INTRODUCTION
Project management is defined as the practice of initiating, planning, implementing and controlling
the work of each team members from time to time so as to meet the success criteria on specified time
schedule. Therefore in order to mange computing project successfully it is essential for the IT software
organisation to adopt the use of Artificial Intelligence practice. As it is considered to be an area of
computer science of which the main emphasizes is only on the creation of intelligent machine that work
and act just like human beings. The company which is taken to carry out this assignment is TatvaSoft
which is a UK based Microsoft Gold Certified Software Development Company and was incepted in 2001
with a aim to render quality, cost-effective and innovative solutions to the clients (Seymour and Hussein,
2014). So in order to carry out their business project successfully management of this company is planning
to include AI into a system. Thus, this report is based on an analysis of research on a topic ‘What potential
benefits and challenges can arise during inclusion of AI into a system. For carrying out this research report
firstly aims and objectives of the project is being explained along with project management plan. Apart
from this work break down structure and Gantt chart are also being prepared along with small scale
research will also be carried out by using qualitative and quantitative research method. Lastly analysis of
research data will be done after which certain recommendation will also be given to the company whether
the firm should included the AI into a system or not.

As per the scenario being appointed as a research specialist for an IT software development
company name TatvaSoft which develop and maintain computer application. Senior management of
organisation has asked to carry out research on what potential benefits and challenges can arise during
inclusion of AI into a system.
Thus, for carrying out research following activities are being performed.

TatvaSoft which is a UK based Microsoft Gold Certified Software Development Company and was
incepted in 2001. The main aim of this firm is to provide quality, cost-effective and innovative solutions to
the clients. So in order to carry out their business project successfully management of this company is
planning to include AI into a system (Schwalbe, 2015).
AI here refers to the Artificial Intelligence which is a branch of a computer science that mainly
emphasizes on the growth and development of intelligence machine which will think ac and perform
different activities just like humans beings. For example; problem solving, speech recognition, planning,
learning etc.
Purpose of the project:
Main purpose of this project is to carry out in-depth study about AI concept and what all will be
benefits and challenges which the company might face during inclusion of AI into a system (Dutta and
Bose, 2015). Moreover, while carrying out this research it will help researcher to boost up the skills and
knowledge level about the concept of AI and about the different tools and techniques that will be used to
carry out this research. Thus, it will help researcher to develop and achieve growth both at personnel and
professional level.

Project management plan
It is an initial document which defines how the project needs to be carried out, monitored and
controlled from time to time or it can be said that it is much more than a schedule chart. Apart from this it
can also be specified that it is a formal approved document which render a detail baseline of all the aspect
which must be considered while carrying out the project. Thus, there are certain key aspects for making an
effective project plan which are to be considered by the management of TatvaSoft and they are namely,
cost, time, quality, risk, communication and many more and all are explained below (Kendrick, 2015):

Cost:
It is the first essential aspect which is essential for the management of on TatvaSoft to consider as
without sufficient availability of funds firm cannot sustain for long period of time neither can carry out it
different processing activities on time which would also result in the failure of organisation. So before
inclusion of Artificial Intelligence management of firm must take cost aspect into consideration and it can
be collected from different sources such as through friends, families, bank etc. Thus, the expected cost to
carry out the project of Inclusion of AI into a system is approx 30000 pounds. Whereas for researcher to
carry out effective and valuable research the estimated cost is approx 300 pounds.
Time:
It is another crucial and important aspect which the management of on TatvaSoft must take into
consideration while making an effective project management plan. To complete project on specified time

will help firm to creative appositive influence on the clients, so the estimated time period to complete the
project by management of on TatvaSoft is near about 16 weeks. Whereas for research to collect valuable
and reliable data about the facts and figures on a topic about the benefits and challenges which the firm
might face during inclusion of the AI into a system is approx 8 weeks.
Quality:
In order to exist in a competitive world it is very much essential for every organisation to take
quality aspects into consideration while making valuable and effective project plan. So in order to render
quality services to its clients management of on TatvaSoft is planning to come up with Artificial
Intelligence technology so that immediately on spot problems can be sort out. Apart from this it will also
help business to deliver cost effective solutions as well as in maintaining and building long lasting
effective relationship with customers. Whereas researcher must make proper use of its sources, tools and
techniques such as qualitative research method, quantitative research method, primary data collection tools
etc. this will help researcher to come up with best quality and valuable information about the topic. Thus, it
will help firm to draw valid conclusion too about the project plan whether it will be beneficial or not to

Project scope is also considered to be an essential part of project management pan as it helps in
documenting and determining a list of project specific goals, tasks, cost, deadlines and deliverables. As the

development of researcher.

For every business it is essential to ensure that effective utilisation of resources is being done while
carrying out different operational activity. If the company will not make optimum utilisation of its
resources then the firm might have to suffer from loss as the cost of production will get increase and more
of raw material wastage will take place. So management of TtatvaSoft must ensure that they make best and
optimum utilisation of its resources such as technology, funds, human resources tec. This can be done if
the management will render training and development session to its employees so that each employees get
o know how to make use of Artificial Intelligence technology so that they can render effective and best
quality services to their clients. Apart from this firm should also ensure that there exists sufficient capital
to carry out day to day operations on time without any hurdles. Whereas a researcher should also make
best use of its resources such as books, journals, magazines, internet, government reports etc. so as to
gather valuable and accurate information about the research topic.
Risk:
This is the most important aspect after cost which must be considered by the organisation and
researcher before making an effective project management plan. As risk may take place any time in any
situation as it is term to be uncertain. For management of TtatvaSoft risk can take place in the form of
shortage of funds, raw materials, employees strike due to dissatisfaction etc. So in is very much essential
for management to take all these risk aspects into consideration and accordingly make project management
plan. For example management must ensure that employee are satisfied with the working condition, salary
etc. as well as should ensure that sufficient amount of funds are being available so as to run business
project smoothly and for carrying out daily operational activity smoothly and accurately. So if the
organisation will consider all these aspect while making effective project plan then it will help business to
achieve its aims and objectives on time without facing any kind of hurdles (Hillson, 2017). Whereas for
researcher risk can take place in any form such as shortage of time, lack of resources, respondent

unwillingness etc. so research must take these risk aspect into consideration so as to carry effective
research. For example in order to avoid the risk of time shortage researcher should divide its time schedule
for each task so as to execute a proper time frame for completion of research on time.
Communication:
It is the process of conveying messages by sender to the receiver by using various modes of
communication methods such as e-mails. Messages, phone call, video calls etc. In order to carry out
project smoothly without any kind of hurdles then management of TtatvaSoft must ensure that there take
place proper communication and coordination between team members. Apart from this management must
also ensure that the information and knowledge about the use of AI technology which the firm is planning
to include into a system is being proper conveyed by training methods to all the team members of the
projects. Thus, it will help business to carry out the functioning of AI technology in an accurate and
appropriate manner as well as it will help business to render better quality and cost effective services to its
clients. Whereas a researcher should make use of several communication methods such as e-mails,
messages, video calls, conference calls, questionnaire methods etc. so as to gather valuable, reliable and
accurate data with the help of which effective and profitable conclusion can be draw which would prove to
be beneficial for the firm in future in the form of increase in sales and profitability ratio as well as in
achieving competitive edge in marketplace.

Work break down structure:
It is one the technique of getting the multi-step complex project done by dividing the conquer large
project into smaller and manageable chunks. This is mainly done by the project manager of TatvaSoft so as
to get work done more effectively, efficiently and at a faster pace without nay hurdles. The main goal of
WBS is to carry out large and critical project into more manageable manner by breaking it down into
smaller parts and subparts. It will help business to carry out different task simultaneously by different team

members as well as it will also leads towards increase in the productivity and profitability ratio of firm
(Meurant, 2016).

Gantt chart:
It is a horizontal bar chart which helps business to represent the project plan overtime. Gantt chart
main purpose id that it render information to management of organisation about the project status as well
as who is responsible for each task in the project. There are certain specific key features of Gantt chart and
the first feature is that it helps each team members of project to identify the start and end date of each task
so that accordingly each one perform their task. Second key feature is that project milestone is being easily
identified with the help of Gantt chart. Apart from this other feature of Gantt chart is that it shows that

there exist dependencies between task and helps in stating about the person assigned for each task
(Somasundaram and Govindarajan, 2014).

Qualitative research method:
It is a type of scientific research method which consists of an investigation and that seeks to answer
to questions by using the pre-set procedure systematically. Apart from this method helps to understand a
given research problem or topic from the prospective of population it involves. Furthermore the major
strength of this research technique is that it helps researcher to provide complex textual description of how
a particular individual experience a given specific research issue. There are different types of qualitative
research method and they are namely, focus interviews, observation, questionnaire etc. Thus a researcher
uses this research method in order to gather valuable and accurate data (Webb, 2017).
Quantitative research method:
This is a type of research method in which the objective is being measured by using the statistical,
mathematical and numerical analysis of information which are being gathered through questionnaires,

polls and surveys. In other words it can be said that it is research method in which existing data are being
manipulated and generalized so as to access group of people and to explain a specific phenomenon. Main
characteristic of this method of research is that data are being collected by using structured research
instrument and the result are based on larger sample size of whole population and most important of all in
this method data are being gathered in statistic and in numerical form. Thus a researcher makes use of
computer software or questionnaires to collect numerical data.
Primary data collection method:
When the data are being collected for the first time by researcher then it is known as primary data
collection technique. It is term to be specific to the research problem under study and is considered to be
original in nature. Fresh data can be collected by using several research methods such as interview method,
questionnaire method, focus group interview method, projective technique, Delphi technique etc. Thus a
