Introduction:
The term project management is termed as the collection of processes, ways, skills as
well as experience in order to accomplish the long term objectives of the project within the set
parameters. The project management includes the five stages such as initiation, planning,
execution, monitoring as well as closing of the project. The main purpose of project management
is to support the client in identifying as well as managing risks, properly selecting critical
resources through smart budgeting and fostering clear communication between the various
shareholders. This report will design a project management plan for the University of Wales
Trinity Saint David, London campus which is going to switch into an hybrid delivery system in
order to start face to face delivery of their lectures to the students. The report will investigate
requirements for initiating the project. In relation to this, the report will also critically consider
the core elements of project management plan such as stakeholders, risks, budget and many
more.

Introduction of the project:
This project is about the virtual delivery system project in which the University of Wales
Trinity Saint David , London is going to shift from the online mode to the hybrid mode of
teaching as the pandemic situation is decreasing at the rapid rate. In order to continue its
exceptional teaching activity, the university needs to adopt the Hybrid mode of teaching for
initiating again the face to face delivery of lectures that has closed due to the pandemic situation.

The completion of this particular will provide benefits to the students as they can choose the two
mode of learning according to their personal objectives as well as convenience(Brewer and
Dittman, 2018).
. In addition to this, the project will also support the university in fostering the students
engagement with the academic activities as well as other programs of university. Moreover, it
will also provide an assistance to its students tos select the best options that can enhance their
academic scores and engagement with the class activities. Hence, this project will provide the
necessary support to the university in order to make a smooth return into full time delivery of
lectures in July 2022.
Project Management Plan:
Project goal:
The main objective behind this project is to make Wales Trinity Saint David University
incorporate a Hybrid lecture delivery process from the academic year of July 2022. in addition to
this, the goal of this project is also to allow more and more students in taking active participation
in day to day class activities and projects (Kerzner, 2018).
Project scope:
This project will have a positive scope as there are still large number of students who are
interested in taking online classes from their home. Whereas, there are also some students who
wants to join physical classes in college campus as soon as possible.
Project Objectives:
This project will make the SMART objectives with the purpose of attaining project goals
in most effective as well as efficient manner. The goal of the university is to install a Team
classroom by incorporating use of Microsoft Teams Technology to assist the hybrid learning
process. The below mentioned information represents the SMART goals of the project which
are:
Specific:
The goal of this project is related to the design of hybrid or teams classrooms for teaching
students through face to face mode as well as digital mode from the July 2022 academic year.
The plan is to cater almost 400 students in the face to face lecture delivery process.
Measurable:

According to the recent survey, it shows that hybrid mode of learning has made a
significant improvement around 80% in the student satisfaction level as well as students
engagement level with the class lectures (Kerzner, 2019).
Achievable:
The project goal is also achievable as there are main resources available that can support
the university in realising the objectives of project.
Realistic:
The goal of this project is realistic as the university will complete its project within the
suitable time frame that is in July 2022.
Time:
This project is the time bound project as it the project will be completed on July 2022.
Project Parameters:
The university will set up 10 lecture halls with the seating capacity of maximum 40
students in each lecture hall and this will be fully equipped by Microsoft Teams technology as
this can assist in capturing all the lectures in the physical lecture halls. In addition to this, the
projects will also require the MS team enabled computers, camera, microphones, speakers as
well as a control panel with the proper HDMI and USB systems (Hair and Sarstedt, 2021).
Expected quality:
All the computers of Wales Trinity Saint David University that will be used from the
academic year of May 2022 will be properly tested by PAT. In addition to this, the university
will undertake the use of Microsoft team enabled computers. Moreover, the necessary teachings
as well as learning equipments that will support hybrid teaching process will be sourced from the
top quality suppliers in the market. This will support the university to run smooth hybrid classes
without any future technical issues.
Cost:
The cost of the project will cover the expenses that will be incurred in order to realise the
goals and objectives of project which is to design the hybrid mode of classes. The budgetary
chart for this project is given below:

From the above budget, it has been analysed that the university will spend 100000
pounds for paying the salary of the staff members such as professors and other members
(Crawford, 2021). In addition to this, it has also interpreted that the university will spend 85000
pounds in acquiring the Microsoft teams enabled as well as PAT tested computers. Moreover, it
was also analysed that the 20000 pounds will be required for collecting the cameras as well as
5000 pounds is also needed for purchasing the microphones and speakers. Furthermore, in order
to purchase control panels with HDMI and USB, the extra 35000 pounds is needed.
Time:
The time is the most important factor when deciding about completion of project
activities. The project should be made within a certain deadline in order to finish the project as
soon as possible. In addition to this, the set time duration supports the project holders in doing
the tasks of project in effective manner. In context to hybrid project of university, the proper
setting of time will support the university to realise its goals in the fastest manner. In relation to
this, the university will require a time duration of 59 days for completing the activities of the
project (Carstens and Richardson, 2019).
Stakeholders:
The stakeholder is considered as the internal and external parties that has an interest in
the activities as well as decisions related to the project functions. The stakeholder plays a crucial
part in fostering the growth of the project and supports in completing the project within the set
deadline. In relation to the Hybrid class project of Wales Trinity Saint David University, the
external stakeholder that will play a critical role in successful completion of project are computer
as well as technical product suppliers. In relation to this, the internal stakeholder for the

university will be the professors, students as well as other staff members (Lai, Deng and Chang,
2019).
Risks:
The risk factors is termed as any unfavourable conditions that can arrive in the duration
of execution of project activities. As the university will soon transform from online mode of
teaching to the hybrid mode, it can face a certain risks that can negatively effect the smooth
operation of the project activities. The following risks which the university may encounter are:
 The technical issue may arrive in the computers which can hamper the project execution
process.
 The professors may demand the higher salaries for coming to the physical classrooms as
this will alter the budget estimations which can put a financial pressure on the university.
 There can also be a situation where the computer suppliers charge higher prices due to
the emergence of new technology or inflation. The low internet connection can also become a big risk factor while executing as the
students who prefer online studying may face a big problem that can hamper their
academic learning.
Communication:
The effective communication is considered as the critical factor for the success of every
projects. The communication done through a proper medium, allows the activities of project to
progress in the smoothest manner as well as on time. In context to the hybrid teaching project of
the university, it will follow a formal communication process in order to take permission from
the higher authorities of the university. The effective communication process will also support
the university in building better relations with the professors by aligning their goals with the
objectives of project. In addition to this, the university will also follow a professional
communication process which will allow it to effectively bargain with the suppliers of computers
or other digital product suppliers. Moreover, the university will properly communicate with the
students in order to communicate about the details of hybrid mode of teaching (Anantatmula and
Rad, 2018).
Human Resource management:
The human resource management is very important parameter in ensuring that the project
is making progress according to the set standards. The main activity of human resource

management is to plan as well as control the activities of staff members that are responsible for
the execution of project. In addition to this, it is also responsible for fostering the skills as well as
knowledge of members by providing a suitable training sessions. As in the case of the hybrid
teaching project, the university will provide a necessary trainings to its professors so that they
can effectively use the Microsoft team powered computers or can properly use the other digital
equipments required for smooth online class recording. Moreover, the university will also
provide an attractive compensation to its staff members which will support it in motivating
professors to teach in the best possible manner (McLaren and Loosemore, 2019).
Benefits from project:
The adoption of hybrid teaching activity will support the academic teams and professors
of Wales Trinity Saint David university in many positive ways such as :
 It will promote the satisfaction level of students to attend the class regularly as they can
effectively choose from the two options according to their interest and convenience level.
Hence, this can improve the learning progress of students (Joseph and Marnewick, 2018).
 The other benefits that can arise after completion of project is improved student
attendance. As the students will be provided with two modes of learning that is by
attending online classes or attending physical classes, this will positively enable students
to attend classes more often.
 The hybrid mode of learning will also boost the engagement level of external
practitioners into the activities of the university. Hence, this will foster the overall
development of students.
Gantt chart:
The Gantt chart is the tool which is commonly practised in the project management
activities in order to show the tasks as well as events against the set time limit. The Gantt chart is
considered as the useful activity which is used by many project managers in planning project
activities as well as scheduling the activities. In addition to this, it also supports the project
holders making a blueprint about how long a project will take to complete, the resources it will
need and also covers the order in which each tasks is needed to completed. In context with the
Hybrid project of university, the preparation of Gantt chart will allow the university to gain an
insight about the time that will be taken to complete the projects in the most effective manner. In
relation to this, it will also allow the university to follow a required chain process for completing

each tasks in the appropriate manner (Goel, Ganesh and Kaur, 2020). The below is the Gantt

Analysis of above Gantt chart:
From of the above table, it has been interpreted that the university will form a plan
regarding the execution of project in the time duration of three days. After this, it is also analysed
that the for granting the approval process from higher authorities it will need at-least seven days.
In addition to this, the other process which the university will undertake is the initiation activity
in which it will launch the project activities. Moreover, the university will also make the budget
for it by estimating the cost structure required for smooth operations of the project activities.
After this, the university will allocate the necessary resources to the project processes. Then, the
university will execute the project into real life scenario by conducting hybrid teaching activity
in the classrooms. The last process that the university will adopt is related to the monitoring of
project activities that will support the university in comparing the set standards with the current
standards of the project (Gomes, Oliveira and Chaves, 2018).
Project Control Mechanisms :
The PRINCE 2 is the most popular project management methodologies which is termed
as the process oriented method that supports the project managers to effectively manage day to
day activities of the project. In addition to this, the PRINCE 2 methodology can support the
university as well in organising and controlling the activities of its project in the most effective
manner. Moreover, it also supports in generating a regular reviews of progress made against the
set objectives (Galli, 2018).
Conclusion:
It has been analysed that the project management is critical function that can support the
project holders in attaining its goals in the most effective as well as efficient manner. It was also
concluded that project management play a key role in organising and managing the day to day
activities of project till the completion. This report has designed the Project Initiation document
for the Wales Trinity Saint David University in order to execute its plans related to hybrid
classes. The PID has covered the core elements of project such as stakeholders, human resource
management, quality, budget as well as communication. In addition to this, the report has also
made a Gantt chat that shows the project activities in suitable format style as well as also covered
the role of PRINCE 2 methodology in project management.
