This document is a research and reflective report on project management issues. It includes an introduction to the project team and the role within it, comments on the project significance and what was learned from the experience, identification and explanation of key problems/risks encountered and the response to them, discussion on team dynamics that worked well, identification of key team dynamics that impacted team performance and how they were managed, evaluation of what worked well and what did not work well in terms of team composition and process, and introduction and justification of an academic theory (stakeholder theory) to deepen insights into the project management issues.

and 2) research on two project management issues in which you are required to use appropriate concepts
and models relevant to deepen your insights into the issues.
Your work should be of a high academic standard. Your reflection and research should be uploaded electronically

prepared by a number of visiting Swinburne project management scholars.

The project team that I was working with consisted of a total number of 4
members that consisted of the Project Team Leader and also a Librarian. This
would be necessary for the project to have a proper establishment of the auto-
checkout system for the customers so that they can easily check themselves out
when they would require leaving with any product from the Woolworths Australia
outlet. The four team members are aware of their responsibilities for the project,
and I am aware of my responsibilities as the Librarian as well. We understood
that in order to complete the project, we need to go through the planning for the
entire project and would also need to understand the problems regarding the
project so they can be avoided for the feasible establishment of the project.

The project that I have gone through is the establishment of the automated
checkout system though a mobile application for the customers to be
established in the organization of Woolworths Australia. This would help the
customers for Woolworths to be clear of any kind of hassle while they would be
checking out of the outlets and also the inventory management and the
checkout systems would not require any employees for the checking out of the
customers as well. The significance of this project has been huge in terms of the
project as this project ensures a proper management of a system even without
the requirement of any human power to handle the system.

According to the problems that I have faced during the project, I can state that
the risks encountered during the project had been as follows:
 The problems regarding the understanding between the team
 The budget allocation according to the schedule
The response from my side towards the race where to explain the occurrence of
the risk and the measures to mitigate them according to the understanding and
skills of the team members. If the project strategy was being described to every
team member it would make it easier for them to acknowledge their personal
project goals and in this way the allocated budget and schedule would also be
maintained.

The team dynamics that work extremely well during the progression of the
project was the conduction of the project group explain for the strategic project
management.
This involves the explanation of all the responsibilities of the project team
members according to the roles in need to maintain within the project. This was
one of the primary reasons that the team understood that dynamics and all the

The project was involved with the development of the mobile application that
requires that all the customers would check out through the gates of the store
and at the time when the where to take the product from the stores the mobile
application would help in scanning the barcode of the product and also , this
would help in updating the virtual basket in the digital invoice for the customers
that the product that was checked out it is not available anymore. One or two of
the key team dynamics have led a particular positive impact on the team
performance. This was identified to be the understanding between the team
including every individual employee who were involved for the progression of
the project. Starting from the team members to the associated librarian and
team leader, everybody understood the importance of maintaining the project
quality by understanding their individual task between the Project initiation and
the closure of the project. The system that was implemented within the
organisation extended maximum knowledge transfer due to this format of
understanding self between all the members of the team.

What worked well: One aspect that worked well what's the understanding
between the team members and the way that you understood the explanation of
the vision and mission for the organisation that was to be achieved with the
project.
What did not work well: One function that did not work that well was the
method of communication that was set between the project members. This
included the members to manually record all the project data. it was also the
responsibility of a single person to type everything manually and send it to all
the team members associated with the project. This was problematic and time
consuming at the same time.

For understanding the theory based on the project, I watched three videos, but
out of them, two were selected to be discussed in this section. The two videos
that were selected was the Project Risk Management by Professor Suzanne
Rivard and the Success of the Mega Projects by Professor Rodney Turner. The
videos were selected because they were found to be somewhat relating to the
problems that were often found to be occurring within any average project. The
Mega Projects are the ones that might be neglecting various issues that might
appear to be trivial for them but in reality, these smaller issues need to be
identified else there would be a chance of the entire project to be failing.One of
the primary problems that is frequently seen in this type of cases is the size of

the organisation. Mostly, large organisation does not want to acknowledge the
presence of risk within a project and did not want to acknowledge the fact that
presence of risk and risk mitigation faces can be implied before a project is
beginning (Noe et al. 2017). Some of the big organisations also considered risk-
management considerations to be for the smaller organisations as these would
have a potential of turning down the entire establishment (Harrison and Lock
2017). They do not understand that a risk is a factor that do not depend upon
destroying a project by a small organisation or a large organisation.
Another management issue that is frequently seen is the maintenance of the
team communications. It is important that every person involved in the team is
shared with all the knowledge about the organisation, which is not done
because there might be a presence of hierarchical body who do not have the
structure developed within the team for them to easily share every issue with
them (Turner 2016).

The team members involved within the entire project went through some
academic views that many people can experience in a project (Uhl and Gollenia
2016). Following would be a description of two of these problems that
management within a project frequently face as described by the international
speakers. The academic theories that has been described in the videos for
deepening the insides to the issues identified in the project has been done in an
elaborate way (Kerzner 2019). Out of these is one of the chosen academic
theory is to be introduced as below:
Stakeholder theory: Stakeholder theory is an idea about the stakeholders and
the theoretical meaning of how managers can primarily provide the effect on the
project as experienced by different stakeholders involved (Kerzner and Kerzner
2017). In simple terms, it is the duty of the manager to make sure that project in
hands is the interest of every stakeholders included in the project in such a way
that law and social values are not harmed. Every project should begin with the
accounting of multiple constituencies and their impact in a project along with the
interest of every stakeholder including the suppliers, creditors, employees, local
communities and other internal and external stakeholders (Smith, Russell and
Tennent 2017).
With the chosen academic theory, I would like to justify my choice because the
primary problem that described within an organisation while handling a project
might be facing a situation where there might be occurrences of such problems.
The project team might not understand how the outcomes of the project can be
influenced by them and then this effect on the end products will influence all the
involved stakeholders (Marcelino et al. 2015). The project team might also not
understand the impact of every stakeholder that was involved in the project.

Their opinions when not been taken into consideration, might form a gap in the
project management methodology; implied that there was lack of
communication between the project and the stakeholders involved. This is why
stakeholder theory was chosen by me from all the problems described amongst
the academic videos so that the project managers should understand what the
outcomes of a project can deliver according to the understanding it gathers
about the roles of every stakeholder within the organisation about a project (Le
Roy and Fernandez 2015). With this understanding established, it would be
easier for everybody within every organisation to understand that importance
and their opinions and also would help this people considered the opinions and
interests of other stakeholders that are directly or indirectly associated with the
project outcomes as well.

Any project that I might be associated with can be based on the development of
a project for a large sized organization, which would invest a lot in developing
projects for the customers. There might be a system that would be required to
be developed as it had a lot of scope but the project objective and deliverables
might face a lot of problems during the identifications of the roles and
responsibilities of every project team member (Badewi and Shehab 2016). This
is identified with the help of the stakeholder analysis theory, as the employees
understand that not just the customers and the project executive that are
considered as the responsible people and stakeholders for the organisation and
the project that we decide what is going on within the project. They can consider
themselves as well for the understanding that they have developed during the
project and suggest feasible measures. The stakeholder analysis theory states
that every stakeholder involved within the project should be taken into the best
interest of the entire project. Every stakeholder should or can present their
insight on which the project would be dependent on maintaining all the legal and
ethical constraints of the project (Mansell 2015).
With this explain theory about the stakeholders, I understood that it is just not
the importance of the project executive and the project manager that would
decide if an organization or a project would be implemented at the time and
point of decision taken by the hierarchical bodies. The project team members,
the executives and the project manager may also voice their thoughts about the
project and deliver any kinds of feedback that they have according to the project
progression (Rosemann and Brocke 2015). This is the same learning that I have
gathered from the described academic theory and by tallying it to the real-life
incidents that I might have faced as the project team member with a large
organization associated with any type of project. I understood that even my
scope of interest within the project would be important to be taken care of by the

project manager. It is just not that the project manager would have the sole right
of deciding every project and project task associated but it would also have the
interest described about every person involved, including me (Hopkinson 2017).
This is the reason that I have decided to go through all the videos and acquire
all the academic theory and the information regarding them from the source of
these renown project management bodies (Smith, Tennent and Russell 2018).
The restrictions that they have provided about stakeholder analysis in the way
this analysis process will be conducted, has prepared me in taking care of all
the members involved within the team along with the project manager. being in
close proximity with all the employees in the team project other than the
manager, apart from the rules and responsibilities described for me, I could also
experience about the ensuing of an unrest regarding the issues above. With
these academic ideas, I can successfully understand what the position of a
stakeholder is within the organisation and their saying about the project. They
have made understand that how important is my choice of interest within the
organisation and how I can voice my likings and disliking (Valentinov, Roth and
Will 2018).

The learning that I have gathered from the stakeholder theory as mentioned in
the video describing the academic theories behind the project management is
how the dependence of a risk in devising a proper project is dependent upon the
people within the organisation involved in a project (Miles 2017). I understood
the fact that a project cannot be considered to be a successful one if it is not
what is found that all the stakeholders involved in the project are satisfied with it.
Therefore, from this learning that I have gathered, I found that every stakeholder
involved with the organisation have the right to voice their opinions about a
project and all the stakeholders is the liability of the organisation (Berman and
Johnson-Cramer 2016). Therefore, the organisation should maintain the fact
that every stakeholder involved within the organisation and the project is
interested within the project throughout, right from the project initiation phase to
the project closure phase. This would not only make sure that the project is
followed up in an effective way but also ensure that all the tasks in the project is
progress in the best possible way given the interested project team members,
which boosts up the morale of the total project (Slack and Brandon-Jones
2018).

Complexity Theory: The identified topic for the second issue for the academic
theory would be based upon the complexity theory that is derived from the
academic video based on the success of mega project. The complexity theory in
project management states that the social behaviour of the teams and all the
people involved with the project provides a project manager with the idea of the

future of the project that helps in driving the management field and make sure
the project managers the idea of applying all the principles that has been learnt
immediately for producing a much more favourable outcome for the project
(Phelan 2016). Complexity within an organisation or project is not linear, and the
nonlinear structure of the complexity would make sure that the output that has
been gathered would not have the project management executives in acquiring
the accurate form about the future of that particular constraint. The theory as
described by Rodney Turner also elaborate how it is impossible to predict the
future of any project without knowing about the risks associated, the project and
the business structure in near future. this year also elaborate the differentiation
between a success of a project and the success of a project management.
The success of a project is defined by the way by which it successfully achieved
all the set goals at the initiation phase of the project. Where on the other hand
the project management success is defined by completing a particular project
on time and within budget (Dominici and Roblek 2016).
Out of all the theories described in this academic video, I have chosen the
complexity theory based on any project that I might be a part of in future. I may
be associated with any project with a large sized organization. Since the
organization might be one of the biggest organisations in the world, the project
can also be termed as a mega project (McIntosh 2017).
It is also so important for me to understand how the project can be termed as a
successful one and what would be the reasons for which the project would not
be considered as a successful project implementation. With these gathered
ideas I would be able to understand the identification of complexity within the
project and also make sure how to utilise the initial planning of the project to
make sure that the project is completed in the said time and budget meeting all
the project-oriented goals.

The understanding that I have gathered from this theory is that larger projects
have bigger ways of attaining failure in a project without realising. There are a
lot of problems in a large organisation that do not acknowledge all the aspects
of a project management and even the difference between the success of a
project management and success of a project. It needs to be understood that
the particular project that is being developed for the organisation is not
dependent on the success of Woolworths. Even if the project does not contain
the success that it has estimated, this would not mean that the entire
organisation would face problems because of the implementation plan
(Riboldazzi 2016). This is a phase that the organisation is trying to implement
given the innovative and easier way of handling customer checkout and
inventory management. The complexity of a project only becomes visible to the

system when a particular project effect is considered to be complex in nature
comma which has no predictability in the future. from the academic theory, I
have also understood that the project expect that do not have a future to be
estimated from before can be declared as a complex project aspect which
makes the project become complex further (Qiu et al. 2016).

I might be associated with a huge organization, and the project that I would be
working on might be dependent upon the budget and the timeline of the project
which is considered as a constraint. The budget cannot exceed in a certain way
and it also needs to be justified how every aspect of the project development
has gone through, maintaining proper quality for the project. Here I would like to
add that the project that I have been associated with had few problems
regarding the understanding of the project team members about their roles and
responsibilities. This could create a problem in the project and that can even
have the potential of hampering the completion of the project in proper time and
within the budget (Mesjasz 2016). I also understand that the project can face
several difficulties if the confusion between the team members linger. Therefore,
this would be regarded as the failure of the project management. the
understanding of the academic theory as mentioned by Rodney Turner and the
process that I might get through in real life is, gave me a total insight about the
projects that I have currently gone through and all the future projects that I will
appear to be a part of. I can now understand how the project can be considered
as a successful one in the most effective way to make sure that the project
become success including the enhancement of the reputation for any
organization that I might become a part of as a project team member.
