Best Practices for Virtual Teams - Coordination, Communication Charter, and Rhythms

This presentation discusses the best practices for establishing effective virtual teams. It covers three important practices - Coordination & Clarification, Communication Charter, and Building Rhythms. The presentation also provides various tools and techniques that managers and leaders can use to ensure effective communication and coordination between team members. Following are the three important practices which are
recommended for the purpose of establishing the effective
virtual teams:
Coordination & Clarification: The most important step for
the managers and leaders is ensuring clarity, which means,
leaders of the organization needs to ensure the connection
between the goals, roles and responsibilities at the starting
stage. In other words, manager required to focus on the
coordination between the goals and actions.

used by the managers for ensuring the
coordination and clarification between the
team members:

Communication charter: There are number of
communications held in terms of the virtual teams, as these
communications are always less effective as compared to
the face to face meetings, because these meetings provide
more contextual cues and information in terms of the
emotional states such as lack of member engagements, etc

Following are the different tools which can be used by the
managers and leaders of the team for ensuring effective
communication between team members:
• Manager can create the communication charter
• Managers can also issue the guidelines which clarify the
different modes of communication.

There are number of situations in the virtual teams when members of the
team get distracted from the normal rhythms related to the work life, and
this generally happens because team member work separately. The solution
to resolve this issue is to ensure discipline in terms of creation and
enforcement rhythms in virtual team work. This can be understood through
example, managers can organize the regular meetings, and these meetings
can be held at same day and time at each week.
