This is an individual assessment. Please answer all of the questions below. You must use your
own words to explain the concepts being asked.
QUESTIONS:
1. Provide 3 examples of project management tools. Explain them in your own words.
a. Gantt Chart
This is a popular project management bar chart that works with a criteria in which it tracks
tasks across time. Thr Chart ernables the user to determine the the relationship
between the tasks and the time they will take to complete.
b. Logic Network
The purpose of a logic network is to specify the sequence of undertakings in a project over a
period of time. It clearly indicates preceeding activities and can be used in identifying
the critical path and milestones in the project (Cleland and David 145).
c. PERT Chart
The Program Evaluation and Review Technique is used in analysing the simple activities
involved in completing the ultimate project. It puts emphasis on the time needed for
project completion (Cleland and David 145).

2. What are the types of documents and other source of information used to define the
parameters of a project. Provide 3 types and explain in your own words.
a. Project Schedule
Many project managers use software to manage their resources, project costs, dependencies
and project schedules.
b. Risk Management
This document is applied when a group wants to identify the risk in carrying out a certain
project enabling it to rank the risks for plannning purposes (Chapman and Chris 19-
20
c. Project Budget
All the costs which may be incurred by the project are covered in this document to guide the
project undertakers in planning, the costs are on vendors, resources, hardware and
software.
3. Outline the steps for identifying and managing risk when undertaking a project.
a. Risk Identification
This is the first step involved in risk management, the risks must be uncovered and described
in a risk register.
b. Risk Analysis
The likelihood of each risk is identified here by a thorough analysis on each of the identified
risks. The danger of the risk affecting the project is documented in the risk register.
c. Risk Ranking
The magnitude of the risks is determined and their likelihood of occurance and the
information recorderd in the risk register.
d. Risk Treatment
The highest ranked risks which have been identified are set out in a plan on how to mitigate
them, preventive measures are developed inorder to reduce the risk effects.
e. Monitoring and Reviewing the Risk

In this stage the risks are tracked using the risk register (Cleland and David 145).

requirements). Explain why they would be relevant to the project.
a. Health
Any project undertaken must adhere to the WHS codes of conduct in that the health and
safety of workers in a project is ensured. The health and safety of our workers is
essential, this legislation will guide the measures we put in place to ensure everyone
involved in our project is safe.
b. Licencing
Before a project is undertaken the business must have up to date licences for conducting
business in its field. This legislation will guide our management to ensure that the
project we undertake has a valid license and that it follows all the rules and
regulations set up by the local Brisbane city authority.
c. Conservation
The project must not impact negatively on natural resources such as causing pollution. This
is one of the major guides on our project, our project must not harm the environment
in any way. This is ensure by ensuring that we use environmentally friendly
equipment throughout its execution.

Assessment 2 is compulsory and you are required to complete it in order to achieve competency
for this unit.
The first six questions of this assessment are group-based. You are required to form groups of 3
to 4 members and work together to select an organisation of your group’s choice and develop a
project plan based on one of the organisation’s objectives. You must write a project summary
including all the processes involved in undertaking a project.
The remaining questions (Questions 7 and 8) should be answered individually.

ACTIVITIES/QUESTIONS:
1. INTRODUCTION
For this project plan execution I have chosen Sandy Restaurant.
a) Write a brief introduction of the company and its overall operations.
Sandy restaurant is a medium sized fifty seat restraint located at the heart of Brisbane City. The
company provides family style food and service ranging from pork chops, breasted chicken,
hamburgers, buffet and other favourite local delicacies. The company has a large market base
with twelve members of staff. The company takes pride in having a huge customer base and has
set up a new project to expand its operations to other parts of the city.
b) Write the organisation’s mission, goals and objectives.
Mission
The Mission of Sandy restaurant is to provide a relaxing and unique dining experience to all
clients.
Goals
The goals of Sandy restaurant are:
1. Providing a food menu incorporating quality ingredients.
2. Providing food to clients at a reasonable cost.
3. Treating each customer with dignity and maintaining a high level of professionalism.
4. Putting the customer needs first in order to maintain the reputation of the restaurant.

ensured by confirming that all the food is
prepared using the best brand of ingredients.

of price standardization in that all prices are
standardized to ensure that most of the
potential customers can afford them.

restaurant, without customers the business
cannot exist. Thus the policies of the
company highly regard customer satisfaction

proficiency and dignity.

Quality is one of the main aims of the
company, everything done by the company
must be of a high standard so as to compete
effectively with other companies in the same
business line. All meals made by the company
pass through the standards verification stage
where the head chefs taste them to ensure that
they meet the high standards recommended
by the company.
The meals are sold at standardized prices to
meet customer needs. This policy ensures that
most of our clients can be able to afford the
meals we provide.
b. To be the leading mid-level restaurant There are lots of mid-level restaurants in
Brisbane, our company is committed to
ensure that we get to the top of the mid-level
restaurant business. This will be ensure by our
customer centred policy where customer
satisfaction is our main aim, and the policy of
expanding our operations to various parts of
Brisbane and providing quality meals in all
our branches.
c. To attain Prime Cost Ratios less than
65%
This policy is set to ensure that we make
enough capital to cater for the expansion of
the company and to be able to pay all our
staff. A prime cost of below 65% will ensure
that all the expenses of the company are
covered appropriately. This will aid the

achievement of the goals of the company.
c) What project will you undertake for the organisation? How will the project relate to
the organisation’s mission, goals, objectives and operations?
The Sandy restaurant is opening a new branch in the outskirts of Brisbane City, my team and I
are involved in ensuring that this new branch is established successfully and marketing is
effectively done.
The project will ensure that the mission of the company to provide a relaxing and unique dining
experience to all clients is met since our business is taken nearer to potential clients. In
undertaking the project we will develop a quality structure to ensure that the business goals of

The project involves setting up of a new branch of the restaurant. The main requirement is
identifying the particular location and building on which we will establish the branch after a
study of the environment to ensure easy accessibility and safety. The next step is the calculation
of the costs which will be involved in setting up the business and identifying risks if any. We
will develop a Gantt chart to guide us through the project execution (Cleland and David 145).
b) Who are your stakeholders? Explain their responsibilities. How will team
members/stakeholders be consulted during the planning phase and ensured that their
project responsibilities are clear?

As the project manager I will ensure that the whole team is kept informed on all the
developments during the project via email and telephone to ensure that we play our roles
effectively. A weekly report will be made on the progress made. All team members will be
informed of their roles and a follow up be made to ensure that they effectively execute them.
c) Explain the relevance of your project to your chosen objective, and any other ongoing
projects.
The project ensures that our services are taken closer to clients in other parts of the city while
maintaining standards and reasonable prices. The expansion of the restaurant ensures its growth
into becoming the leading mid-level restaurant in Brisbane.
d) What are the resources you need? How will you source them?
In order to effectively execute the project we need:

At the end of the project we must have established a branch for Sandy restaurant in a serene
environment and ensured that we have started receiving customers. The interior of the restaurant
branch must meet high global standards and be approved by experts.
The project management software will be used to record all project progress and track every step
that we take towards achieving the goals of the project.
Every step taken in project implementation must be supervised by experts to ensure that it meets
high quality standards in order for the company to compete effectively with other mid-level
companies.
b) How would you delegate roles and tasks, and track their movements?
Every member in the project team will have a role to play in the project execution process. All
members will be required to submit a weekly report of their roles to the project manager to
ensure we are all on track in achieving the restaurant objectives (Gray 78).
c) What budget tool/s could you use to oversee the budget and financial aspects of the
project? How much budget needs to be allocated overall, and towards individual
resources?
The project budget will be created on excel considering the labour cost, materials cost, potential
travel costs, cost of the building to be rented, cost of the equipment to be used and other
miscellaneous cost. Project management software will be used in cost calculation.
d) How will you ensure that your project will meet the expected timelines? What is the
expected project timeline? What tracking tool will you use?

Before the project execution a Gantt chart and a Logic Network will be developed to monitor the
execution of the project. The Gantt chart will be used for reference on the time to be used for
executing each task while the Logic Network will help in calculating the shortest time for project
execution. We will use the project management software to track the project progress.
e) Explain the record keeping and reporting processes you expect to follow. What record
keeping/document tools will you use?
All project records will be done in excel and submitted to the project manager on a weekly basis.
The data will then be fed to the project management software online (Kerzner 567-789).
f) Explain the organisation’s procedures and processes that are relevant to managing a
project including:

The Sandy restaurant has a valid licence and will ensure that it secures a licence for the project
from the Brisbane authorities.
 Quality assurance Human resources
The company will bring on board experts to help in project execution thus ensuring high
standards.
 Budgets and finance
The restaurant will set aside funds for project execution after getting project estimates from the
team.
 Recordkeeping
All project records will be fed to the project management software for reference.
 Reporting
All project members shall report to the project manager weekly who shall in turn report to the
restaurant owner.

g. COMMUNICATION
How will you consult with stakeholders during the planning stage, throughout the
project’s implementation, and for review upon the project’s completion?
Communication will be done mainly on board meetings, via email and telephone. All
project members shall be expected to submit weekly reports showing their progress and
communicate with the project manager in case any issue arises.
h. IMPLEMENTING THE PROJECT
a) From whom do you need approvals, and how will you obtain them?
We need approvals from the local Brisbane city authorities, the approval will be sought by the
company manager.
b) Projects are based on timelines and task dependencies. How will you adhere to the
project schedule regarding these areas?
The project execution will be based on a Gantt chart and a Logic Network which will be strictly
adhered to by all members.

c) What reports will you issue? Who will you create them for? How often will you issue
reports?
Reports shall be submitted to the project manager every week by all members in turn the
manager shall write to the restaurant owner. At the end of the project execution a final report will
be generated from the project management software (Meredith and Jack 84).
The following questions must be answered individually:
i. How will you support and guide your team members to ensure they achieve project
deliverables and transition the deliverables upon the project’s completion. What plan/s
could be implemented to ensure staff involved are transitioned or reassigned to other
tasks upon the project’s completion?
I will ensure that I clearly tell every member their role in the project and follow up with them to
ensure that they are executing their roles effectively. Every project member must write a report
to me on the progress of their task and channel any complaints directly to me. After the project
completion and approval the restaurant will immediately reassign the staff members involved
other tasks to ensure maximum profitability (Cleland and David 145).
j. a) Explain why you need to review project outcomes and processes.
I need the review to monitor the progress of the project in order to ensure it’s according to
project objectives.
c) How and when will you perform the reviews about your completed project?
The reviews on the project will be done immediately after project completion in order to apply
for approval.
d) Who will be involved in the review/s?
All the members in the project will be required to take part in the review process, we will also
source for reviews from potential clients.
e) Who will the final review/s be reported to?
The final reviews on the project will be submitted to the Sandy restraint restaurant for project
approval.
