Homework Assignment
AI Summary
This assignment analyzes stakeholders and information gathering techniques for an online help desk system, focusing on the SAIBT environment. It begins by defining the four dimensions of stakeholders (internal, external, operational, and executive) and categorizes stakeholders within the context of the help desk system, including SAIBT, other educational organizations, staff, and students. The assignment then explores various information gathering techniques, such as interviews, questionnaires, and the collection of user comments, highlighting their relevance to system development. The document also compares Google Drive and OneDrive, detailing their features, costs, and user bases. The assignment concludes with an activity diagram illustrating the process of purchasing a flight ticket. The assignment provides a valuable case study for students studying systems analysis and design.

1. Stakeholder Dimension Definitions
Stakeholder is an individual or groups of individual that directly or indirectly affects the
Company. The types/ dimension of the stakeholder can be categorized on the basis of their
interaction with the system (Miles 2017). The four dimensions of the stakeholders are describe
below.
Internal stakeholders are the stakeholders that affects or affected by the company or
business from internally. On other hand, External Stakeholders are the stakeholders who do not
work inside the business or organisation (Amadi, Carrillo and Tuuli 2019). However, their decisions
and action affect the business externally. Operational Stakeholder, stakeholders are the
stakeholders that performs any operation within the organization or conducts any activity in a
project. Similarly on the basis of the interaction Executive Stakeholders are the individuals or bodies
that performs any executive actions for organization or project such as decision making, funding, etc.

organisations
External Student Student
Based on the template above the stakeholders are identified and placed within the
most suited category of the stakeholders. First the SAIBT and the other education organizations are
the internal stakeholders because they are inside of the system. Similarly they comes under the
executive stakeholders as they perform the executive processes for the project. Second, the Staff of
the help desk system are supposed to work inside the company; hence, they are internal
stakeholders (Andriof and Waddock 2017). Whereas they done operational process inside the
system, which place them into the operational stakeholder. Lastly the student comes under the both
operational and executive stakeholder as they perform the operations by using the system and
receives system acknowledgements during the interaction.

3. Information Gathering Techniques
Information gathering techniques are used to determine the requirement of the systems clearly
which can be gathered from person, document, by observation etc. The more the information can be
gathered, the more it will get easier to include all the functionalities in the proposed system (Davis
and Yen 2019). It also helps in the system design which is later used in the development of the
systems. Some of the suitable and most relatable information gathering techniques are described
below which can be helpful in the development of the online help desks system for the assignment
helps.
Interviewing: Interviewing is the most effective way of information gathering techniques. In this
help desk system development, interviews can be done with the SAIBT and other education
organizations about their requirements (Miller, Redlich and Kelly 2018). The expected
functionalities from the system can be asked in the interview. Students can also be interviewed
randomly about what they expects from the system.
Questionnaires: A well prepared questionaries can be helpful in highlighting the main
requirements of the system. Such as features, capacity, and methods of any operation. Using
questionaries and providing them as a survey to the stakeholders of the company can provide
expected answers (Brace 2018).
Reviewing inputs-outputs: Reviewing the inputs-outputs of the organisation’s processes can
also clarify about the input and output of the developed system. By observation, documentation
or reports, it can be assessed.
Collecting active user comments and suggestions: Collecting feedbacks and user comments
from the users of the system can be helpful identifying the problem domains and eliminating
those problems (Stade et al. 2017). The feedbacks can be gathered from both end users that are
both students and staffs.

Question 4
Google Drive: Google drive is cloud storage service provided by the company Google. The main
feature of this service to store files beyond the hardware limits. All the users are given 15 GB free
storage after signing up. Mostly the Google related devices stores their data, such as images,
contacts, documents, etc. on the drive automatically (Google Drive: Free Cloud Storage for Personal
Use 2020). The most unique feature of the Google drive is that it can back up the whole data of any
Google enable device in to the drive.
OneDrive: OneDrive is a storage platform which is based on the internet where some storage is
offered by the Microsoft to the users. It can be used as the virtual storage device based on the cloud.
Up 15 GB of the storage is given free to its customer. Above that free benchmark, the company
charges customer on monthly or yearly basis. The offer changes time to time. A user can place their
files on the cloud storage (Personal Cloud Storage – Microsoft OneDrive 2020). One of the unique
features of the OneDrive is that it can sync the cloud storage folders with the Windows desktop or
laptop directly.

From the above comparison, it can be observed that both the products provide almost similar type
of services with same rates. The selection of the better service between them depends on the device
on which the service will be used. For windows product, the OneDrive provides better speed and it
can be directly synced the desktop to the OneDrive storage. Similarly seeing the rate and size
received on the same price, the Google drive seems better. On the Android based smartphones and
other media devices, it will be a better choice as it provides more storage than OneDrive along with
better history management and advance search techniques.
