflict occurrences, when it
is found that project work load is very huge and responsibility fulfillment is little difficult.
The role and responsibilities are distributed among the resources followed by the decision
making. The matrix shows a clear mapping based on who are responsible. Accountable,
consulted and informed (AlFaki, et al. 2016). The acronyms of each of the letters are used in the
RACI matrix. The RACI matrix for the fitness gym community projects are presented in the
tabula format in the below section:

The people who are responsible for some of the activities are always focused to complete
the project within the give deadline and budget. For each activity atleast one responsible party or
person is required for but more than one is assigned for this project. The person who is
accountable for the project delegate the work and it is the last one person who reviews the
activity and the project deliverable before the final completion.
For this project the responsible person are not accountable. Only one person Corkeala
Bowens, the Project Manager is accountable for the activities. It is not necessary that every time
the, accountable person will be the project manager but for this project the accountable person is
the project manager. It has been found that in order to strengthen a project it is very essential to
review and consult the project activity. For this particular project also, consulted parties are
hired.
The consulted parties are typically that person who gives input to the project depending
on how the project will impact the future project work. Though, this project will be closed with
the grand opening only after that, how the fitness community gym will be running is not the part

of the project. For this project, the project manager, team leader, business analyst, accountant
and the research analyst all are consulted for different project development activities. The parties
who should be informed are the project team members (Heagney 2016). In order to complete any
project it is very essential for the project team members to be familiar with the project objectives,
deliverables and goals.
The RAM helps to set out proper expectation for the distributed project roles and
responbilities. With the help of this project multiple numbers of members will not require to
work on a same activity (Demirkesen and Ozorhon 2017). It will encourage all the stakeholders
and project team members. It will help the project team to work followed by the gives
responsibilities and make sure that the project team will work as per the expectations.
Project Priority Matrix
Project priority matrix is referred to as one of the most widely used project management
tool. In order to stay organized and complete the community fitness gym building project in time
and budget it is very essential to use this tool. The project stakeholders will use to priority matrix
considering three main project elements in terms of time, price and performance (Kerzner 2017).
The ultimate success of fitness gym building project will be measured on the basis of
performance or scope, price or budget and time or schedule. For different projects the
interrelationship between the elements are also different.
Constraints: The actual project parameter is fixed that are the budget, scope and time. In
other words, the project manager must arrange the activities in such a way so that it gets
completed within time, budget and followed by the pre set project scope.
Document Page
11COMMUNITY FIT BUILDS FOR FITNESS PROJECT
Enhance: The criteria that has to be optimized is measured by the given scope of the
project. For this project in case if cost and time enhancing time and budget means the project is
adding more values.
Accept: The accept parameter identifies the criteria that is tolerable and allowed to even
not to meet the actual parameter. While the trade off is made it is found that for the fitness gym
building project schedule slippage is permissible (Fleming and Koppelman 2016). For this
project no specific timeline is given only it is exerted that the project should be completed within
18th April. The schedule slip is allowed for the project to control the budget and the scope or
performance.
Time Price Performance

Accept
The above table portrays the priority matrix for a community fitness gym building project
in Atlanta. The assigned project manager Corkeala Bowens is allowed to take different
advantages for all possible opportunities and to make sure that the project is completed before
18t April without any delay (Meredith, Mantel and Shafer 2017). The budget estimated fir the
project is $50,000. However, during progress of the project the budget can be exceeded and the
flexibility of budget extension upto $85,000 is given to the project manager. At the same time it
is not expected that the performance of the project is comprises anyway.

Communication management plan
Communication is referred to as one of the most essential knowledge area of project
management. For the community fitness gym building project also it is very essential to establish
proper communication. Accurate communication will only ensure that all the project team
members and stakeholders are informed and aware of the project status. The communication
management plan for the project is elaborated in the below section:

For this project verbal style of communication is adopted instead of non verbal
communication. The communication channels to be used to transfer information from one party
or stakeholder to anther are emails, face to face meeting and contact via mobile phones. Proper
communication among the project stakeholders is very essential for the project to avoid risks like
overrunning budget, over allocation of resources, over running time schedule etc (Senaratne and
Ruwanpura 2016). Each of the project team members will take part in the communication and
share their point of views regarding the project elements. Apart from that, period team meetings
will also arranged for the involved members to share the current status of the project and also
about its progress.
Verbal communication will be used here because it saves time and cost both and gives
quick response on particular situation. This style of communication is powerful, flexible and
effective and also more reliable than any other. Open verbal communication gives a common
platform to the project team members to share ideas and creative project planning approaches.
Proper communication is also required during advertising and market analysis (Butt, Naaranoja
and Savolainen 2016). For social media marketing proper communication is very important to

read the expectation of the customers from the gym. It is also helpful to avoid team conflict and
misunderstanding.
Conclusion
The discussion concludes that, in order to complete any project accurately the above
mentioned activities are very essential to maintain properly. There has to be project scope
document and the scope statement should be shared among all the project team members and
project manager. In order to complete the project the different project management practices are
incorporated. Accurate style and flow of communication to share information among the staffs,
proper risk management plan to avoid future risks, a RAM to distribute responsibility among the
staffs, project priority matrix to prioritizing tasks, WBS to breakdown the large project into small
segments and a project schedule to track the project activities and its progress. It can be said that
if the above planning stages are properly followed then the team would be able to build the
fitness gym within budget and cost.
