Introduction
Tier One Suppliers Insurance Group (TOSIG) is an organization that offers insurance to the
tier one suppliers. The main aim of the organization is to offer excellent insurance services to
its clients and maximize the customer base. The agents of the company are provided with a
vehicle, laptop with wireless network connectivity, and a Blackberry Smartphone. With the
expansion of the business, it is now required to upgrade the information systems, introduce
enhanced mobility in the business, and move to the cloud-based system. The upgrade will
start with the implementation of an enhanced customer relationship management system. The
agents will also be provided with a tablet that will be pre-populated with the customer data to
save time. Enhanced mobility and cloud-based system will be introduced in the organization
to provide remote access to the agents.
Purpose of Project Management Plan
The purpose of the project management plan is to highlight the guidelines for the
management of project areas viz. project scope, schedule, costs, human resources, quality,
communications, risks, issues, and procurement (Sozuer & Spang, 2014).
Executive Summary of Project Charter
The project aim is to upgrade the customer relationship management system and implement
cloud-based system for Tier One Suppliers Insurance Group. The project will be covered in
total timeframe of 115 days and will take approximately $95,000 to be completed. It will be
headed by the Project Manager and there will be other resources assigned to the project. The
project is found as feasible from the technical, operational, and financial aspects.
Assumptions/Constraints
The funds required for carrying out the project activities will be provided by the
project sponsor.
The workstations for upgrading the customer relationship management system and
migrating to the cloud-based systems will be provided to the members of the project
team.
The project team will adhere to the estimated schedule and costs.

Implementation of the systems for the organization.
Network integration and migration of the data sets and services.
Testing of the systems that are developed.
Review of the systems and management of the changes.
Deployment of the system and closure activities
The project team will not cover the marketing of the upgraded customer relationship
management system for the organization.

Change Control Management
There may be several changes that may come up during the project. Change control and
management will be necessary for the project. The changes will be managed using the phases
as defined below.
The change requests will be approved by the project sponsor and the change scope, costs, and

The project will be carried out in a series of phases. There will be five phases in the project as
Project Initiation, Requirements Analysis & Planning, Project Execution, Project Control, and
Project Closure phases. Each of these phases will have certain activities and sub-activities
that will be included under each phase. There will be a time period that will be required for
the execution and completion of these activities.
The timeframe allotted for the activities, start and finish dates, and the duration has been

Project Costs
There are resources that will be associated with the project as Project Manager, System
Developer, Technical Head, Implementation Engineer, Business Analyst, Technical Analyst,
Finance Officer, UI/UX Design Expert, System Tester, Technical Writer, and Trainer. Each
of these resources will have a share of costs associated with them.
There will also be other costs associated with the project as cost of tools, cost of
development, maintenance costs, and training costs. The total cost estimated for the project is
$94,584 (Jayaraman, 2016).

Quality Management
Management of project quality is necessary to ensure that the expectations of the customers
are met and the customer satisfaction is attained.
The following process will be followed for quality management.
The quality standards that will be followed in this project are Total Quality Management
(TQM) and Six Sigma. A Quality Management Plan will be prepared in the first phase that
will list out the quality standards and methodology that will be followed and steps that will be
carried out to manage the project quality (Jabnoun, 2012). There will be testing activities that
will be carried out to assure and control the project activities.
System Testing: The functional aspects of the customer relationship management
system and cloud-based platforms will be tested in this process.

Performance Testing: There will be multiple users that will simultaneously access the
system and the response time, throughput time, and access time will be tested under
this process.
Regression Testing: There may be certain defects that may be present in the system
and the resolution of these defects will be made by the assigned resource. The testing
will cover the impact of these defects on the other project functionality.
Security Testing: The system may be exposed to information security and privacy
issues. The security aspects will be tested as a part of this activity.
Usability Testing: The usability of the system and the user –experience will be
validated and verified in this testing type.
There will also be reviews and inspection processes that will be carried out by the
management committee and resources.
The continuous improvement activities will be carried out to understand the existing gaps and
the changes that may be required to be made.
Human Resource Management
There are resources that will be associated with the project as Project Manager, System
Developer, Technical Head, Implementation Engineer, Business Analyst, Technical Analyst,
Finance Officer, UI/UX Design Expert, System Tester, Technical Writer, and Trainer.
The Project Manager will be responsible for the management of the resources and to ensure
that the project information is communication to the resources in a timely manner. There will
be a daily team meeting that will be conducted to discuss the resource contribution,
individual issues, project issues, and project progress (Huemann, Keegan & Turner, 2007).
The management will also carry out one-on-one discussion with the resources to understand
their concerns and woes. The allocation of the resources to the project tasks will be done
upon a skill assessment of the resources and a Responsibility-Accountability-Contributed-
Informed (RACI) matrix will be used to assign the resources with the project activities.
Communications Management
There will be daily and weekly team meetings carried out with the project team and the
external stakeholders to communicate the information and resolve the outstanding issues.

The modes of communication that will be used in the project will cover use of emails and
instant messages for sharing project updates and details. SharePoint location will be used to
upload the project artefacts and critical documents. Tele-conferencing mediums will be used
to connect with the remote resources and stakeholders. The following set of reports will be
shared to maintain effective communication.
Daily & Weekly Progress Reports: The internal members will share a daily progress
report with the Project Manager and the Project Manager will share a weekly progress

The above set of processes will be used to manage the project risks. The risks will be
identified using the techniques as domain analysis, interviews, brainstorming, and group
discussions. The analysis of the risks will be made on the basis of impact and probability
score and a risk rank will be evaluated. The risk response and treatment strategy will be
mapped and carried out. The control and monitoring activities will cover risk reviews and
inspections. The final status will be included in the closure activities (Sanchez, Robert,
Bourgault & Pellerin, 2009).

The project issues shall be managed using the conflict and issue resolution and management
approach. The Project Manager shall discuss the issues in the daily and weekly meetings and
the viewpoint of all the members shall be obtained. The final decision shall then be
announced by the Project Manager.
Procurement Management
Market research and analysis shall be conducted using the automated data analysis and
marketing tools. Expert judgement and evaluation meetings shall then be conducted to plan
the procurement.
The procurement process shall then be carried out by the Procurement Manager and Project
Manager and there shall be contractual terms defined before making the procurement. There
shall be review reports submitted regularly.
