Task1: Project status report
1.1 Performance measurement
Project performance indicator is generally considered as one of the significant
information that is generally needed for determining as well as explaining how the entire
project will generally progress for meeting the goals of the project. The key performance
indicators including cost as well as time generally have a major role in achieving success. It
is found that as the project is 70% complete and 90% of the budget is used then it can be
analyzed that the project is facing financial issues due to extra expenditure [3]. In the present
project, it is found that both the project cost as well as time must be maintained however if
the project managers are unable to finish the work of e-toll system implementation in
Hyderabad ring road project. It is found that the cost performance variances for the project of
E-toll implementation are generally reflected below with the help of the screenshot.

1.2 Closure and handover
If it is analyzed at the present situation that the project that is undertaken is not get
accomplished within the assumed time and budget then it is necessary to undertake steps like
crashing to finish the entire project as per the deadline. It is found that project crashing is one
of the processes that help in shortening the duration of the project by minimizing the time of
one more number of project activities [4]. The main advantage of project crashing is that the
project can get completed within the time that is presumed and thus the delivery of the project
is done on time. On the other hand, crashing of the project generally enhances the budget of
the project and additionally the qualities of the project also get reduced. Additionally, asking
for extra time within the project is also one of the good options however crashing will be
much better as deliver of the project will be done on time [7]. The budget that get increased
due to crashing will be managed with the additional budget $30,000 that is mainly present
within the project. Moreover, post project review should be undertaken at the handover phase
for making sure that the project gets completed on time and within the budget.
1.3 Monitoring and control
As it is analyzed that the project manager is not giving proper focus on reporting as well
as reviewing progress of the project then it is necessary to emphasize the requirement of
progress monitoring as well as reporting by the project manager [5]. The project manager
takes the responsibility of developing a plan that will reflects the entire reporting as well as
review procedure so that the project can be kept on track. The below table that is provided

1.4 Project integration management
As in the present situation, scope change is one of the major issues and as a result the
project manager needs to handle the scope change within the project effectively. The change
within the scope of the project during the project implementation, planning as well as
initiation phase must be handled by undertaking a number of steps [10]. In order to handle the
scope change, first and the foremost important step is to understand the requirements of the
clients properly and proper understanding of the client’s requirement and then use an
approval procedure for the every change that is needed within the project. The changes are
inevitable should be approved and other changed should not be. This procedure will reduce
the scope change to some extent [12]. Moreover, within the implementation of e-toll system
in Hyderabad ring road, the project schedule must be prepared properly and proper track
should be kept on the cost and scheduling for avoiding scope changes within the project.
Moreover, strict order should be provided to the team leaders to progress the project as per
the scope for avoiding scope changes while undertaking the e-toll implementation project.
Task 2: Project management plan
2.1 Quality management plan
When the situation arises that at an important project milestone, the client does not
provide approval for further project progress as the quality output of the project is not up the
mark and as a result the clients are not satisfied. In such situation, the project manager needs
to undertake quality assessment of the project steps that are generally finished for ensuring
that the provided project maintains proper standards of the quality [14]. After reviewing it is
analyzed that the quality of the project output is poor and therefore the clients does not
approves further progress then it is necessary to create proper quality plan for the project. The

quality plan that is developing for the project must properly understand the various quality
requirements as well as expectations for successfully validating the process acceptance.
Moreover, the quality analyst took the action of controlling the quality of the project
deliverables by reviewing the deliverables as well as by undertaking testing of the project
phases that gets completed. After controlling the quality of the project deliverables, the
quality of the project deliverables must be effectively assured [7]. This step is considered to
be important for both the sponsor as well as managers of the project as this steps helps in
assuring that the quality of the output is maintained and the delivered or completed work
follows as per the quality standards for fulfilling the needs of the clients.
2.2 Communication management plan
As it is analyzed that the communication within the project is mainly done through
informal way rather using formal way like meeting and documentation and therefore the
project manager must respond actively for managing this situation within the project. The
formal way of communication is generally considered important as the formal
communications are generally enabled with the project management tools [2]. Formal
communication mainly includes meeting as well as written communication through emails
and documentation are considered appropriate as the stakeholders can be able to handle the
situation effectively. However utilization of informal way of communication not only
hampers professionalism but also creates misconception about the project requirements
among the staffs. Therefore, the project manager must provide strict opinion to utilize formal
communication for discussing about the project and proper documentation must be kept so
that if any challenges within the project occur then the problems can be reviewed by
analyzing the details effectively [4]. Moreover, the project manager must imply strict
procedures as well as documentation plan is order to utilize formal method of communication
within the project. This particular approach of communication is considered important for

successfully implanting the processes as well as for ensuring that the completion of the
project is done on proper time and budget
2.3 Stakeholder management plan
As it is reflected from the present situation a change that is mainly brought within the
project is not generally accepted by a particular team of the project then the project manager
should take effective action for managing the situation. One of the major group or the
stakeholder did not accept the changes which are mainly because of the conflict within the
need of the project thus the project manager must take effective steps for controlling project
conflict [8]. The stakeholders of the project must be asked for meeting and then the
importance of the project change should be reflected before them so that the can be able to
understand the various types of benefits that the project is mainly bringing to the project. If
they will be able to understand the benefits that the change will bring then their decision
might change. In addition to this, common goal for all the stakeholders of the project must be
set so that they will become focussed on achieving the goal. Moreover, developing
collaboration within the project team will generally be helpful in avoiding this type of
situation where conflict arises that may obstruct the benefit that the project may get after the
changes are implemented [11]. In spite of all this, proper communications within the project
team are generally helpful in resolving the conflicts within the project so that the problems
associated with the project can get resolved
2.4 Risk management plan
As the regulatory based changes within the project generally creates changes within
the wages and as a result the cost that is linked with the project mainly increases by 15%
however this risk is not identified or accounted during the initial phase. In order to handle this
situation, the project manager focuses on the ways that are helpful in proper management f
budget by avoiding other challenges from the project [13]. The project manager must take the

initiative of minimizing the cost of other expenses to an extent that is possible so that the
increment in the budget by 15% can get managed effectively. Additionally, keeping track on
the budget of the project of the project on a weekly bass is necessary for analyzing whether
the project cost is on track and whether the manager is are to complete the project within the
assigned budget [14]. Moreover, setting up clear cost control methods as well as techniques
including controlling of the material cost, hardware as well as software is generally necessary
as well as crucial for controlling the actual cost. Furthermore calculation as well as updating
the metrics of the cost at the end of the project reporting period is considered as one of the
important steps for controlling the project cost. Measuring the money that s spent on the
project by comparing the amount that is assigned to the project generally showcases the
variances. Thus, the problem that is associated with project finance can get managed within
the help of proper cost management plan.

3.2 Baseline at 30% reflecting split task
The figure that is given below shows the tasks that are splited in yellow and it is
identified that the task split does not create any type of impact on the project duration. The
task splits are generally done in order to interrupt the delay such that work of the project gets
completed beings later than the first part.

3.3 Project completion calculation
The project is 70% and faces delay of 15 days.
Let, X be the time that is needed for finishing the project
Now, it is expected that the entire project will get completed within 67 days. Also, let us
assume the variance of the project as 2
Therefore standard deviation = sqrt (2) = 1.414.
, μ = 98, sd = 1.414
Thus, probabilities for project completion,
(X<=67) = P (Z<= (67-67)/1.414) = P (Z<=0) = 0.5.
Hence, the probability of completion of the project in time is 50%.
Now, probability of completion of the project in one day early is
(X<=66) = P (Z<= (67-66)/1.414) = P (Z<=-0.70711) = 0.23975.
Hence, the probability for completion of the project at one day early is 23.98%.
Now, probability for completion of the project one day later is
P(X<=68) = P(Z<= (68-67)/1.414) = P(Z<=0.7071) = 0.76025
Hence, the probability for completion of the project at one day later is 76.03%.

3.4 Techniques used for avoiding over allocation
The techniques that are utilized for avoiding over allocation are generally reflected
below:
 Levelling of the project resources with the help of levelling technique is considered
used for avoiding the problem of over allocation.
 By assigning more resources to the project, the problem of over allocation can be
resolved
 By utilizing the resource usage view it is analyzed that the issue of over allocation can
be resolved
 It is found that adding more number of resources are generally helpful in resolving
over allocation.

Task 4: Reflection
I have been engaged with the implementation of e-toll system previously and from
that project I have gained a number of skills as well as experiences of managing the project.
With the help of the project, I have learnt different principles of project managing including
the aspects of cost management, time management as well as selection of proper project
methodology. The knowledge as well as skills that I gained from that project will generally
guide me in my future for handling projects as well as for dealing with various types of
situations in the project.

I have improved my project management skills after getting the feedback. As per the
feedback, I need to improve my skills in resource planning, resource management as well as
project milestones. I have taken the feedback seriously and have worked hard for improving
my skills in project management so that I will not face the same type of issue or challenges
within the project. The feedback also helps in improving my skills quite effectively and has
generally guided me so that I can deal with my future projects successfully.
By engaging within the present project that mainly reflects on the implementation of
e-toll system in Hyderabad ring road I have gained different types of knowledge as well as
skills in project. I have learnt the importance of project crashing and have got to know how it
is beneficial in resolving the problem of project delay. Moreover, I have also gained
information as well as knowledge about task split and how it is important. In addition to this,
I have also learnt the roles and responsibilities that the project manager generally have while
dealing with different kinds of situation in context to quality management, communication
management and more.
The two guest lecturers generally provide us information about the practical use of
Microsoft project for creating the schedule as well as for managing the project. From the
lecturer, I have got to know about how the problem that is associated with resource over
allocation can be resolved. In addition to this, the lecturers generally assists in providing
proper as well as detailed knowledge about the other aspects of the project that will generally
be undertaken for successfully developing the entire project.
I need to learn more about the project management related aspects so that I can use
those knowledge as well as skills in practical projects. Engagement within the practical
projects will generally help me in gaining skills that are helpful for handling my future
projects. In addition to this, I need to improve my skills in decision making for resolving

different types of risks. It is analyzed that appropriate focus on work will generally be helpful
in developing proper skills but generally helpful in bridging the gap so that I can learn new
types of information about the various project.
