Executive Summary
The main scope of this assignment is to deal with the evaluation of the problems in the
manual enrolment procedure by the Melbourne’s National University. The new online
enrolment system is to be developed for enhancing the enrolment procedure of the National
University. This documentation will deal with the System Vision Document for the
enrolment system. The different modules of the System Vision document are provided in the
below report.

1. Introduction
The report will deal with the System Vision Document for the procedure of enrolment
for the students to the National University of Melbourne. The aim of this enrolment system is
to provide the students with a facility of accessing the administrative facilities of the
University online that is the students could easily and effectively go through the services
provided by the university and enrol accordingly within a very short time. The assignment
will cover up the important parts such as the inception phase, which includes the designing of
the system, the requirements to achieve the design, and the problems that could be faced
while designing the system. This overall structure of the System Vision document will
definitely enhance the enrolment procedure of the Melbourne’s National University.
2. Descriptive analysis of the System Vision Document
2.1 The issue description
2.1.1 Existing issues in the current system
The existing facilities of the system is that the administrative facilities is provided
manually to the students of the Melbourne’s National University. The manual structure for
providing administrative facilities come with drawbacks. The main disadvantage of the
manual system is that the students have to wait in a long queue for enrolment which hampers
the time of the students at the premises of University. However the time is consumed for the
filling of the admission forms as it has to be hand written by the students (Okada et al., 2019).
Then the time for paying of the admission fees as well as the other fees in the accounts
department of the University take a longer time.

2.1.2 Structure of the new system
To provide the students with an ease of access to the administrative facilities, the
University is pushing hard for the implementation of online administrative facilities that can
be availed by the students from anywhere. The university ensures that with the
implementation of the new system the student will provide exposure to all the facilities that
are provided by the University manually and takes time.
2.1.3 Analytical Overview of the subsystems
The new system that is dealing with the online administrative facilities to the students
can be very helpful for the management to keep a track of all the personal information of the
students when they enrol online. This system will display all the courses or programmes that
are provided to the students by the university. The students will be given full access to the
course structure as well as the fees structure for the courses (Kimmons, 2015). They can also
avail the facility to choose the preferable class timings for the opted course by the students.
The university is also trying to implement a payment gateway in the system so that the
students could pay their fees for the opted classes using the system. After the successful
completion of the payment the system will auto generate a receipt, which will display the
opted facility and the transaction status to the students in a pdf format.
2.2 The system abilities
The system that will be provided by the University to the students for enrolment will
be very user friendly and the system will facilitate the students with an easy access of the
designed system (Cummins et al., 2016). The system will be a description of the university
programmes as well as the course fees structures for every programmes. The abilities of this
system are explained below:

The collection of the personal information: This is the first and the foremost step that
is considered by the system is the collection of the personal details of the students. When the
student will try to avail the facilities online, the system will ask for the personal details to do
the registration of the student (Gray et al., 2016). This information collected will be saved in
the server directly. After the information is submitted in the system it will be verified and
saved in the university’s database.
Course Selection: The University has listed all the programmes or courses as
provided by them in the system. These courses include the all the major courses as provided
by the university (Marshall, 2016). A student can choose the preferable course and then
proceed further with the enrolment procedure. The exam section for the course is also
selected by the student. These inputs will be verified by the University to assure the
selections done by the student.
Lectures selection: This step in the system provides a display of the lecture timing for
the selected courses. The students are provided with the different lecture timings so that they
can choose the preferable time of lecture according to their convenience (Novikova,
Akhmetshin & Martynova, 2017). The students will not be allowed to choose a lecture timing
if the student capacity for that lecture is full. Then the student will have to choose a different
lecture timing for the selected course.
Final Verification: This is one of the most important step in the system as this step
allows the final verification of the student’s credentials as well as the course and lecture
selected by the student (Maid Madhuri et al., 2017). After the final verification in this step the
student will not be allowed to make any changes in the previously selected fields.
Payment phase: This step will be the final step of the enrolment procedure. In this
step the student is facilitated for submitting the course fees online (Avinash et al., 2015). The

university will be implementing a separate payment gateway which will enhance the payment
of course fees of the students. This will be very effective as it will save time both the students
as well as of the management.
Final step: This is the last and terminal step of the enrolment procedure. This step
ensures the students about the selection that they made about the course, the lecture classes as
well as the payment they did (Gul et al., 2018). In this step all the selected credentials are
provided to the student and the payment receipt which ensures about the selection and the
transaction status.
2.3 The proposed business benefits and its outcomes
2.3.1 The suggested outcomes
The payment gateway as provided by the University in the student enrolment system
which will be very effective in the University’s business management structure. This
payment gateway will enhance the University to keep the track record of the students who
have actively scheduled the lectures and had made the successful transaction for the lectures
(Van Daele, Frijns & Lievens, 2017). The end users that is the students will be positively
affected by the implementation of the payment gateway in this system.
2.3.2 The benefits of the business
The business of the University will be benefitted by the implementation of the
enrolment system. The system provides a clear and critical analysis of the whole
administrative facilities as provided to the student (Northey et al., 2018). As the system
provides an easier interface to the users the enrolment system will be an effective method for
the enrolment of the students. The structure of the system is so effective that it can gain a
good profit for the business.

2.4 The resources required
2.4.1 The Hardware Requirements
 The minimum RAM requirement is 1GB.
 The minimum HDD requirement is 512GB
 The processor of the server system should be minimum Intel Dual Core.
2.4.2 The Software Requirements
 The program language : JAVA
 The Database software : MySQL
 Any GUI Interface
2.4.3 Human Resources
The management of the Melbourne’s National University should have the
responsibility of recruiting a different team whose main task will be the maintenance of the
system from the server side (Cattaneo et al., 2019). This team will have the responsibility to
provide the data access to the students. This team should be very effective in managing the
data as provided by the student for enrolling.
2.4.4 The financial aspect
The management team of the University should be proactively funding the sufficient
amount of funds for the development as well as maintenance of the suggested system f
enrolment. This will enhance the systems getting upgraded from time to time and can be also
be managed effectively.

2.6 The feasibility of the project
Technical: The technical feasibility is related to the software and the hardware requirements
needed for the development of the project.
Economical: The economic feasibility is associated with the funds that are required for the
development of the project.
Legal: The legal feasibility includes the factors that a risk management team and the
maintenance team faces while maintaining the system.

Operational: The operational feasibility includes the ease of access of the user interface by
the students.
3. Conclusion
The above provided System Vision Document is a detailed analysis of the enrolment
system. The proper documentation of the requirements for the development of the system is
provided. If the development procedure follows the structure of the stated System Vision
Document then the framework of the enrolment system will be very effective to carry out the
enrolment procedure among the students. Moreover, the design of the enrolment system is
very effective as it provides a great user feasible interface to the students and carry out the
enrolment procedure.
Thus the online enrolment system is an effective solution over the manual enrolment
process that is in use by the University.
