1BUSINESS COMMUNICATION
Communication is the process by which a sender creates a message and forwards it to the
receiver using a medium; the receiver decodes the message and acts accordingly depending upon
the message. In a business organisation it is important to have an efficient and effective process
of communication in order to have a seamless business function. The success and failure of a
business venture depends on achieving the objectives, in this case communication is essential. A
business organisation has a number of communication channel and communication process, for
example the channel used for the internal stakeholder will be different from that of the external
stakeholders. Business communication process is an important part of strategic management of
an organisation. Communication skills are one of the basic requirement of managerial post in
companies as the role of the managers is to act like an intermediaries in between the workers and
the top management (Siano et al., 2015). The role of a manager revolves around the basic
functions like planning, organizing, staffing, directing and monitoring and in order to perform all
these functions it is important to have good communication skills. The purpose of the assignment
is to develop and reflect on the themes of business communication such as effective
communication, barriers of communication, self-awareness, cross-cultural communication and
ethical decision making. Business communication can be of two types oral and written.
According to me there are a number of factors that are associated with effective
communication. The medium of communication, the language and the clarity of the message, the
time of communication etc are essential in order to ensure effective communication. For
example: if there is an urgent work which has to be completed immediately I prefer to have a
telephonic conversation with the person if I cannot talk face to face, this depends on my
proximity with the other person. If I think that the message that is conveyed has to be
documented I also forward an e-mail. Comprehension of the message is important in business

communication as there is no place for being ambiguous. Messages that are exchanged in the
process must be clear and crisp and should just convey the purpose of the message. Formal
letters and Formal e-mails are the most commonly used written communication medium that is
used in a business enterprise. I think it is important to keep it to the point, as a writer of the
message I always ensure that I use the relevant information in the message as well as keep the
words used in the content very limited. The format that is used in the written communication is
also important as depending on the urgency of the situation the reader can skip to the most
import part of the message and act upon it immediately (Christensen & Cornelissen, 2013).
On the other hand in oral communication in an organisation it is important to maintain a
formal and cordial relationship in order to avoid any kind of semantic noise which may create
miscommunication. During the meetings or one on one discussion I always remain alert
regarding the body language as it is something that is associated with oral communication. In
effective business communication it is also important to communicate with the right person at the
right time in order to get the job done. I use interpersonal skills in order to ensure that I get to
know the people better so that I can initiate communication in a way that the other person is
comfortable with. Some of the skills that I have acquired in the process to ensure effective
communication are: being a good listener and observer, developing understanding regarding the
non-verbal communication, maintaining the respect and managing stress.
Some of the barriers of communication are discussed above like semantic noise in the
process of communication, misunderstanding of the message personally I feel maintaining a
proper body language is essential in a business set up. People can easily misjudge or
misunderstand the body language. There is also self-control and emotional barrier in
communication from my end; I always procrastinate regarding the consequence of the
communication as there is no place for being ambiguous. Messages that are exchanged in the

communication which is a barrier in the process of communication. I have observed when the
person I am communicating with does not pay attention or is not interested in the outcome of the
communication it becomes a barrier. Another most significant barrier in communication
according to me is technology issues; the medium of communication which uses technology is
dependent on technology and thus any disturbance in technology impacts the communication as
well. I have also observed that Organsiational structure in case of hierarchy also is a barrier in
effective communication, many times people have inhibitions to approach a senior or a senior
feel the information is not important and restrict it (Men, 2014).
I think it is very essential to be aware of the skills and drawbacks that one has, therefore
self-awareness helps in overcoming the weaknesses as well as grab the opportunities and scope
that lies ahead. I have interpersonal skills, I do not have any inhibition regarding talking to a
person and initiate conversation and according to me this is important to ensure effective
communication. I think self awareness is essential as it helps in communication as a person uses
their best approach to make sure that the communication process is effective and efficient. As I
do not have knowledge regarding any other language as a skills except English, it becomes a
major drawback in a business organization as there are a number of people who have difficulty in
understanding oral communication due to accent issue. With time I have tried to train myself to
reduce the accent and talk slowly if I am speaking with someone whose mother tongue is
different. This leads to cross-cultural communication, most organizations have a diverse work
force, especially multinational organization thus it is important not only for the managers but
also for the employees to respect and honor other cultures that are not common in the country.
Cross-cultural communication includes understanding cultural diversity and developing
awareness of cultures that are associated with an individual. I think it not only broadens the
communication which is a barrier in the process of communication. I have observed when the

horizon for the company but also for an individual. Again in cross-cultural communication body
language is important because is an individual does not understand the language then they will
try to understand the body language (Taylo et al., 2013). I think it is not necessary to study
individual cultures and languages in order to communicate better, rather according to me one
must all learn how to communicate better with individuals and groups who are from a different
culture.
Ethics in business are an important aspect of the business function it helps in
development of goodwill and image among the stakeholders as well as in the industry. Being
ethical is more than doing what is right or is morally correct, it is being effective without
crossing the line. The process of ethical decision making according to me derives from the values
and principles of the company has or has adapted over the years. It impacts the work culture and
the job satisfaction among the people working for the company (Ford & Richardson, 2013).
I am a person who always tries learning and developing skills with experience, I think the
importance of communication cannot be emphasized in personal or professional life. I use my
experience and my cognitive skills to improve my communication strategy in order to be more
