Introduction
Valley Practice is a patient care service that performs services in three locations. The service
is owned and operated by seven physicians. There are also other members engaged with the
organization, such as nine nurses, 15 support staff members, Business Office Manager,
Accountant, and CEO. The organization has been using the legacy Electronic Health Records
(EHR) Systems. The decision is made to replace the legacy systems with the new-age EHR
systems (Ew & Grove, 2016).
Project Steering Committee
Dr Brown is the chairperson of the project steering committee since she has had the
maximum experience with the HER applications. The other members in the committee
include Dr. Renee Ward, a senior physician associated with Valley Practice. It also includes
the CEO of the organization, Mr. James Rowls along with Ms. Mary Matthews, RN, a nurse,
and Ms. Sandy Raymond, the business officer manager.
Project Scope
The scope of the project includes the replacement of the legacy EHR systems with the new-
age EHR systems. The scope covers the planning and analysis processes along with the
vendor evaluation and selection process (Freriks, 2014). The implementation of the improved
system will come under the scope along with quality validation and verification. The training
and closure processes will also be a part of the scope of the project.
System Requirements
There are a number of system requirements that shall be implemented in the new-age EHR
system.
The system shall provide the users to securely log in to the system.
The system shall allow the medical professionals and nursing staff to carry out easy
patient scheduling (Daviss, 2012).
The system shall have the ability to store the data sets in an effective manner with
abundant volumes of data to be organized.

The system shall have the ability to keep a track of the patient workflows in a real-
time manner (Alamri, 2018).
Routine task management capabilities must be included in the system.
The system shall provide the medical professionals and staff members with the
customized reporting options. The users shall be able to apply filters and extract
reports in various formats from the system.
The system shall be accessible from the desktop as well as the mobile platforms
The user interface of the system shall be interactive and it must also provide the users
with smooth navigation (Erickson, 2015).
The system shall provide the capability to speed up the patient encounter and charting
process.
Request for Proposal (RFP)
The Request for Proposal (RFP) for the project shall be carefully developed and it shall
include a brief background to the project, goals & objectives, and the details of the project
scope. The high-level requirements and the justification for the project shall be included in
the RFP along with the cost parameters.
Vendor Evaluation Process
There are a number of EHR vendors available in the market and the evaluation criteria shall
include the system requirements, costs, technical compatibility, user interface, and market
performance.

The recommended software for Valley Practice is EPIC EHR System. It is a cloud-based
system that can fulfil a number of specialities. The standard and core features will be
included in the system and it will be developed for the mobile as well as the desktop versions.
The system will also be easily integrated with the third-party systems (Ehrinpractice, 2019).
The interoperability of the system will also be ensured along with the features, such as
clinical workflow, scheduling, billing management, lab management, patient portal, reporting
& analysis, patient demographics, insurance & claims, and voice recognition.
