Managing a meeting scenario
A good meeting depends mainly on how the meeting has been conducted by the leader of
the meeting. Being in the role of a staff meeting leader, the following steps can be taken up as
strategies to diffuse the ongoing problems in the meeting related to fundraising to buy new
playground items for the concerned children:
1. Setting an agenda
It is very important to set a prefixed agenda before the meeting starts. The conductor of the
meeting needs to circulate the details of the topic of the meeting to all the meeting participants
beforehand so that they come to the meeting after preparing themselves for it (Bloom, 2002). In
the given scenario, it has been noticed that there is only one member who is offering ideas while
others are just silent spectators. In this case, the agenda setting strategy can help others to jot
down their ideas and opinions before the meeting catches its speed.
2. Adopting a new behaviour code
As a leader of a meeting, many roles have to be played by one single person because that person
is in charge of all the participants. For that reason, it is necessary to behave in a certain way so
that each and every participant can feel encouraged and motivated to come up with new ideas
and feel less afraid to put them on the table (Kwon, Clarke & Wodak, 2014). Thus, in the given
scenario, the leader needs to gently remind others that not the opinion or ideas of only one single
person is expected. Rather, the meeting cannot be successful in taking decisions without hearing
what everyone has to say regarding the fundraising.
3. Dealing with the conflicts
It has been noticed that one participant has been rolling his eyes while Lisa is sharing her ideas
and dominating the whole meeting. In this case, the role of the leader is to shift the focus from
Lisa to David and shift the focus of all the members towards him too by asking questions like- do
you agree to what Lisa said or what you have to say about this.
4. Shared responsibility and value
In the given scenario, the purpose of the meeting is to raise a fund for buying playground
equipments for children in the day-care. Thus, firstly the participants need to share their views on
