INTRODUCTION

P1Explain different types of business information, their sources and purposes.
Verbal information: A verbal source of information is important for customers as
sometimes they may not find the information they need on the company’s website or on
the internet and the easiest way to solve their issue or be informed is to visit the nearest
store or contact the business by a phone call. A issue about one of Cadbury products and
as there is a very small number of official Cadbury stores (Fall and et.al., 2013). The
phone number can be easily found on the company website together with all the other
necessary contact info, the purpose of which is providing the customers with easy options
of getting in touch when in need of help or advice. If the help is given in a satisfactory
manner leaving the consumer happy and make them come back to the business
encouraging repeat purchases and at the same time giving the brand a good image.
Written Information: Written communication is most commonly used in a formal way,
for example dealing with customer complaints or serious issues they may be having, apart
from complaints written communication may also be used as a way of advertising
through newsletters etc. There are various types of written communication such as letters,
emails, text messages and even monthly newsletters (Hynes, 2012). Emails or letters
could be used when asking company for annual and financial reports which can then be

sent to the public, as they are a plc Cadbury should provide their stakeholders with all the
information they may need and is possible to acquire. The written communication

They are eye-catching without being confusing due to the use of colour and simple images to
complement the text (Robles, 2012). The purpose of these corporate communications are to keep
Cadbury in people’s minds. Brand recognition is imperative for a business’s success, and
Cadbury has to continually ensure that they do not get forgotten about.

P5 Explain the legal and ethical issues in relation to the use of business information.
Legal Issues
Data protection act 1998: It was developed to give protection and lay down rules about
how data about people can be used. The 1998 Act covers information or data stored on a
computer or an organised paper filing system about living people, it is to maintain
privacy and integrity of people giving the data. It’s main functions are; - Allows
incognito for stakeholders - Doesn’t allow companies to mis-use information given to
them - Doesn’t allow companies to distribute information externally without proper
permission or good reason to do so - Generally to protect privacy and integrity of people
Parliament/government simply implements rules and having commissioners to enforce
the rules though it doesn’t stop businesses from storing information about the public, they
must abide be the rules of data protection otherwise they will be forced to face
consequences (Toth, 2013).
Freedom of information Act 2000: This allows the public to access information help by
public authorities. Public authorities are obliged to allow the public to view certain
information about their status/activities. The public are entitled to request such
information. The Act covers any recorded information that is held by a public authority in
England, Wales and Northern Ireland, and by UK-wide public authorities based in
Scotland. Information held by Scottish public authorities is covered by Scotland’s own
Freedom of Information (Scotland) Act 2002.
Ethical Issues
Usage of email: Harassing messages are by and large disallowed, including spamming or

The service provider of Cadbury ensures that the core IT services are backed up to ensure

also ensure that an of premise copy (Archive) of the data is kept up to date on a daily basis. The
backup system should perform a full restoration of operational core IT services and core data
stores to the point of failure within 24 hours (Alshare, Lane and Miller, 2011). The Service
Provider shall provide processes, procedures and schedules of backups, including media rotation,
maintenance of back up Core IT Systems and regular recovery exercises to be agreed with
company. If backups were to be missing or corrupt the contract of the service provider of
Cadbury would have not been followed therefore Cadbury has the right to break the contract and
issue legal action against the IT service provider who is in charge of backing up data. Health and Safety
Cadbury complies with health and safety by carrying out risk assessments in place for
staff, customers and assets and the results of assessments are monitored and reviewed where
risks are judged not to be low as reasonably practicable, action is taken to reduce the risk.
Audits for both Cadbury and principal contractor activities are carried out to agreed plans, with
performance against plan, and close out of significant recommendations monitored and reported
on. Safety is key at a workplace because if an employee is injured then the employee has the
right to sue the company.
P7 Outline electronic and non-electronic methods for communicating business information
The capability and uses of social networking media continue to evolve. Some maintain
social networking represents a new frontier in marketing and business networking. Companies
promote events, communicate with customers, offer discounts and draw attention to sales using
social networking media (Fall and et.al., 2013). A letter is a formal piece of documentation
