a) To: The employees and the members of the Turkey Farmers Association of Australia

d) Subject: To discuss and find out the solutions for the Australia-wide media campaign
2) Objectives and background – I am the President of the Turkey Farmers Association of
Australia. I have seen that there are some issues regarding the communication of new campaign
that is about to take place. The Turkey Farmers association of Australia is looking for stating a
new campaign where they would be asking all the Australian customers to start consuming
turkey everyday as this will be a very innovative and healthy approach. The main motto of this
campaign will be to increase the sale of turkey and turkey meat products not only during the
month of Christmas but during all other times of the year. Apart from this, this will also be a
very innovative and smart approach from the side of the company as they will be able to start an
all new health conscious approach for their customers. However it has been seen that in order to
make sure that this campaign is being successful, there has to be a proper marketing campaign. It
is through these advertisements that people will be able to know about the need for responding to
this new campaign. However there are some problems or gaps in the communication process like
lack of clarity in understanding the message, hesitant nature of the members, conducting the
meetings on a regular basis also becomes tough as the members of the Turkey Framers
Association of Australia are ,located all over Australia. There must be some solutions in order to
make people aware about the advertisement campaign.
a) Describe the communication audit process –
Identifying the framework-Information about the company was taken in order to understand
the scope of the communication and what the organization is trying to achieve. The
organization is trying to resolve the communication gap in order to make sure that all the
members of their organization can take part in the ad campaign of the new project.
Discovery process-Being the President I have undertaken a thorough research and got this
result that there has to be interviews and meetings conducted so that I get to know about the
actual problems that are being faced by the members.
Distillation-In this process I have selected the actual problem that needs to be resolved
Interpretation-I realized that there is a communication gap among the employees. It is for this
reason that the communication system has to be improved properly.
b) Specific purpose-The specific purpose is to improve the communication about the ad
campaign related to the turkey consumption.

c) General purpose –The purpose in general is to identify and analyze the gaps existing within
the in internal business communication process. The other objective was to suggest measures that
would help in dealing with these problems.
3) Problems
a) Problem one—quantitative and qualitative significance
All the decisions that are being made are not being communicated to the members at the
same time. As a result of this, it is really becoming very tough for all the members to
understand and respond to the changes at the same time. This has to resolve because
unless all the decisions are being forwarded and explained to all the members at the same
time they will not be able to respond them. quantitative- Surveys have been distributed
among the members and it has been seen that the members are not giving positive
responses. Qualitative- Interviews were conducted with the departmental heads and the
supervisors in order to know if there are really some issues in floating down the decisions
or the important messages that are being formulated in the company.
a) Problem two—quantitative and qualitative significance
As the members are scattered all over Australia, it becomes a very big problem for the
messages to be forwarded to all the members at the same time. Quantitative- Surveys and
questionnaires have been distributed to all the members and the responses say that they
often face trouble in reaching out to one single place for the meetings. The qualitative
significance of these problems is that the interviews have been carried on by conducting
the face to face interviews. The interviews have been conducted with the supervisors.
They are of the opinion that it is very tough for them to make sure if all the members
working in all the branches of the company have been able to get the news.
b) Problem three—quantitative and qualitative significance
The emails that are sent are also not profession al in nature. As a result of this the members are
not able to make out the problems or understand how to respond to it. Quantitative significance-
Surveys and questionnaires have been given to the members. The results are mainly indicative of
the fact that they are facing problems in receiving the information that is being made at one
single branch of the company. Qualitative significance- Supervisors and the departmental heads
have been called for interviews. They are of the opinion that they are facing a lot of problem in
the format and the professional content. The students who are working as interns or the other
staffs have also complained about the salary that they are getting.
4) Action steps to solve the problems
a) Problem one
There must be proper notifications given to the all the members prior to the implementation
phase of the decisions. This will prove the fact that company is concerned about taking into
