4INFORMATION MANAGEMENT REPORT
ii. Weakness: Currently organization is expecting growth in business but it does not
have internal infrastructure to cope with increase in business. All the processes in
CC Music are completely manual and need human intervention. Back office
processes are done manually and this leads to significantly high process
completion time. Delays in communication is also a weak point in CC Music’s
business. Information stored in CC Music often contains errors and goes missing.
Communication with the customer over the phone is a pain point. Customers
often have issues in connecting calls.
iii. Opportunities: Growth of niche market is a strong identifier of increase in
business. Various small bands are emerging in last few years. People are also
going to small band concerts which can provide more opportunity to CC Music.
Significant increase in IT solution incorporation in business has made technology
robust enough to support all kinds of businesses. Secure and fast payment services
are available for low service cost (Febrian et al. 2017). Significant increase in
social media platform marketing has opened doors to small organizations to
promote their business very easily at low cost. The target market of CC Music is
young people who are more on social media platforms rather than TVs (Pradipta
2017).
iv. Threats: Increasing concerns about music rights can be biggest threat. IT
solutions are often seen as biggest threat to business. If not implemented properly
then it can be hacked and all the customer bank account related data can be stolen.
This will completely break the business (Paula 2019). Increase in taxation is also
a great threat for business. It will directly affect CC Music’s profit.

PESTLE: This tool provides good insight of the environment within which CC Music
operates.
i. Political: taxation has a very good impact on the music industry in UK.
Government controls the taxations. The impact of taxation on music industry is
present due to its direct impact on profit. If government control public
expenditure, the sales of tickets for concert as well as concert demand decreases
(Turlais 2016). Stability in government is a very good sign for music industry.
ii. Economical: Inflation hugely affect consumer spending habits. It directly affects
the sales of tickets and number of sponsors for each concert. Consumer
confidence plays a great part in concert full house (Aarstad et al. 2016). Going to
various music concerts is always a priority for people in this country. Growth in
the economy of the country plays a key part in increasing business for people. If
business environment expands, CC Music can call for concerts more often.
Economic growth also provides boost to consumer confidence. UK’s music
industry is mature enough to include competition as well as profit for all the
participants.
iii. Social: Various types of people live in this country. Choice of music for different
group of people is different. CC Music should be able to entertain most types of
music lovers. Promotion of the organization lies within how they can be attached
with social life of people (Borthus et al. 2018). CC Music should always look for
the changes in social values and communication patterns and use that to introduce
themselves to more people.

iv. Technology: New technical products being introduced to the industry has impacts
on different scales. Some technologies are designed to reach more customers and
some are to furnish the internal processes. Some often handle entire organization
processes (Aithal 2017). New technologies introduce new level of competition.
CC Music should be able to accept new technologies with open arms.
v. Environmental: Natural power sources can be used in concerts. As most of the
time concerts are held for one day, it would not be a problem to use natural
sources to gather power (Borthus et al. 2018). Concerts should be conducted
without harming natural resources. The amount of sound pollution done by a
concert must be reduced.
vi. Legal: Copyright protection laws are dominant within music industry. CC Music
should maintain all the copyright related rules to avoid legal obligations.
Maintaining proper agreement with the music bands and customers is also very
important (Aarstad et al. 2016). These agreements are taken very seriously in UK.
CC Music can prevent any false legal obligation if proper paperwork is already
completed.

Selection of Suitable Software: As per the issues present in CC Music, the organization
needs a small sized software solution that is cheap, easy to install and support low number of
users. The organization is proposed to have e-mailing system, better customer relationship
approach, number of users is less than fifty and many more. The software solution should be
easy to implement and maintain because CC Music cannot employee highly skilled experts to
maintain the system. Moreover, it should save IT infrastructure cost that that most in-house
systems require. As per the CC Music needs and future scope ‘Open Sour’ software is the most
suitable solution. It has good ratings by editor and users. Open source is web based solution
which eliminates any infrastructure related costs. CC Music does not need to hire anyone to
maintain system. It is also very scalable, so that with CC Music’s growth, it can be scaled up.

Introduction:
Business process management is a key factor in maintaining business growth and
remaining relevant in the industry with new trends being introduced to the market over the years.
The business process management is the process of tracking and controlling processes being
executed within an organization (Chang 2016.). BPM helps organization to check that ongoing
practices within it is productive and efficient in terms of current situation. In order to identify the
parameters based on which business process management is carried out and controlled various
strategic planning are done. PESTEL and SWOT are one of the most popular strategic planning
tools being used within the industry. Use of information communication and technology can be
seen in any industry at present. The implementation is not bounded within big organizations with
lot of financial and human resources (Jameel, Abdul-Karem and Mahmood 2017). Small and

Medium sized organizations are using various software tools to improve their business processes
and make organization business processes more dynamic.
This report concentrate on identifying current situations of CC music and the industry it
is within through business process analysis and strategic planning. Both the current and proposed
business processes will be provided in the form of graphical model or BPMN. Report will also
select and compare five open source software tools that are potential solution for CC Music.
Among these five software solutions, one will be chosen and proper justification for that will be
provided as well.
Current Situation of CC Music:
Currently CC Music is manually operated by Chris and Clive. Both of them are planning
to be busy after retirement and planned to manage the tour of A Northern Soul band around the
North West of England. The promotion of the band is being done through a website. Studio
work, playing at events, parties, TV and radio programmes are managed manually by Chris and
Clive. Customer make phone calls to either of Chris or Clive. The booking process is done also
over the phone. This process contains quotation, date confirmation and other business related
things. The exchange of contracts and cheque happen through post. Organization does not have
any digital payment process. Members of the band just come and play at concert.
From the above description of CC Music, it can be clearly stated that all the processes in
CC Music is organized manually. Organization stores information on paper. This makes
information management very hard task to maintain. Papers can be damaged or lost. This can
lead to loss of information. Chris and Clive can mistakenly write wrong information on paper
and there is no way to verify that. Agreements can have flaws. It is proven that manual process is

error prone and time consuming. Delay in processes where everything is done manually is much
higher than automated processes.
Proposed Changes:
First change need to be implemented within CC Music is automation of back office
processes. CC Music needs a process that can automatically calculate the amount of charge for
concert. It is proposed that CC Music create a set of rules for calculating cost which can be
implemented within the system. Once customer selects band and date of concert, cost will be
calculated and shown to customer automatically. Customer can submit their request from system.
After submitting the order, CC Music will receive a notification and generate quote for customer.
If customer accepts quote and make payment further operations will be executed. System will
have two interfaces, one for customer and other one for CC Music staff. System will have a third
party payment gateway through which payment for concerts can be made. Once payment is
complete, CC Music can check customer payment details and send invoice against the payment
to customer. After concert is over, payment to the band will be made automatically. System will
be a web based application. This will ensure that users can access the system from their devices
using any modern day browser. In order to book a concert, customer have to register to the
system. All the information will be saved in a central database. This will ensure data reliability,
credibility and integrity. System will include data verification and validation approaches on
every step where data is being collected from external sources.
Conclusion:
From the above study, it can be concluded that running a business without an advanced
automated solution is not a suitable business decision. Organization often encounter data loss,
error prone and time consuming. Delay in processes where everything is done manually is much

Conclusion:
From the above study, it can be concluded that running a business without an advanced

error and redundancy issues. Flow of data is very slow in manual processes. Communication
between customer and organization is a key part of business. Business should always provide
good ways for customers to communicate their concerns and share feedbacks. Automated
processes are not only makes data flow reliable and fast but also create an environment where
everything happen systematically. Implementing of internal communication can increase
productivity within the organization. SLAs are a key factor in maintaining business credibility.
Software systems, today, are smart enough to verify or even generate proper SLAs. It is essential
that CC Music consider payment as a part of new information technology infrastructure. Cheques
can bounce which leads to more frustration and loss of belief between organization and
customer. Online payment can release the organization from worrying about how to collect
money from customers. After making all back office processes automatic, Chris and Clive can
concentrate on their core work only.
Recommendations:
Documentation: Keeping record of the requirements as well as pain points is essential
for maintaining constant focus on project gaols. If a project starts with no documentation, there
will be no reference point to look if any issues occurs or major decision to be made.
Communicating requirements through verbal communication or any other unorganized way can
lead to huge misunderstanding. This lead to delay in project delivery or even project failure. CC
Music should first document what they want to achieve from introducing information technology
to their business. They should also remember that going overboard with requirements is
something to prevent. The requirement should have your approach to solution for existing pain
points.

Robust Software Design: Just installing, configuring and deploying the solution is not a
standard solution which can mitigate organization issues. Robust solution design is a very
important factor in implementing software solution. Many software development projects has
failed due to poor or no design documentation. Software design processes reveal the complex
part of the system architecture and also provide the baseline to generate a working solution. CC
Music should document key scenarios which plays a strong part in business. CC Music operate
in a industry that is different from others. Creating a robust design is essential to maintain proper
support to business throughout coming years.
Control over Project: Fail to choose right ERP solution does not result into failure of
entire project. Selecting any mature ERP solution can provide required support to business. An
ERP solution that is in the market for at least ten years is able to provide robust solution. The key
factor in making the project successful is assigning skilled and experienced people to the project.
Each member of project team should have information about their roles and duties. From
defining the project scope to deploying the final outcome, each phase should be completed
following project goals and objectives. Communication within team and external stakeholders is
also essential to maintain.
Testing: Project team should start testing the solution from initial development stages and
often. For each developed unit in the system, unit and feature testing is essential. Test logs
should be used to record the test scenarios and outcomes. The final outcome of project should go
through both white box and black box testing. After each testing, development team should
revive proper testing documentation so that they can modify the product.
