Introduction
This report aims to discuss the process used by the hospital management and organization to
introduce health information technology. The health care department in the present time is adopting
newer technologies to make their working fast and proper; the development of new information
technology is very beneficial for the nurses. Easy Patient Lifting and Moving Technology, Virtual
Treatment Technology, Doctors' Consultation App, and Electronic Health Record technology are a
few examples of developed information technology adaption in the present healthcare sector
(Berthelsen et al., 2015).
This report will analyze the adaption of Electronic Health Record technology in a famous Ear,
Nose, and Throat (ENT) hospital, established since 1915 by auto pioneer is a leading healthcare
provider. This report will discuss planning procedures, issues faced in the internal and external
environment of the organization, steps taken by the project head to train the employees about the
uses of technology and the impact of the innovation on the working and process of the organization.
EHR is a well-known and most adapted technology hence employees have a brief idea about the
technology but practical implications can lead to issues hence this report is based on the discussion
of important steps followed by the hospital management for successful introduction and adaption of
technology.
Organization overview
Henry Ford Health System Hospital is a famous hospital, performing many operations in the field of
ENT and cancer treatment. It operates its functions for all adult age groups, services availability of
hearing issues, smelling issues, and tasting issues is served in the hospital. Big 900 bedded building
with the developed adaption of operation technology, Intensive care Unit and a big staff of ENT and
Cancer specialists, general nurses, Night shift nurses and other employees in the other planning and

development department including from the front office department it has approximately 150
healthcare volunteers (Hospital & Us, 2020). Some medical shops are available on the premises of the
hospital along with a food court supplying the quality food for the patient and family members
(Berthelsen et al., 2015).
Outpatient Department (OPD) timing of the hospital for the ENT consultation is for 6 hours a day,
starting from Morning 09:00 A.M. to Afternoon 03:00 PM. Presently hospital registration for the
new patients and old patients record maintenance is handled by the front office staff and medical
billing staff on the paper record and storage. Facing several issues with the patient's similar name or
with similar prescriptions, management thought to adopt an Electronic Health Record system in the
hospital (McEvoy et al., 2018).
Health Information Technology
Major hospitals in the United States are adopting technological innovation in their systems to make
the work easy and flawless; nurses according to the guidelines of the American Nurses Association
are required to understand about the new technological innovation in the field of patient care and
handling (Blumenthal & Tavenner, 2010). Hence, the introduction of EHR in Henry Ford Hospital
will make the following changes;
Electronic Health Record system application
The higher authority of the hospital planned to introduce the EHR system in the hospital, this
system will use CureMD Software. This software is useful to perform various functions like
recording the patient record of the new patient entering the OPD, maintaining the billing system
with the daily basis activities, maintaining inpatient records with proper medical records and history
of the patients (Berthelsen et al., 2015). Following features made the project head to use the

Relevancy of the technology
EHR technology in this hospital introduced with the application of CureMD software is relevant to
the issues faced by the ENT specialist, front office staff and higher management. These issues were
relevant to the day-to-day activities of the Outpatient Department and Inpatient Department
(Blumenthal & Tavenner, 2010).
Hence, the project Head suggested including HER technology. Relevancy of the technology can be
understood as it helps to manage the day-to-day health care activities from registration of an OPD
patient until discharge from the hospital. Many issues are usually in the health care like privacy and
safety issues, well-maintained record can help the hospital to manage the issues with the
identification of the reason behind the issues and can solve the issues very effectively (Berthelsen et
al., 2015).

the procedure of the hospital to make it advanced and progressive (Dasari et al., 2016).
Suitability of the Technology
EHR Technology adapted in this hospital is very suitable because it contains the use of well-
developed and high-quality software. CureMD software is easy to install, in the computers and it

works as a mobile app for the consulting doctors to maintain and use patient case history, it helps
staff to record patient identity and manage easy appointment booking for the next meeting (Dasari
et al., 2016).

Physical Exam: CureMD EHR technology facilitate the physical examination doctors a
simple and understanding language, with medical language translator and medical drawings,
helps to the OPD and Inpatient department doctors to describe the issues to the patient very
clearly and to operate these issues very carefully in proper medical guidance (Ben-Assuli,

ENT Image Management: It allows the Otolaryngologists to examine, upload and test the
demonstrating Otolaryngology image diagnosis.
Device Compatibility: EHR system allows the doctors to interface the medical device,

Recalls-Reminders: EHR system has the technology to use a two-way communication
method to remind the patient about the appointment and meeting, a record of the health care
record allows doctors to recall the medical history in Inpatient Department (Dasari, Garbett,

New technological development and innovation in the technology software in the nursing
department are helpful to manage the patient and population record. EHR is a systematic electronic
collection of patient health records to increase quality care services in the hospital but it also allows
the patient to claim proper security about the case history of the patient. It tracks down the real-time
patient conduction with the graphic images deeply describing the proper condition of the issue in
the patient and the impact of the treatment (Falen, Unruh & Segal, 2011).
Role of stakeholders
Stakeholders in Henry Ford Health System Hospital play a very significant role in the
determination of any changes in the operational activities of the organization; groups of
stakeholders in the hospital are group of employees, nursing staff, and top management authorities,
patients as internal stakeholders and other external stakeholders, and interface stakeholders (Falen,
Unruh & Segal, 2011).
Internal stakeholders
Internal stakeholders of a hospital are a group of employees, nursing staff, top management

direct role in the determination of any change and vice versa. Implementation of the EHR system in
the hospital will affect the role of these internal stakeholders in the hospital (Jha et al., 2009).
External stakeholders
External stakeholders are suppliers, competitors, medical representatives, special interest groups,
communities, societies, and Non-Government Organisation, these are not employed in the hospital
but affect the changes and functions of the hospital. Adaption of EHR, in the hospital, will affect the
competitors by increasing the competition in the field of health care services (Jha et al., 2009).

Interface stakeholders
Interface stakeholders affect the organizational activities internally and externally, trustees and
senior representative management staff of the hospital come into these groups. Henry Ford Health
System Hospital has senior representative management staff to control the activities and changes in
the hospital (Falen, Unruh & Segal, 2011).
Training for the change
Replacing the Paper-Based practices in the organization, hospital staff can face issues in using the
new EHR system in the organization. Proper training and session provided to the hospital staff and
employees to use and implement the EHR system. EHR system with the CureMD Software is easy
to use and apply in the organization but habitual to use the paper-based working employees will
face difficulties in adapting the changes, and this change is related to their day-to-day activities
hence they need to train by the senior staffs (Klubert & Black, 2018).
Tanning sessions are free of cost by the software companies, providing EHR supporting software to
the hospitals. Hence senior staff can arrange these demo sessions for the employees to understand
the use of technology-based Electronic Health record system application, doctors can also take help
to manage the patient record and communication history about the diagnosis, revenue and billing

Security issues with the technology

Security issues about the patient record confidentiality with the EHR system are very high,
technical uses sometimes make the task challenging, hacking the computer system and installation
of viruses from the remote server can leak patient data, hospital record and many other confidential
information about the hospital security (Simborg, 2010). Updated versions of the installed software
can cause high cost of purchasing and training with the installation charges hence management
thinking to introduce the EHR need to plan and train employees about the secure implementation
and transfer of the information within the organization and out of the hospital department
(Vermeulen, 2015).
Legal and ethical issues
Health care department activities base on trust and confidential relations, medical staff aware of the
security measure can perform these functions effectively, but technical issues and or any machinery
issues can lead to legal issues. Every equipment, machinery or technologies used by the hospitals
have legal implications, any breach with the patient's safety and security with the system include
criminal and civil penalties for the medical staff and organizations (Falen, Unruh & Segal, 2011). A
hacked computerized health record system can lead to misuse of patients’ record and this is a big
issue. According to the health care ethics and legal principal, nurses engaged in the patient health
care activities are legally bound to answer the patient and his family because maintaining the health
record with proper security is an essential part of their duties (Vermeulen, 2015).
Technology fund management
Introduction of technology in the Henry Ford Health System Hospital, require financial investment.
Fund required for the purchasing, implementation, installation require sufficient amount from the
management and after installation of the Electronic Health Record System will require training
sessions for the employees and this will need investment from the hospital authority. Fund required
to meet the development in Henry Ford Hospital is raised by administrative department of National
Institute of Health. Technology keeps changing with the development of time hence it also requires

the development and software update which also cause investment, managing these all fund can be
raised from the investing stakeholders, shareholders and managing organizations of the hospital on
regular basis (Vermeulen, 2015).
Impact of the technology
Any change in the organizational process in healthcare affect the organizational environment in
positive and negative manner, any change introduced in an organization face issues from its internal
stakeholders and lead issue at the time of implementation. These challenges and impacts are
supposed to be faced by the organization while introducing the adaption of technology of EHR in
the hospital;
Impact on the staff
Nurses and other staff can adapt the change, as it will make their working easy, fast, and
customized. They will face issues in the adaption as it will be a new thing but proper training and
development session from the supportive staff will help them to use the implemented information
system (Falen, Unruh & Segal, 2011).
Impact on the patients
Paper-based working is very time consuming and less reliable for the confidential, developed
technology of electronic health record system will decrease their waiting time and fast billing
system will create positive impact over the patient family this will lead the positive profitable return
for the hospital (Wright, Aaron & Sittig, 2016).
Impact on the authority
A well-maintained healthcare system is profitable for the organization, patient satisfaction with the
services leads to the increase in the visitors and the goodwill in the industry, an ideal hospital has to

will lead to a successful return to the hospital authority.
Innovative Aspects of the System
This innovative system planned by the project head and senior management of the Henry Ford
Health System Hospital is very useful. Electronic Health Record system includes Electronic
Medical Record system and Practice Management of the healthcare-related activities of the hospital.
Digitally available data about patient healthcare will help nurses to examine patient issues deeply
(Zhang, Liu & Xue, 2013). EHR system with the developed software in the hospital has following
innovative aspects in the system;
Utilization of technology innovation
Electronic Health Record systems use updated software and sharing technology to fast sharing of
the information within the organization, it keeps updating with the developed innovation to manage
proper working of the electronic system (Yuan, Dudley, Boscardin & Lin, 2019).
Promotion of evidence-based practice of technology
Evidence-based nursing and health care activities and services are possible due to the adoption of
technological innovation in health care. Record maintaining activities, electronic and digital data is
assured for safely recorded for a very long duration and it remains unchanged after saving. Hence
lead the evidence-based practices of the nursing profitable for the hospital staff, nurses and patients
as well (Yuan, Dudley, Boscardin & Lin, 2019).

From the post of project head in the Henry Ford Health System Hospital , the following
recommendations are useful with the introduction of the EHR system,

organization to introduce the changes in the system. Fund management for technology innovation is
a very important step hence financial management team needs to concern the proper budget about
the potential expenses in the implementation of the technology. EHR technology has a very
profitable return but the negative point with the misuse of patients' confidential information remains
questioned every time from the patients, hence nurses and other staff need proper training about the
ethical and legal duties they need to perform. Proper maintenance of the system with technological
innovative software needs regular updating in the system hence the IT department needs proper
concern over the technological management of the system. Employees and other stakeholders need
to aware of the uses and profitability of the adapted technology.
Conclusion
This report is based on a detailed analysis of the introduction of information technology system in a
health care organization. The health care sector is facing technological innovation in the present
time, and adaptions of these developed technologies give profitable returns to the hospital and
health care centers. This report discusses the adaption of Electronic Health Record System, in an
ENT hospital, naming Henry Ford Health System Hospital . Findings suggest that the decision to
adopt the technology is very challenging for the staff, but the higher authority assumes this that it
will lead the positive development of the employees, will help them to learn the innovative
technology and patients will get proper treatment from the doctors. As less waiting, digital payment
system and electronic storage of case history will save the time of doctors and they can use their
time in diagnosis activities in the hospital. This report finds that a change needs to follow a proper
procedure for the adaption of technology, hence higher authority needs to train and manage its
operational staff and nurses to use the innovation effectively within the guidelines of nursing ethical
and legal duties towards patients' privacy and safety.
