Dear Sam,
I have a great suggestion for publicising Bear Foods which is cost-effective and which
would provide exposure to us. This is something unique which we can do for our community.
I propose that Bear Foods should conduct a food drive for Coastal Food Pantry. There was an
article in The Tribune regarding their inability to keep up with food requests, which led me to
realise that this would be an excellent opportunity for us.
I further propose that all of our employees should be asked to donate food and we
should also request our customers to provide donations in food as well. If you approve, I can
create an announcement for The Tribune and get some posters prepared for our front
windows.
It is my hope that you would give due consideration to the matter and I look forward
to your approval to this proposal.

would change Dana’s mail to reflect how Bear has always contributed foodstuffs to Coastal
and how it would be a good idea to show the dynamics and strength of this partnership, which
would be mutually beneficial for everybody involved in this strategic partnership. Such an
advertising and public relations campaign would also raise the awareness of the public
towards how these partnerships help in economically vulnerable people acquiring food.

The edits to this email are relatively simple and not too complicated. Dana has made
some minor mistakes regarding the spelling, structuring and punctuation of a few sentences
here and there. The tone of the letter itself needed to be revised to make it more appealing for
the reader, raising the chances of it finding approval from the recipient of the mail.

In all likelihood, if the mail were in the way that Dana had composed it, then it would
be impossible to persuade the addressee to agree with the proposal that Dana was stating in

merit. With the necessary changes and amendments made to the letter, its chances of getting
approved by the reader are considerably high. Therefore, it is not impossible to believe that
the HR manager had green-lit Dana’s plan. Sending the letter in its original, unedited format
would have been risky, but an intelligent and critical HR manager would still have approved
the letter, considering the enthusiasm of Dana’s work ethic and the nature of the proposal that
she is suggesting.
