Effective Communication and Project Methodologies in Project Management

This article discusses the need for effective and structured communication between project managers and team members in project management. It also critically analyzes different project methodologies and recommends the best methodology for a case study. The recommended methodology is PRINCE 2. The article concludes by emphasizing the importance of project management in achieving project goals.

INTRODUCTION
Project management involves the set of diverse activities carried out by project manager
along with its team member in terms to carry out successfully project within stipulated time
duration. It involves the set of desired strategy and method incorporated by entity with the
objective to successfully attained predetermined objectives. This method basically encompasses
the use of budget under which focus is given on different areas for whom timescales are set to
manage the operations of unit (Braglia and Frosolini, 2014). Further, it makes it vital for the
project manager and internal team members to have adequate skills and knowledge about subject
in terms to successfully plan out the operation of business unit.
To better define the topic QA higher education has been selected that have effectively
designed a new course which is Sustainable business that is immensely required to study in
present environment. The role of programme convener is to organise the trip of Uganda that can
help students to explore interesting sustainable projects. This report cover topics like
presentation of structured communication which take place between the project manager as well
as team member. Along with that examine different project methodology along with their
strength and weakness. Further, recommend the best suited methodology according to the
mentioned case study.
MAIN BODY
1: Explanation of the need for effective and structured designed between project manger and
team members
Communication is basically the process under which idea, values, thoughts and concept is
shared amongst different parties. Here message is transmitted from one end to another end which
can two or more than two way process of interaction (Burke, 2013). In relation to the QA higher
education it is vital for project manager and team member to interact with one other as well as
with external member like faculty and sponsor.
Mathematical Theory of Communication
This theory of communication was propounded by Claude E. Shannon in the year 1948 to
enhance the effective communication carried between sender an respondent. Communication
comprises of different elements which are explained below:

Sender: Sender is the source of communication from whom the interaction starts as
within QA higher education the project manager is the initiator.
Encoding: It is the symbolic codes which are designed by sender for smooth flow of
communication. Efforts needs to be paid in by QA Higher education to avoid the use of jargon
and significantly transmit the message.
Message: Message is the information that is designed by sender in order to intent the
communicate for desirable stakeholder. Within QAHE project management team can formulate
the message either in written or oral from.
Communication channel: Channel is basically the medium that can be face to face,
video conferencing and email on the basis of which QA higher education company can approach
to its recipient.
Decoding: Receiver convert encoding into decoding by understanding the message and
carry out performance accordingly (Fleming and Koppelman, 2016).
Receiver: This refers to respondent for whom sender takes efforts and produce message.
The project manager of QAHE constantly approach their team member in terms to perform task
effectively.
Noise: External distortion or disturbances that can hinder the effectiveness of message.
This leads to negative impact on the designed communication process.
Feedback: Feedback is the reviews generated by receiver which examine whether the
whole process of communication are carried out significantly.
2: Critically analyse the methodologies that help to run the project case as well as recommended
desirable methodology which could be best utilised
Agile methodology:- This is a process of compiling all the software programs to solve the
errors by collaborating efforts and cross-functional activities which leads to achieve specific
target for particular duration. It promotes the physical process of development and examine the
software development life cycle of the activities performed (Hanisch and Wald, 2011.). The
managers of QAHE business management implement this Agile methodology to sustain in the
competitive market with their secured funding. These method consists of various strengths and
weakness which are as follows:-
Strength:-

 Increase co-ordination:- This focus on the co-operation and co-ordination of QAHE
business faculties to perform their task collectively which leads to achieve goals by
interacting with one another.
 High consumer satisfaction:- The QAHE business target on high consumer satisfaction
level for their consumers which leads business faculty to focus on their consumers needs
and desire to satisfy them effectively.
 Quality Assurance:- It is very necessary for QAHE business management to manage the
quality of their software programming which attracts their consumers to purchase, adopt
or update it. This quality is to be maintained by secured funding to its quality which
differentiate form others (Kerzner, 2013).
Weakness:-
 Problems with workflow co-ordination:- The QAHE business management challenges
the problem with workflow co-ordination as it creates jealousy among the business
faculties which delay in goal achievement.
 Lack in Long-term planning:- This is the most controllable risk as it takes time to
develop programme for software in QAHE business management which creates
deficiency in goal accomplishment and lacks in success.
Waterfall Methodology:- This is described as the breakdown model for the project
activities which discriminate the task into various categories that leads specialisation in the
performance which leads the stability of organisation to compete from its rivalries (Meng,
2012). The managers of QAHE business management focus on distribution of work according to
its specialisation which tends to accomplish organisation goals efficiently. These methodology is
further described with its strength and weakness are as follows:-
Strength:-
 Easy to manage:- The business faculty of QAHE business consists ease in managing
their function in this methodology to perform certain activities easily as they are divided
according to their specialisation of work.
 Proper documentation:- The business faculty of QAHE business prepare proper
management of documents which leads to achieve success and to perform their task with
effectiveness and efficiency.
Weakness:-

 Risk and uncertainty:- Every organisation faces risk and uncertainty to perform their
task effectively. The business faculty have to challenge the risk and unwanted
circumstance which affects the standardised goals of business. The managers of QAHE
business management have to deal with risks of software development as to ascertain
high return in goal achievement for their success.
 Scope adjustment:- There is no scope for QAHE business management to manage or
adjust the changes taking place as it consists of long process which is difficult to stop and
operate the new goal (Ramazani and Jergeas, 2015).
PRINCE 2 Methodology
This is considered as a desired project methodology that is useful in terms of figure out
diverse elements that can be used take effective decision within stipulated time duration. It is
viable approach on which emphasize is given to focus on planning, organising as well as
controlling of diverse activities. It comp[rises of various principles whose objective is to
perform diverse project activities by reducing the chances of performance gap or any error. In
retaliation to the QAHE can plan out the project activities on the basis of PRINCE 2 model as it
enhances the possibility to gain success and attain desirable goal successfully. The principles are
discussed below:
 Project needs to be clearly justified as at each stage the project manger needs to have
clarity about the cost, risk and benefits derived while incurring performance.
 Team member needs to constantly learn from their experience in order to mitigate the
chances of mistake.
 Roles and responsibility are clearly allotted
 Objective are break down in different task to make it simple and carry out activity within
specific time frame.
 Manage routine activities of business
 Focus to maintain the quality and achieve requirements of projects Control the resources and manage the chances of risk associated with project
Strength
 This model gives priority to diverse activities of business in order to carry out productive
and effective result. It is the flexible model that can easy to understand and apply for different projects.

Weaknesses
 This model lacks to effective work for small projects.
 Soft skills like communication and persuasion are not covered (Walker, 2015).
Therefore, from the above methodologies it is recommended for QAHE university to
effectively adopt PRINCE 2 in order to successfully design and incorporate the project. This
framework comprises of desirable guidelines that needs to be followed by project manager
successfully. Further, it also helps in better administration, control and management of tasks.
CONCLUSION
From the above report it has been determined that project management is the crucial part
of business entity as it helps to carry out project tasks efficiently and effectively. The project
manager and their competitive team member collectively work on particular project in order to
reduce the chances of hurdle and participate in smooth business activities. This makes it essential
to conduct effective communication between project manager and their staff so that inclusive
efforts can help in successfully help QAHE to undergo the trip of Uganda and add productive
learning experience about sustainable business. Further,different methodologies like Agile and
PRICE2 has its own advantage and disadvantage due to which suitable option needs to be
selected to perform the purpose of particular project successfully.
