Figure 1: New Process
(Source: Created by Author)
The main change in the process is done by proposing a computer system. This system can
store and track activities done by the staff of Recruiting and Hiring staff. First of all, the use of
the paper and spreadsheet is altered with a system that has easy to understand user interface. The
staff can easily store every data regarding recruitment into the system. This system will have a
database that stores all the information in a central location. The staff will also store their
decisions into the system so that every action can be tracked efficiently.
The main advantages that can be obtained from these changes are as following.
i. The first advantage is efficient data tracking. This will allow the management to
track which client has submitted application. The progress of the application can

also be identified easily. Any authorized personnel can track whether a position is
confirmed or not.
ii. The second advantage is data management. In terms of paper and spreadsheet
solutions, the data redundancy and data error was common issue. On the other
hand, the dedicated system for data management will handle the data redundancy.
This will also reduce the issue of having different data for different staff.
The key automated process is notifying the HR assistance of vacant position as soon as
HR manager confirm the position. The system will store the position confirmation and trigger a
process that will notify the HR assistant to approve the position.
