Many issues are identified for the lecture capture upgrade project conducted by the
Australian University. The project was initiated in the year of 2017 and the main objective of the
project is to upgrade the lecture capturing facilities in the lecture rooms globally or throughout 5
of the campuses and across 160 classrooms. Some of the lecture rooms were remained unlocked
even during the lecture session. Apart from that, the security measures considered for the campus
was not enough tight.
Besides this, the university authority was incapable to inform all the security officers
about how to improve the security of the campus area. Multiple devices were implemented for
successfully upgrading the lecture capture project. However, it is identified that some of the
devices failed to give response on the upgrade codes. In fact some rooms were used only when
the project staffs were arrived. Apart from that, project schedule is the other project knowledge
area which contributed to the issues. The project schedule was negatively impacted because at
the beginning stage the team it will be completed in only 4 days.
Actions can be prevented
There are some remaining actions needed to be taken by the project staffs and supervisor.
Feasibility analysis, cost and time management plan are the different actions to be taken to
mitigate the identified issues. The project team is facing issues with security risks. In order to
mitigate security risks the campus security officer needs to be informed about situations and
activities to be taken. There were some devices those failed to give immediate response on
upgrade codes. Manual intervention is the best suited action that can improve the issue.

As a project manager, the main risk that I feel can interrupt the application, functions and
operation of the lecture capture device project is feasibility and schedule related risk. At the early
stage of development the project supervisor estimated that it will take approximately 4 days.
However, while conducting the project the supervisor found that the project will not be
completed in 4 days rather it needs additional time. If the time exceeds then respectively
resources and cost estimated for the project will also get enhanced. If time and resources get
exceed then overall feasibility of the project will again be interrupted.
The time schedules for the lectures are needed to be auto scheduled to ensure that no
operational and functional risks are occurring during the planning and execution of the project.
Limited resources and lack of previous experiences and skills of the project staffs is the other
risk that I feel can interrupt the project outcomes. Apart from that, as all of the lecture rooms
were not open or unlocked for that also risks can occur was identified earlier.
