1. Introduction
The concerned project is based on defining the requirements and planning for the one-day
sports event. The sports event would be focused on basketball and would be played with a few
group members within the company. With the introduction of such kind of events, it would
encourage the team members within the company. A proper type of success of the tournament
would entirely depend on the appropriate form of planning and the quality of events that occur.
An appropriate form of budget and schedule planning for the event would be required based on
which the planned development would be highly successful.
The report helps in discussing the scope for the project based on organising a sports
tournament event. The report discusses the significant benefits that would be incurred for the
project. It also discusses the brief of the events that would need to be performed within the
project. Thus a proper kind of description would also be beneficial for the entire project.
2. Project Scope Statement
2.1 Justification for the Project
The project is based on building a proper plan, designing a financial budget and detailing
out the entire list of activities that would be necessary for conducting the basket tournament. In
the primary stage, the project plan would be developed that would list out the entire set of details
that would be required for the bringing success for the project.
2.2 Project Scope Description
In this current project, there is a definition of the entire project that is based on the
planning of a one-day sports event for ABC Company. During the performing of the project
plan, each of the project detailing would need to be done such as planning for the location of the

event, preparing the list of items, which would be required for performing the event, creating a
financial plan and the final sanctioning of the event.
The service based on the organising of the event is focused on engaging the employees
within the company. It would also list out the entire format of the basketball tournament and the
ways in which the event would be conducted. The company would also have to choose some
volunteers who would be responsible for organising the interior details of the tournament. Based
on designing each of the details for the event and planning of each detailing within the event, it
would be helpful for the company to execute the event in a successful manner. The overall
results after the completion of the project would be measured according to the results that would
be derived.
2.3 Acceptance Criteria
There are certain conditions that need to be met based on which the criteria for
acceptance of the project would be defined. These are:
1. The project would have a proper project plan that would list out the entire details of the
event, the planning of the venue and the incurred financial estimation for the project.
2. It should be ensured that each of the necessary activities that would need to be
included within the project would be completed within the proper time and pre-estimated budget.
2.4 Project Deliverables
After the completion of the life cycle for the project, the certain deliverables that would
be included for the project are:
1. Booking details of the venue chosen for the event.

2. Determination of results over the project completion
3. Printing leaflets for advertising of the event.
2.5 Project Exclusions
After the planning of the project, there would be certain forms of exclusions that would
be created for the project. This includes:
1. Preparing of invitation list of guests outside the prospects of the company would not be
included within the project plan.
2. The exact names of players participating in the event would not be included within the
plan.
3. The advertising of the event would not be included in the project plan.
2.6 Project Limitations and Assumptions
The certain limitations within the project would include:
1. The event would be limited only within the prospects of the company.
2. The event would be completed within one day.
3. The project would need to be completed within the proper financial budget sanctioned
by the project sponsor.
The assumptions taken while proposing the plans for the project are:
1. The project would be completed within the pre-estimated time period.
2. The project will incur the best benefits.

The certain form of priorities that could be established within the project could be
described in terms of the level of interest and power established over the project works. From
figure 1, it can be discussed that the project sponsor and company CEO would have the least
form of monitoring and power over the event. They would assign responsibilities to the project

manager and sports organiser who would be responsible for managing each of the aspects in
relation to the project.
The sports organiser would be responsible for understanding the criteria and the exact
requirement from the owner of the company. They would accordingly perform the work over
designing the event, arranging the beneficial needs of the project and thus maintain the
arrangements till the date of completion. However, the project manager would plan the entire
sequence of events for the project along with the sports organiser. The project manager would
have the entire power to gain any kind of approval from the CEO of the company. They would
design the entire project plan and thus produce them before the company owner. They would
thus check the entire plan of the project and based on the completion of the requirements. They
would sanction the entire plan of the project.
After the approval, the sports organiser would prepare the necessary arrangements that
need to be made for the one-day event. They would plan the venue of the tournament, conduct a
listing of the players who would play for the day, arrange the food caterer who would serve food
for the event.

The different work packages would be described as under:
1. Initial Planning and Initiation – In this phase, each of the concerned members would
come together and form a meeting with the executive management team within the company. In
this phase, the project plan and financial plan would be developed.
2. Development and Procurement – During this phase, the team for the tournament
would be developed. The format for the tournament would be planned. The awards that would be
presented to the winners would also be procured within this phase. The space and venue for the
sports event would be chosen by the project manager and sports organiser. A proper venue would
help the company to complete the project in a successful manner. The list of equipment that
needs to be procured within the tournament would also be procured.
3. Registration Process – In this phase, the process of registration would begin. The
employees would register their names to the sports organiser. The process of registration would
be highly critical as this would help the management team of the company to decide on the total
number of equipment that needs to be procured for the planning of the event. The project
manager would thus be responsible for designing the posters, which would be needed for
performing advertisement for the event. The tournament committee would be again called, and
thus the progress over the project would be explained to them. The medical assistant would also
be hired during the event process.
4. Conducting final check over processes – In this phase, the sports organiser would
obtain the final confirmation about the entire schedule of events. This would help the organiser
in following the schedule and thus conduct the entire process of the event in a successful manner.
After each of the items has been procured, the sports organiser would conduct a final check over

the equipment and other detailing of the event. Based on a proper check over the equipment, it
would help the sports organiser in finalising the committee about the progress for the final event.
5. Project Closure Phase – This phase would commence after the completion of the
event. In this phase, the entire completion of payments would be conducted. The equipment,
such as tables and chairs, would be returned to the service provider. After the returning of each
of the equipment, they would be signed off from the project. The project sponsor will perform a
brief review of the entire budget of the project. The review over the budget would be highly
necessary in order to determine whether the project has been completed within the defined
budget. During this phase, the project manager would continuously ensure that every phase
would be completed in a successful manner.
