Introduction
This document outlines the proposal for a database application system by giving the background study
of the Shelby company which is in need of the database application
Background study
The proposed database system is for a company called Shelby that deals with selling of motor vehicle
spare parts to customers. Shelby receives the motor vehicle spare parts from different suppliers and
then sell the spare parts to the retail customers. The company has a store which makes orders to
different suppliers. The supplier receives the order and makes a supply depending on the order placed
by the store, each supply has different items that make up the supply. After receiving the spare parts
from different suppliers, the company sells them directly in their store to interested customers who
have to visit the store.
Problem statement
Currently the company has no management system that can be used to manage and record information
generated from various business activities that it undertakes on a daily basis. The company is relying on
manual methods of data recording. An example of a common method in use by the company is use of
spreadsheets to record data. Use of spreadsheets is proofing to be a very helpful method to the
company as it helps them record all the data. However, this method is becoming tedious and inefficient
due to the quantity of information handled by the company on a daily basis. Recording all the data
especially on a busy day becomes tedious for the employees. Another problem with use of spreadsheets
is reporting. Spreadsheets do not generate the required reports that can help in making managerial
decisions that can help improve the business and assessing the overall growth of the business.
Proposed solution
The management of Shelby Company has agreed to purchase a new information system that will be
used to record and manage all the data in the company. The proposed solution is a Microsoft access
database application that will make it easy to record data and generate different reports from the
recorded data (Ebsen, 2016). The application will record all the suppliers that make supply to the
company and every supply made by any supplier. The application will also record any sale done to a
customer. The company is not interested in the list of customers as many new customers visit the store
everyday but every sale should be recorded. All these data will be used to generate various reports like
the list of suppliers, supplies made in a month, daily sales reports, and monthly sales reports among
many others.
Conclusion
When the new database application is implemented by the Shelby Company it will help the company to
record and manage data thus reporting will be made easier. The reports will be useful in many aspects
of assessing the business processes of the company
