Reflective Journal 1 One problem that I faced while working with this group was with Harry. We had a different though process and it was becoming increasingly difficult for us to work together.I wanted to divide individual roles and responsibilities among team members before starting the project. However, Harry felt it was a waste of time to plan the responsibilities of entire project in advance because it would be difficult to follow.During the first meeting we spent a long time in dividing the responsibility. Harry got into a conflict with us and became quite cross during which declared that it is a waste of time to identify and divide all the responsibilities right now.Rather than identifying and dividing small tasks’ responsibilities among members, we found it easy to divide the entire project into major responsibilities and divided the same among group members.From next time onwards, we would assign major responsibilities at the beginning of the project because this strategy made it easy for us to coordinate effectively, our meetings were more meaningful and we were able to complete the entire group work on time. Reflective Journal 2 Information sharing among our team members has always been transparent. We have created an atmosphere where every individual can share their feelings and emotions in front of everyone.All the discussions happened over email or Whatsapp and hence were documented. Members were encouraged to speak during meetings and address any issues that they might feel.All the members felt comfortable with each other. There were many occasions where constructive feedback was shared within team members. We made a Google group and a Whatsapp group where we communicated with each other. We used to share all important files through Google Drive and was available for everyone to access. All the members had complete access to the information that was shared among group members. Consistent sharing of information also enabled improved coordination among members.All the members were encouraged to communicate freely from day one. This instilled trust and respect among team members. Everyone’s performance as well as productivity in the group increased owing to effective coordination resulted from transparent sharing of information and knowledge among group members. All the group members understood the importance of transparent communication. Everyone encouraged each other to communicate transparently, believed in sharing information through online mediums so that it can be documented and everyone was open to genuine feedbacks. Time management plays a significant role in effective completion of any project. We were able to complete the group project on time.Myself (Salar Johar) took a leadership role and created a tentative timeline at the beginning of the project. I shared the timeline with all the group members and on the Google drive.Once I understood the importance of time management, I created a timeline. I also frequently pushed and motivated the team members to work hard in order to achieve our goals on time. This saved us from any last minute stress and helped us in completing the project on time. We divided the project into various tasks and assigned a tentative time to each task. We prioritized our meetings and ensured there was no waste of time.We found it useful to create that timeline as all the members of the team ensured that they completed their work on time else they would delay it for the whole team. Time management helped us learn to work in an efficient manner. We were able to review the entire project before final submission. We even had time to rectify the mistakes that we had done before submission leading to improved quality submission. Reflective journal 4 Group diversity can often create miscommunication and create a lack of coordination of understanding among team members.We had one Asian Chinese member in the group and this sometimes led to miscommunication.The member was very competent but felt shy in communicating openly within the group. The working cultures were very different. He was extremely hard working and completed all the assigned tasks before time. He also found it difficult to speak fluent English. Sometimes he felt offended by otherwise normal gestures like speaking in a high volume.We found it useful to respect each other’s cultures. We tried to indulge him in conversations and encouraged him to speak freely. We also avoided speaking in a loud tone. His experience and hard work helped us largely and often allowed us to see the same thing from an entirely different perspective which widened our horizons. We tried to learn about his culture by asking him questions.The best strategy for future to avoid prejudices is to create an atmosphere of open communication and take efforts to understand cultures of different people who are working together in the same team. Reflective Journal 5 Effective cooperation among group members plays a significant role in efficiently working together as a team.We sometimes faced a lack of cooperation if a team member was not able to communicate or could not be reached via phone call or Whatsapp.Sometimes members could not be reached. Different members worked at different times on their individual tasks. Hence it was often difficult to reach out to
all the members. It took us a long time to decide a place and time for all the meetings that we conducted. However, all of us tried our best as individuals to ensure high levels of coordination among each other.Our best strategy forward was to make sure that all the documents are shared on Google Drive and all the conversations happen on the Whatsapp group so that people are aware about group discussions by reading chats later. We also provided constructive feedback to each other in order to ensure personal growth of members.For the future, we would ensure that we create an update sheet where team members can update the tasks that they perform. We will also put efforts in deepening our relationships and knowing each other personally in order to enhance coordination and create a cohesive group.
