INTRODUCTION
The business communication is related with the procedure of sharing information
between people inside and outside the organisation. This helps in screening how effectively
employees and management interacts to reach organisational goals. There is constant flow of
information and feedback is considered as integral part of business communication. In
organisation the communication is very important which helps in directing and controlling the
people (Alrawadieh, and et.al., 2022). The business communication is goal oriented which is
regulated by certain rules and norms. The organisation goodwill is build by having effective
business communication. The report is based on travel agency of Hays travel. The report will
covers theories of organisational communication. The barriers are evaluated in report which
prevents people from booking holidays abroad. Strategies are outline for travel agency in this
report as to overcome with the barriers.

Theories of organisational communication
The organisation communication is wide field which comprehend all forms of
communication that allows organisation to grow and connect with stakeholders and contributing
to society. This is dealing and transmitting information between individual and groups in
different organisation. The communication takes in several forms it can be verbal or non-verbal,
formal or informal, oral or written communication etc. The effective communication helps in
attaining tasks that is connected with specific roles and responsibilities (Bakkalbasioglu, 2020) .
To have effective communication principle of 7C's is involved which involves clarity,
correctness, conciseness, courtesy, concreteness, considerations and completeness. There are
some general theories of organisation communication which are as follows-
 Bureaucracy theory- This theory was developed by the Max Weber which shows high
level of formal structure. In status of communication, this theory is assumptive as
hierarchical approach in which each member has to report to its superior until
communication reaches to top command. In this the communication is structure and clear
by defining the roles and responsibilities. This theory show its effectiveness by strictly
controlling workers, ensures chain of command and promotes principles of workplace
standardization and specification. The use of this theory in Hays travel helps in

communicating effectively regarding the packages, defines roles & responsibilities to
employees so that customer can be attracted for booking abroad (Page, and Connell,
2020). With this it helps in performing work efficiency under supervision of immediate
managers in hierarchy and competency increases. This theory involves the principles of
formal ru8les & regulations, division of labour etc.
 Acceptance theory of Authority- In the book functions of executive this theory was
developed by the Chester Barnad. Three functions are served by organisation in context
to Hays travel such as communication, maintenance of cohesiveness and feelings of
personal integrity & self-respect. The use of this theory in travel provides authority to
managers over subordinates by depending on willingness of acceptance the right to
provide orders. From human relation school this theory comes to organisational
communication that underlines important formal channels of communication to connect
all members of organisation in context to Hays travel. To increase the speed of
communicating the lines of communication must be direct & short as possible.
 Theory X and Theory Y- It refers to motivational theory which was coined by
McGregor depending on direct opposing assumptions of human nature. In this theory the
people are recognised as large possession for the enterprise, promoting creativity ans
developing self-control. This theory also suggest that workers needs to awarded
depending on their performance and contribution towards the attainment of goals which
are set by organisation (Peate, 2019). The importance of this theory lies in showing the
effective communication and motivation. In theory X there is little delegation of authority
and control remains firmly centralized. The theory Y is management style which is
decentralised that assumes employees are happy to work, self motivated & creative. The
workers of Hays travel takes responsibility and motivated to fulfils the goals.
Evaluating the barriers preventing people from booking holidays abroad.
The people travel to relive stress but for some individual travel induces stress as it is a
feeling if mental strain and pressure which is related to travelling. There are number of reasons
which makes travel stressful involving feeling overwhelmed with travel planning, air travel
experiences, difficulty in handling unexpected events etc. in context to Hays travel.
 Physical barrier- The people worry regarding the safety of certain destination, it has
experience terrorist activity, tourist kidnappings, shooting, armed conflicts etc. The

felling of unsafe prevents people from booking holidays in abroad. This is an barrier
faced by Hays travel as there are worried regarding the social distancing along with
having fear of coming in close contact with people having virus or being stuck in another
country.
 Emotional barrier- In travelling the money plays an important role which limits by
seeing where to go, where to stay, etc. This is a barrier for Hays travel people who wants
to book holidays in abroad as there can be occurrence of unexpected events, or rise in
charges along with facing lack in money. The people are anxious about flying as they are
out of habit of travelling (Rowley, and Porterfield, 2019).
 Organisational barrier- While making plan of booking holidays in abroad it is also
considered as barrier for hays travel. The people are involved in research of travelling,
making travel arrangements, packing etc. In booking hotels to packing the people feel
overwhelmed from coordination that prevents them in booking holiday abroad. As the
people lack in clarity of government policy and fear of new quarantine rules which leads
to avoiding them from booking holidays.
 Cultural barrier- Every country has their native language which is an barrier for the
people that stops them from booking holidays to abroad as people are not able to speak
local languages while interacting with others this results in different emotions such as
dis-encouragement, anger etc. The power full way to communicate with people are body
language, sign language, gestures and smiles but every single man cannot use this in a
proper manner which leads to barrier for Hays travel (Shreck, and et.al., 2020). The
Hays travel face this barrier as there is uncertainty about the rules and regulations of
other countries in the case of Covid-19 related crisis. Due the lack of information the
people are not comfortable to book their holidays for abroad as they have fear of lock
down.
 Information barrier - The lack of information related to change in rules & regulations
is an barrier for Hays travel. Along with the peoples are unaware what they require to
travel such as PCR tests or Vaccine passport etc. This leads to barrier for Hays travel by
not providing information to people regarding the requirement of travelling (Levinson,
2021).

Outlining the strategies of travel agency which has implemented to overcome these barriers
The following are the strategies which helps in overcoming from the barriers-
 To overcome from the barrier of emotional concern it is important to check finance and
making practical budget by opinion of comfortable on spending. The affordable trip can
be booked and required to make research by comparison the prices prior to booking in
Hays travel (Soda, 2019).
 To make travel planning & organising effectively it is required to be organised by
dedicating some time on travel planning work. Preparing listing of all things before need
to do before trip such as applying for visa, booking flights & hotels etc. The help can be
taken from travelling partner in planning
 To over come from the barrier of physical concern the person is required to look travel
alerts, safety warnings and travel advice. The recent news needs to be search and travel
reports who recently travel in destination. The Hays travel can take use of safety tactics
by being aware of surroundings, making copies of travelling documents.
 The hays travel can overcome with the barrier of culture by taking use of gestures, sign &
body language etc. As different people come from diverse places to have booking for
abroad travelling. The Hays travel is also suggested to have study of language which is an
incredible form of respect that is appreciated worldwide by making efforts. The speak is
the best way to learn the language while travelling (Verk, Golob, and Podnar, 2021).
 The Hays travel can overcome by having update information regarding the government
policy, rules and regulations of countries and making aware to the people needed
documents for travelling such as PCR tests and Vaccine report.
 The Hays travel can also offer free cancellations to people if they have planned for
holiday and made advance booking but face the Covid situation. This will help in hays
travel to attract more customers.
 The company can offer strict hygiene in aircrafts to people while they are travelling by
telling them to wear mask, sanitizing hands. Along with to maintain social distancing and
sanitising whole aircraft (Reddi, 2019).
CONCLUSION
It is concluded that for the organisation communication is important in order to
communicate effectively with everyone within and outside the organisation. There is creation of

better understanding through communication which leads to exchange of thoughts between
several people. There is increase of business productivity in organisation by having effective
communication as it relies on decisions & ideas. The report has discusses communication
theories, barriers that prevent people from booking holidays to abroad. The strategies are
suggested to overcome with barrier and to have effective travelling.
