The Assessment Process
Why are assessment tasks important?
To complete your qualification, you are required to apply the ideas you have been learning from this
unit of competence.
The assessment activities are an important part of your training program as they provide an
opportunity to apply what you have been learning and they give both you and your trainer feedback
on your progress.
How will you be assessed?
You will be required to complete a variety of written and practical exercises. Instructions for how to
complete the assessments are provided within each assessment task in this booklet.
What is required for successful completion?
Please read this section carefully before commencing the assessment tasks. You must carefully
complete EVERY task in this booklet. You must achieve a ‘Satisfactory’ mark for all assessment tasks
to be deemed Competent for the unit. If you are assessed as Not Competent, you will be given some
suggestions for improvement and asked to redo your assessment.
At the successful completion of the assessment tasks, you will have demonstrated your competence
against all of the requirements of the unit.
Submission of assessments
Your trainer will advise you when to commence the assessments in this booklet.
You are required to complete the written assessments on a separate document. You have access to
computers which are equipped with 2010 Microsoft suite of products. You will also have access to
the internet at the College to assist with research and resources. Assessment responses should be
typed; however, handwritten submissions will be accepted if they are clear and legible.
On the document please include:
o Your name
o The date
o The Assessment Number and Task Number.
For example:
o John Smith
o 10 August 2015
o Assessment 1 - Question 1 (Record your answer).
Please note that some assessments require additional documentation, such as a form or a
procedure, which must be included with your submission.
Make sure you check your material before submission. You must keep a copy of all work submitted.

Access and equity
A student’s access to the assessment process should not be affected by restrictions placed on the
location or context of assessment beyond the requirements specified in the training package.
Reasonable adjustments can be made to ensure equity in assessment for people with disabilities,
including language and literacy. Adjustments include any changes to the assessment process or
context that meet the individual needs of the person with a disability, but do not change
competency outcomes. If you believe you have a disability that may affect the completion of these
assessment tasks please speak to your trainer.
Assessment outcomes
Your assessment submission will be assessed and you will be given feedback. Each assessment task
will be marked as either Satisfactory or Unsatisfactory and once all assessments have been marked
you will be given an outcome of Competent or Not Competent for the unit of competence.
What can you do if you don’t agree with the assessment result?
If you do not think the assessment process is valid, disagree with the assessment outcome, or
believe that you have been treated unfairly, you can appeal.
The first step is to discuss the matter with your trainer. If you still do not agree, you are able to
request a re-assessment. It is possible to have your assessment submission assessed by a different
assessor.
If you remain dissatisfied after the re-assessment, you should contact your trainer. Full details of the
appeals process are contained in your Student Handbook.
Declaration of Authenticity
You are required to sign a Declaration of Authenticity for every written assessment submission. The
Declaration is a signed statement from you stating that the assessment submission is your own
work.

Scenario
You have been hired as an IT Coordinator at Ransford College. Ransford does not currently
have a student management system (SMS) in place and the management is interested in
purchasing one that will cover the organisational needs the best way possible.
Ransford currently has 250 students and the admissions department enrols approximately
70 students per term having 4 terms a year.
All different stages from student application to enrolment and academic progress need to
be saved and recorded. Currently all these stages are being performed by the
Administration staff manually using excel spreadsheets. As the student numbers are
growing so fast, a student management system is a major priority for the organisation.
Your task as the IT Coordinator is to identify opportunities for using new technology to
support and enable an efficient IT model for Ransford and more specifically to assist the
administration department.
Your budget is $10,000/year to be spend on a student management system.
You can locate the organisation’s policies and procedures at www.ransford.edu.au.
Student journey
Student application > Check entry requirements (academic requirements, English language
requirements, evidence of funds to support study, overseas student health cover) > Letter of
offer > Payment > Confirmation of Enrolment.
Existing process
The marketing department of the organisation has agreements with various agents. Agents
are sending through students’ applications to the College.
The administration department assesses the student application, checks if the student
meets the entry requirements, sends a letter of offer and finally confirms the enrolment.
The academic department prepares timetables (units to be delivered per term, number of
trainers, students per classroom, rooms availability according to the number of students for
each qualification) and ensures students are provided with training material.

Task 1
Your first task is to identify processes that need to be improved by the application of a new
business model. In order to do that you will have to follow the instructions below.
a. Firstly, you will need to map the existing administration process (provided in the
scenario above) in the flow chart and identify at least two (2) areas that may need
improvement.
Areas for improvement
1. Attendance management
2. checking if the student meets the entry requirements
3. confirming the enrolment
4. Checking the Students application

b. Now you need to identify and outline the emerging models and processes of
Ransford and record your findings below.
Emerging models
The university has thought of implementing the Student Management System or the
SMS software. Which would be helping in managing the day to day operations of the
university. The student management system is also known as the student information
system or the student management information system or the student’s records
system. The major functionality of this system are always not the same and this might
be associated with reflecting the name which is adopted by the user and vendors.
The student information system would be associated with providing the capabilities so
as to register the students in their course, along with helping in documenting the
grading, transcripts, the results of the student’s tests and other assessment scores.
This would also be helping in the process of building the schedules, tracking the
attendance of the students and lastly helping in managing many other data related to
the students in the university. Whereas the information security is generally
considered to be a major concern and the major reason behind this is that the
university is associated with housing an array of sensitive personal information which
initially makes them much more attractive target for the security breaches.
Emerging process
Due to the fact the Inofrmation Teachnology is being used in the management
applications more and more in depth, has lead the management information system
to get much mre matured. All orgnaizations must be associated with the establisment
of the management information system so as to become compatible with its own
characteristics so as to survive and develop and organize tehir internal activitieswith
higher efficiency and in an organic way.
Teching and research is the most important base of the university which is also
responsible for the cultivation of talents as well. The Student Management System
would be acting as one of the most important part and be responsible for measuring
the basis for the level of the college management. There are numerous work which

are seen to be trivial and painstaking. All this works need a lot of workload and no
mistake. Some of this works includes he management of the students basic
information, management of he classes, and many more. A considerable amount of
time as well as effort is put by the staffs for managing all this type of works
manually. There exists numerous incomparable advantages of using the computers
for the purpose of managing the informations from different departments. This
might be including quick serch, convenient finding, high amount of reliability, the
memory capacity increases, confidentiality and many more. This in turn would be
assoiated improving th efficency of the entire student management system and
would be promoting the management to scientific as well as information technology
and standardization transform.
c. Due to the high volume of student enrolments there are many changes that need to
be implemented on the current process of Ransford College on a technological,
client and supply chain environment. Identify the changes that need to be
implemented, record your findings in the table provided below and submit it to your
CEO (trainer) for review.
Ransford College
Changes/Recommendations
Field of change What changes need to be implemented?
Technological
Environment
The new system which is to be implemented would be consisting
of the Visual Basic 6.0 and SQL Server 2000. Visual Basic 6.0 is one
of the powerful development environment as well as tool that
was launched by Microsoft. This would be helping in the
development of the Windows applications and is having a very
good graphical user interface related to the programing languages
and is one of the most widely used application development tool
in the world. This is associated with the usage of the high level
