INTRODUCTION
Human resources are an essential part of any kind of firm. The basic requirement of an
organisation is skilled workers, innovation, creations and commitment to labour force. Therefore,
it is the responsibility of an organisation to pay proper attention on their human resources
(Antony, 2011). This report is based on The Purple Mail Company which is one of largest
courier firm in UK. There is some issues within the company for recent years , but still there are
large amount of customers which are dependant on this firm for their livelihood. They are
lacking in checks and balances and to improve this a newly appointed HR manager is hired to
provide some stability in the company. Main purpose of this report is to analyse the process of
carrying out recruitment process and also, skills and techniques needed in a leadership quality is
also mentioned in this report. A leader also motivates staff members to achieve their goals and
objectives easily. Also continuous monitoring is required for improving the working of
employees..
TASK 1
1.1 Step by step procedure to carry out selection process.
For meeting the needs and requirement of the company and boosting its sales and market
position, a manager is required. The main responsibility of manager is to work for productivity
of team and management. Their aim is to achieve all the goals of the The Purple Mail Company
company (Terkel, 2011). One more important job of a manager is to hire people for his firm.
This is most crucial part of job of a hiring manager, as if he goes wrong there would be a danger
of bad atmosphere created in the office. The process involve of selecting people for accountant
post:
 Analyse the company tasks and goals while considering the responsibility of an
accountant..
 Work in progress for making procedures for carrying out selection process of accountant
post.
 The place is decided by HR, where the selection will be carried out.
 Proper code of conduct and drafting documents will be managed for making selection in
that particular area. Only those people will participate in such conduction who have
commerce background of accounts and finance subjects.

 A question paper is set which contains the syllabus of accounts and finance department.
Which will decide how many people will be drop out from the selection process. After
clearing this screening test, the person will become eligible for the next procedure.
 Once the test is over. Those selected candidates will be taken to Audi for communication
test. If they are well suited for the post and could speak well in this test, then they will be
qualified for third round which is the last round.
 The last round is the interview phase, where individuals are taken to a room and one on
one conversation takes place also they are requested to carry 2 passport size photo,
original documents of 10th , 12th and graduation certificate.. Here they are asked about
their field and jobs and if they could satisfy the HR of the company they could get
selected.
 After the selection is carried out, the one who are finally selected are provided with an
offer letter and some conformation to join the company.

1.2 Factors required to be considered while recruiting and selecting a new staff
Ethical considerations: There is some provision of federal legislation to be used while
carrying out selection process, so that recruitment process carried out in an ethical manner. Any
type of process for selection should be carried out before hand so that no last moment issues
should arise. Even interviews to be carried out should be informed long before the actual
conduction of process so that candidates are well prepared and aware of the program and should
give their best at the day of selection The syllabus of question pattern must be provided
previously for students to prepare (Bush and Middlewood, 2013). After carrying out selection,
considerable amount of time is given for people to respond for their job opportunity.
Conformation should be in writing..
Legal considerations: This involves the restriction on employer as according to all legal
rules and regulations, they cannot make any unlawful activity or discrimination process on the
basis of gender, age, race, sex and religion. There should be high equality and fair practices on
which the selection should take place. This would encourage more candidates to join the firm.

Along with that, there should be considerable training and encouragement given to the
employees for boosting their morale.
Regulatory considerations: Needs of employer are assessed by the department of
human resource. A plan is required for recognising the recruitment needs, their training
procedures, increment policies and career plans. They are also responsible to avoid redundancies,
create good workforce as well as minimizing the staff cost to become efficient and effective in
terms of their operations.
1.3 Participation in the selection process
Being the HR manager of The Purple Mail Company I was the part of selection process
of accountant position and had to provide some crucial contribution in the same (Lev, 2013). The
process involves:
 Creating group for selection pane: Responsibility of HR manager is to select number of
people who will be involved for carrying out the selection process. This means as an HR
I would have to select the panel team, which have all the information about accounts of
the company and can better judge people for the post.
 Criteria of candidates: Only those candidates are allowed which come under the
parameter set by the The Purple Mail Company , which involves only those students that
are from the commerce background and understands accounts well.
 Interviews process and questions: The syllabus of question paper is pre-defined and
well informed to the aspiring candidates for accountant position, that is set by an HR. The
way in which interview will be conducted and place chosen for the selection program are
important decisions that are being taken by the HR manager. Also, the evaluation of
specific candidates sitting in the interview is done by him, by his knowledge of the post
desired. On the basis of a comparative interview analysis, they select the candidates.
 Appointment letters: After the whole selection process is over, the selected people are
provided with the appointment letter that is given to them through HR manager.
Complete documentation is done carefully in the presence of HR manager only.

1.4 Own contribution in the selection process
As being the HR manager of company, I had to go through all the steps of recruitment for
carrying out the process of selection carefully without making any kind of discrimination
(Peterson, 2011). There are various stages that need to be created in recruitment procedures:
 The type of job vacancy that has been occurred in the The Purple Mail Company
company, so accordingly I conducted an analysis and then information was broadcasted
for the required job post to various colleges and websites. The selection was then carried
out.
 Once the job profile was confirmed to get an accountant for the company then the
evaluation process is carried out to understand which candidate will be best suited for the
company and what are the important features and points required in case of search of that
job (Boone, 2015).
 After carrying out the job selection process and conducting the recruitment program,
there are requirement of some essential documentations and drafts, which may differ for
different selection process according to the need of the company. For an accountant
position, selected candidate need school marksheets, B.Com or BBA degree with
specialisation in accounts and finance. With this also 2 photographs and any identity
proof.
 Lastly comes the selection process, which involves conducting interviews, selecting
appropriate candidates and then providing them with the confirmation letter of the
position of accountant and security letter in written.
2.1 Skills and attributes required for leadership
To become a leader, there is need of certain qualities and attributes which are very
essential.. These are basic and very necessarily required for becoming a leader Some of these are
mentioned as below:
Decision making: This is the foremost quality that a leader should have. The most basic
and essential key for a leader to work in an organised manner and to never create any chaos in
system and have a focused mind set to do a job. There can be many challenges or situations
which may arise every now and then that can only be cope up by one who has a disciplined

mind-set and calm nature to deal with issues. The problems faced by such a person can become
an opportunity and learning experience.
Managing time: Time management is something that every successful person has to
manage. This is the most important need to achieve something great in life. Leadership quality
involves time management to be in its top priority list (Tourish, 2011).
Self-motivation: Providing contribution to the cited organisation, they also take out some
time for themselves for their personal motivation process. If there is lack of motivation in a
leader, then he would not be able to encourage his team to accomplish their goals.
2.2 Difference between leadership and management
Basically, leadership and management are almost same and they should go hand in hand.
Still, there are many differences which distinguish them from each other. There exists a
necessary link which complements each other immensely. If they both are separated by any
attempt then it is likely to create some major problems.
 The job of manager is to plan a strategy, organise some key points in the list and
coordinate people working in the group. However, a leader's job is to inspire and
motivate people around him to do the tasks very encouragingly and sportingly.
 The management’s basic requirement is to administer the collaboration, while a
leadership would bring innovations and new ideas into practice (Antony, 2011).
 Management does no invent, they just copy the old tradition and methods to fulfil a task,
but in leadership on the other hand, leader can create his own strategies and ideas to do a
particular task.
 In leadership, one can think beyond normal people's imagination, while management only
allows a person to have short term goals.
 Management creates control through authority, but leadership helps to bring trust of
people on their leader.
2.3 Different leadership styles for various situations
There are various types of approaches to leadership starting from Lewin's model to the
latest transformational theory. different styles provide help to create an effective leader. The
different styles of leadership are:

Autocratic Leadership Style: This type of leader makes decisions without considering
any member of his team, even if he has some valid points (Nkomo and Kriek, 2011). In this case
we can see that if there is an accountant, and he may formulate with the rules and regulations
according to his concept and knowledge without the consent of others then there can be issues
with the company. This type of leadership is required only when there is no time to waste on
taking suggestions and actions need to be taken on quick basis. then the main problem will be
all the decisions related to accounts can be only managed by one person, and he does not wish to
listen to any one.
Democratic Leadership Style: In this, the decision is basically made by leaders but with
taking due consent of all individuals present in the team. All are involved in finding out the
solution of a specific problem and have a right to present their views and opinions in the decision
making process. For this company, this leadership style will lead to collective decision about
accounts and make better profit and decisions. This makes people much happy about the The
Purple Mail Company , as they make them feel an important part of decision making.
2.4 Ways to motivate staff member to achieve objectives
There is the responsibility of leaders and head of departments to keep motivating
members and encourage them to achieve certain goals and tasks. The ways which can be used to
motivate the team members to achieve their goals are:
 Vision explaination: Explaination of vision of handling accounts clearly , by applying
all the knowledge that is gained through experience. And giving it to the members, so
that it becomes easy for them to execute.
 Goals and missions: Identifying the The Purple Mail Company company's goals and
mission in terms of financial state and accounts department..Explaining selected
individual about what is the concept of the accountant objectives to be achieved.
 Motivation of workers: Their encouragement for making them work in progress of that
field. And guiding them with the guild lines by which they can complete their tasks.
 Communication process: Conducting communication among team members so that in
case of any query their problems can be solved.Simplifying concepts of the work given to
the employees, so that they can easily achieve them.

 The most important job of the leader of company is to understand the rationale which is
behind the account task to be achieved for getting benefit of the company (O'Sullivan,
Moneypenny and McKimm, 2015).

3.1 Advantages of team in an organisation
There are many benefits while working in groups or teams. Yet there are times, when
working individually could help the The Purple Mail Company company in better way. But
basically, advantages of working in teams are more. There are basic provision in any company
which provides certain programs and strategies to make people work together and become
comfortable with each other. Various benefits of formation of team in the organisation are
mentioned below:
 Improved Efficiency: It helps in increasing efficiency of the cited company as when
many people are involved to do a task then automatically it will be completed at a fast
pace and will take lesser time.
 Unified strength: It provides effectiveness in operations because there are so many
different minds that are working on the same problem with mutual consent of each other
(Stuart, 2012). So, it can be said that tem-working brings effective decision making and
better outcomes The Purple Mail Company
 Accuracy:Through team-working, the decisions made by members involved will be
more accurate and innovative.
3.2 Effects of different roles in a team work.
While forming a team in The Purple Mail Company organisation there would be time
when there comes some problems and issues which are difficult to handle then there are different
roles of different individual to solve those problems through their respective strategies on their
part. The different roles of people to solve the problem is discussed here:
As a leader: The role of a person as a leader is very crucial as he has to manage all the
members of the team. He has to organise a strategy which would list all the important points to
be covered while accomplishing a task. There can be situations when there would be quarrel and
chaos in company, then their main aim is to combine all the team members to make them work
for a common goal happily without any fighting, and motivate them to do the job with full spirit.

It can be possible that team members get exhausted or frustrated to do a particular task but it is
not affordable for a team leader to give up at any circumstances.
As a team member: Maximum of the job is basically done by team leader, but if there
would be no members in team , then the required task could never be achieved. At times there
would be situation when a person has some issues with either team member or the boss, still his
job is to avoid the personal differences and still work happily in the professional world.
(Lyubomirsky and Layous, 2013). They are also expected to provide some ideas and innovations
to complete the task. Also their contribution should be in enthusiastic manner. The active
participation of team members is required to accomplish the goals.
3.3 Effectiveness of the team to achieve goals
The team formation in a company is crucial and important to achieve certain tasks. The
collective gathering of employees makes it much easier than an individual person working
independently. The effectiveness of team in an organisation to attain the specified goals is as
follows:
Collective working atmosphere: There are so many of people working together to do a
specific task, thus the percentage of accomplishing that task in time is very high so it can be
achieved easily and also it would be rather correct because so many mindsets are working
together on common approaches.
Skill enhancement: While working in groups, people tend to improve their skills by
helping each other on different situations. They come up with new ideas, at times the idea clash
but usually they agree on fix terms to achieve the task, thus this would help them to improve
their skills by comparing them with others. Also they become comfortable to work in a mix
environment which is very good for an employee's career.

4.1 Monitoring and assessment of work for maintaining improvements.
There can be number of methods and ways which are been adopted by the company to
monitor and measure its performances, they are:
 By using feedback from customers: They tend to create a system by which
willcontinuously receive feedbacks from their customers, that would actually help them
to work on improvements factors as mentioned by he customers. (Hodges, 2016).

 By using reports: The total analysis of financial status and development plans &
strategies are mentioned in this report so that the company would be aware of this status
of the company.
4.2 Methods for increasing individual involvement .
For an individual to be encouraged for the making them work in the organisation certain
policies and methods are to be implemented:
 Employee appraisals: This is very essential and encouraging for any employee to keep
working in the same organisation continuously.
 Encouraging organisation activities: Working all day becomes little boring, so
providing programs and activities for them to have recreational atmosphere which would
refresh them to do something better (Direction, 2011).
 Monitoring the company activity: While organising all these activities, there is a
special cell which keeps monitoring on whether these recreational activities are carried
out in the company with equality and at proper regulation of time.
4.3 Accomplishment of process of monitoring and encouragement of individuals.
After completing all the above mentioned tasks and process for making the The Purple
Mail Company achieve its goals and objectives. There are certain achievements which are
completed by applying the above development strategies in actual scenario (Qiang, 2011). The
achievements accomplishes through those methods and policies are:
 There is more encouragement in the workers to do their jobs. It makes them highly
enthusiastic and interested to work for the betterment of the company.
 Through encouraging recreational activities in the organisation, that has lead to more
employee participation and it would make them comfortable to work in that environment.
CONCLUSION
From the above report, it has been analysed that the procedure for carrying out a
selection process should be carried out carefully It has been assessed from the report that there is
a requirement of fair practices while carrying out selection process as partiality among applied
candidates or in between employees must not be there. Also, in this report, there is requirement
of effective team effort to achieve certain gaols of the company. There is a requirement of a

leader to carry out recruitment properly. And a leader includes certain qualities which are
required. There is a description of how to motivate staff members to achieve some goals. This is
done with the help of team manager or leader. This report also provides advantages of team in
The Purple Mail Company organisation, and there is a requirement of continous monitoring of
workers progress chart to rectify any kind of weaknesses
