INTRODUCTION
Effective communication can be specified as a key interpersonal quality as well as
learning which prescribes the manner in which communication can be improved. Further it also
provides details regarding the benefits which can be attained through same (Arnold and Boggs,
2015). Present report initiates with the discussion of three kinds of communication models i.e.
revolves around the Johari Window, Communication style questionnaire and Assertive
questionnaire. Further, the communication issues faced by the students have been diagnosed with
DISCO model of communication. As it the most convenient approach for analyzing as well as
enhancing the qualitative difference while interacting with society (Bays and et.al. 2014).
SMCR Model of communication has also been discussed in the report with all its subparts
including attitude, listening, knowledge, structure etc. The report ends up with an action plan
which specifies the skills which are not developed in appropriate manner and the manner and
time required for improving the same.
QUESTION 1
Diagnosis and Reflection
The Johari window
The Johari Window model is used to enhance mutual understanding and relationship
amongst members of a group (Sullivan, 2013). It focuses on improving communication weakness
of individuals through self-awareness (Berger, 2014). I have chosen the fourth Quadrant because
it completely relates to my communication skills that include latent abilities and experiences
which are not known to me. My latent skills in communication were quite superficial and are
positively influencing my behaviour to a great extent.
Communication style questionnaire
In accordance with Braithwaite and Schrodt, 2014 this questionnaire is specially designed to
discover how competent a person is in talking with different groups. I am unable to express
myself in front of small groups of people who are known to me. This questionnaire has helped
me know my latent capabilities of communicating with a group of strangers; it has also assisted

me in representing my communication skills and utilising them to the best of my capabilities
(Cahn, 2013).

Assertiveness Questionnaires
Various kinds of behaviours, that a person displaysin different conditions are dealt by
Assertiveness Questionnaire with great effectiveness (Cobley and Schulz, 2013). In accordance

The model identifies internal communication strengths and weaknesses along with the
things which prove to an opportunity and threat (Derlaga and Berg, 2013).Thus, by undertaking a
SWOT analysis of my communicative skills I have found that my major strength lies in my
excellent communicative skill of problem-solving; by detaching from the situation and then
viewing it as a whole. My area of opportunity lays analytical dedication towards rational
objectivity rather than being subjective or ambiguous. There is always consistency in the method
of problem-solving.
DISCO model of diagnosis

The DISCO (Diagnostic Interview for Social and Communication Disorder) model is a
suitable approach for ascertaining the differences which a person encounters in social interaction
(Gallois and Giles, 2015). It is through this model, that I discovered I am uncomfortable in
talking to any individual and group that is known to me. This model also assesses the situation in
which the individual is tending to overt behaviour. Thus, in short, the model is concerned with
all the aspects of individual’s social communication and also prescribes ways of developing the
lacking skills.
Part B- Findings from the tools
Theorists form of communicators are said to be perfectionists who organize their
conversations into meaningful context (Greene, 2013). I feel myself to be very keen about
systematic thinking through principles and assumptions. I possess effective and efficient
decision-making skills. I didn’t know that I can talk in a small group of strangers. This was latent
till I discovered this talent by giving a try.
Part C-Key Communication Issues
The major issue is that I am not good at speaking with people I know. I can’t express my
ideas in front an acquainted audience. Another issue lies in that I don’t feel very comfortable in
saying “no” to people asking a favour. Therefore, I am not able to respond to many people. My
weakness is that I can never deny somebody asking a favour whereas I am hesitant to ask a
favour from anyone else. The only thing is the lack of confidence I suffer in talking to someone
known. This can also be developed if I focus on improving the skill. I also lack qualities of
public speaking because of the fear from the large audience. The main purpose is to develop my
public speaking and getting more comfortable while talking in front of people who I know.
Part D- Professional Interactions
Classroom Sessions- During my classroom sessions, in spite of having doubts in the topic
taught I was not able to clear my doubts with the lecturer. It is there I that I was very timid and
really need to put a lot of efforts in order to improve my communication skills.
Communication with viewers during Seminar- While back in my college seminar, I was
to a present a short discussion. Although, I had a good sense of knowledge I was not able to
answer the audience of their doubts due to my inability to communicate because of the language

issue. I was retting and was ashamed that I was not able to express my views to the audience.
After that incident, I learned that I really need to work over my language.
QUESTION 2
With the change in technology, there is an inclination in the mode and method of
communication. In accordance with views of Hall and Davis (2017), in recent years, the
development of web-based technologies, provide an opportunity to various novel skills for
communication. These modern technologies of virtual communication can be used for various
types of communication ranging from personal to business. Public speaking is a major issue
faced by students and many other people. Another main issue which has been found in the
communication process is the good listening. The hearing is easy but listening is tough as it
involves understanding what is being heard. Active listening is a special communication
skill,which can be attained only by gaining interest in the words of the speaker. I have found that
my skill of good listening was greatly supported by the SMCR model.
Key models and theories for developing communication skills
SMCR model
The SMCR model is divided into various elements, which are organized in an appropriate
process which includes attitude; hearing; knowledge etc ()Kurtz, Silverman and Draper, 2016.
The model is most appropriate for a theorist type of I am, communication can be said as a
creative and dynamic procedure which has a great level of consistency all through the
conversation. In accordance with the study of Henderson and Mathew Byrne, (2016) this model
focuses on various parts of communication starting from Source to the receiver. Each part is
separately emphasized as to improve the overall quality of information.

Transaction model of communication
Another important model of communication was formulated by Barnlund; this mainly
stresses on the simultaneous engagement of individual in sending and receiving of messages.
This model views communication as a transaction involving an entire process of sending and
receiving messages (Mohla and Schwartzberg, 2016). Commutation, according to this model
takes place through a proper mode of communication which is the main aspect in this model
(Mcquail and Windahl, 2015). The transaction completes only when the speaker receives
feedback from the listener. This model is highly useful in public speaking.

Theories of Interpersonal Communication
Theory of Internal Personal Communication is applied for evaluating the major elements
in communication for the purpose of developing mutual relationships through conversations.
There are four theories specified for the same-
The system perspective focuses on maintaining interactive relationship by emphasizing on
important aspects such as repeated and non-repeated dealings (Stacks and Salwen, 2014);
Politeness theory emphasis on the manner in which speakers should maintain sense of
desired public image;
Social Exchange theory assesses relationship on the basis of exchanging information that
tends to hold some value to the other person (Mohla and Schwartzberg, 2016).
Reward and dialectical theory emphasis on the various methods available to the speaker
for dealing with contradictions faced during communication.

Developing Conceptual Perspectives
The literature available on organisational leadership as sufficiently documented the
importance of skills of oral communication in the present scenario. Professionals in the field of
public speaking have described major technical skills needed for an effective public speaking. In
accordance with the study of Sullivan, (2013) it has been depicted that it is the speaker’s
professional role which affects the performance of public speaking. For being efficient in oral
communication like that of public speaking, it is necessary to develop enough confidence for
presenting one’s thoughts and emotions. This can be achieved only when the person is prepared
thoroughly with the content and is capable enough of sending it in the same sense to the public in
which it is intended to be. The speaker should have clarity of objects he wants to achieve through
his speaking. Some of the conventional aspects that are required to be developed for
interpersonal communication are:
Managing visual contact with the audience.
Maintaining the charisma all throughout the conversation.
Coherent non-verbal behaviour including well-managed gestures and body
language.
Organizing the message in a systematic manner.
The interpersonal relationships can greatly improve the entire communication process
especially the component of active listening. If (Mohla and Schwartzberg, 2016) the speaker
holds a good rapport with the listener, the listening will automatically become proactive.
Generally, people tend to avoid words of people they dislike. On the other hand, the speaker
himself must be receptive towards the views and opinions of the other. Active listening includes
total concentration so that the conversation between individual and group takes place as desired
(Stacks and Salwen, 2014). The other concepts other than active listening are which should be
considered for assessing the efficiency of quality of communication: the communication must be
free from any external interruptions.
BehaviouralPerspectives of communication
The eminence of public speaking can be enhanced only when the speaker is confident
enough to express his views to the public who may or may not support the views. This can be
achieved through practising the content of communication; this will highlight areas which are

weak and in which there is a scope of improvement. Another alternative for developing the
quality of speaking in front of a group can be participating in various debates and other programs
which involve an active speaking by the individual. The individual should also seek genuine
feedback for improvement in future. By assessing oneself from other’s point of view can lead to
improved communication in the future. Continuous reassessment of individual’s performance
assists them in improving their skills.
Active listening requires listening for content, intent and feeling of the speaker. An active
listener reflects his interest to the speaker through non-verbal cues and various questions. Thus, it
can be concluded that for the purpose of enhancing active listening, it is essential to ponder on
the words of the speaker for understanding them with clarity. In case of communication-related
to business, managers must listen to the ideas presented by the employees’ ideas to guide them
further. This is only possible if the manager has appropriately listened to the employees. The
behavioural variants which should be emphasised for enhancing the skill are:
Suitable body language and gestures.
Avoidance of any type of interruptions
Showing interest through eye contact and facial expressions.

My action plan towards developing my weaker areas in communication will be as

Continuous assessment of various literature available on developing communication
skills (Journals and books available in this regard) in which I lack like speaking in front
of a group of acquaintance and spontaneous communication. I will also focus on essential
factors required for improving skills like public speaking by sharing emotions with the
public; attitude required at various places; different intonations of voice to be used in
different situations. Since it is very necessary to enhancethese specified skills also.
It will practice on a continuous basis, as no specified time can be ascertained for being
efficient in skill regarding speaking in front of the group. As the more one participates the
more he gets confident.
I have planned to join communication course to improve my existing skill of
communication. It will take two months to complete foundation course after that I will be
able to communicate in an effective manner. Further, I will also re-examine the extent to

which my skills have improved through seminars and programs which I will attend
during my learning period.
I have found myself excelling at some of the communication skills like decision making
and analysing the content; but as there is always a possibility of improving the existing
skills with zero chances of mistakes.
CONCLUSION
The above report assesses the importance of effective communication in thelife of an
individual. Further, DMCR model can be said as the most appropriate model which can be
applied of followed for developing the communicative skills as the same focuses on all related
variants of communication also such as attitude, behaviour etc. Further, it can be concluded that
active listening is an important variant of effective communication. As it not possible to react
and reply in the manner required till one listens in appropriate manner. The action plan can be
referred as theappropriate manner of improving the skills in which one is lacking as it comprises
the manner in which one can improve the same.
