Introduction:
Technology is the most revolutionary innovations of the current era. It has cited
significant impact on the organisation and its operation. One of the areas that has greatly been
benefitted by the technology is the accounts department. Accounting information system, one
of the most disruptive technologies has changed the accounts management and other
operations that are associated with the accounts such as purchase process, payroll and others.
Hence, inspired by the prominent advantages offered by the system Elegant firm decided to
design & develop its own Accounting Information system that is suitable for its environment.
The deemed report has discussed the essentials for the development of the system in Elegant.
Additionally, the data flow diagram and flowchart of the organisation’s payroll process has
also been attached to enhance the understanding of the organisation’s payroll process.
Role of Management team
Management team designated with the design & development team has the most
crucial role to play in the process. The management is the one who will be supervising and
using the developed system and hence, it is their responsibility to clearly specify the
requirements & expected outcome from the development so that the development team can
work accordingly. The success of any system depends upon the relationship between
management’s working relationship with system, development team and the engineering
technical assistance and hence, it is of great essence that the management plays its part in the
designing and development of the system. So, it is mandatory for the management to keep the
needs of the requirement team fulfilled and a level of freedom to explore their creativity.
Additionally, it is also the responsibility of the management to keep a periodic (daily, weekly,
monthly or others) progress update of the project undergoing. The deemed responsibility

ensures the quality of the development and will even ensure that the design & development
will be completed within time & budget.
Role of Stakeholders who will use the system
The role of the organisational employee who will be using the proposed system is
prominent because no adequate system can be designed without analysing and considering
the perception of the ones who will be using it. The reason for the above-made statement lays
on the fact that the ones who will work on the subject are already taking care of the
organisational operation that the proposed system will assist in and hence, they are well
aware of the organisational needs and can offer assistance in making the system effective. In
the deemed scenario, the development team needs to analyse the accounts team, the purchase
team, the human resource team and all the other teams who will be making use of the
accounting information system. The use is not limited to extracting output, it further extends
to the assisting the system in offering adequate output. It could be understood by the fact that
the payroll process of the employees can only be processed by the system after the Human
Resource team provides (input) all the data such as deduction, incentive and others in the
system. Hence, the deemed section can be summarised to state that the propose users of the
system plays a crucial role in its design & development.
Benefits of installing new system
Installing a new system in an organisation can simply be stated as an attempt to earn
competitive advantage by increasing their workplace productivity with assistance of the
installed system. The reason for the above stated statement could be understood by the
discussed scenario. In the discussed scenario, Elegant is adopting the Information System for
its organisational accounting and other relevant operations are inadequate which must be
citing adverse impact on the organisation’s financial strategies. Another fact that can be

derived from the deemed scenario is that inadequate financial strategies of the organisation
can affect its sustainability which is undesirable.
Hence, the formidable benefit of adopting the new system in the organisation will
enhance the quality of organisational operations which in turn will sustain the organisations
sustainability. Additionally, as the installation of the system will automate the accounting
process, it will offer more time & freedom to the employees which they can use in other
productive activities for the organisation.
Another notable fact is that the some of the existing systems within the organisation
are not compatible with the proposed system and hence they need to be replaced by a new
computing system. It will be beneficial for the organisation to implement a new system
because it is evident from the Lance’s perception about the accounting information system
and the payroll process that the organisation is not satisfied with is existing IT infrastructure.
Hence, installing a new computing system will provide the organisation to restructure its IT
infrastructure which they can design according to their needs and hence, can be stated
beneficial. Other general benefits of installing the new system such as scalability, fast
processing and others are associated however, the most prominent of them has been discussed
above.
Stages to conclude the development
The life approach to adopting a new accounting system can most suitably be stated by
the waterfall model which contributes of seven stages. The first step involves gathering the
requirements of the organisation and for the system. Following the first step, the second step
includes analysis the requirements and deciphering the needs to develop a design. The
designing of the system is the third step where based upon the gathering, the system is
designed accordingly. The design though is incomplete without the coding of the system

which will supervise over the modes of how the system will control the organisational
operations. The next step involves, testing of the system and identifying for errors and
potential threats that the system may offer in the future and if no such threat or error is
identified then in the final stage the system is accepted completing the adoption process. The
formidable stage that deems the attention and involvement of the staff is the requirement
collecting stage where the staffs who will use the system can put forth their needs.
Additionally, the testing of the system stage can also require the need of the staffs, if the
developers decided to use the system in real-world scenario. Finally, the system would not
involve any consultant cost because the system is developed according to the need of the
organisation.
Conclusion:
The discussed report can be emphasised to state that the proposed system can offer
sustainable benefit to the organisation, if it is designed & developed adequately. The system
can be designed adequately if the management and other stakeholders cites adequate attention
in the development process. Additionally, the installation of the new computing system also
offers the organisation a chance to restructure its inadequate IT infrastructure of the
organisation. Hence, in conclusion it can be stated that the system will prove to be greatly
beneficial for the organisation.
