INTRODUCTION
Communication is important for transferring information from one place to another or to
person. Good or two way communication is important in everyone life and organisation because
without this no one is able to share their views, opinions and thoughts with others. It includes
several ways in this such as vocally, written, visual and non-verbal which support individual in
communicating with others (Azevedo, Apfelthaler and Hurst,2012). There is requirement of
proper communication pathway in business organisation for transferring important info and data
as well it play vital role in success of enterprise. An manager in firm must have verbal, non-
verbal and written communication skills so they can be able to share required information with
everyone. This assignment explain importance of communication skills and it will assist in
achieving pre determined goals and objectives in effectual way. It also through light on several
communication theories and model as well system and methods for making communication more
effectual. Apart from this, it also include oral and written communication by undertaking role
play, CV, letters, E-mails etc.

Theory of communication - There are several theories and models of communication which is
important for transferring information as well necessary for conveying message to other people
in the association. It is the duty of manager that they must take care of two way communication
from top to bottom and bottom to top. This play important role in maintaining better relation
between association and its employees. With the assistance of proper communication
coordination between several staff member is created for achieving common goals and objectives
of business. In simple terms it can be said that it is the ability of particular person for conveying
info and message to other peoples in efficient and effective way. There are several models and
systems of communication which can be used in business such as:
Communication models -
These are conceptual model utilised for explain the human communication procedure.
First model of communication was developed in 1948 and the developer is Claude Elwood
Shannon. Thus, communication is two way process in which sender and receiver both are
required for sending and receiving information or messages. In the business communication
model, it includes graphical which is used for giving information to each and every person. So

Shanon and Weaver's information theory model: This model was created in 1948 when
Claude Elwood Shannon was writing an article “A Mathematical Theory of Communication”
in Bell System Technical Journal with Warren Weaver. Concept of this model is:

Sender (Information source) – He/she is the person who make format and chose the
communication pathway for transferring message.
Encoder (Transmitter) – In this messages is converted into signals or binary data for this
sender use machinery.
Channel – This is an medium used for sending message.
Decoder (Receiver) – decoder is the machinery which is used for converting signals or
binary data into message. In simple term it can be said that receiver is who translate the
signal into message.
Receiver (Destination) – receiver is the person who get message for for who entire
process is formed. He/she is the person who provides feedback after receiving message as
per it. Noise – This is physical disturbance such as environment, people and several other which
create disturbance in transferring message to receiver.
The Modern Model of Communication: As per the current scenario, business communication
process has been developed and mostly companies are using it for transferring information or for
communicating with everyone who is part of business directly and indirectly. Several theorists
are investing their precious time and hard earned money in making business communication
more compressive and conceivable through several elements (Beebe and Mottet,2013). Modern
model is very much important because it includes latest elements or items in it as well it is
evolved from Shanon and weaver's information theory.

This model reflects that sender and receivers both are important part of communication
process because for communicating anything there is requirement of two parties (Tymon, 2013).
Apart from this, message and media both are the communication tools, encoding, decoding,
responses and feedback are necessary functions. Noise is also part of this procedure which create
disturbances in transferring to the receiver.
Communication system used in business -
In business Communication is related to successful transmission of information and ideas
which is providing by the company to every individual who is working with them. Their is
proper process of communication which includes sender who originates carefully encodes their
ideas and thoughts into proper content which make proper sense. Thus, they can transfer info to
the recipient who is known as receiver. There are several kind of communication system some of
them are given below:- Optical Communication System: This is also known as optical telecommunication
because this way of communication take place in distance by using light to carry info. It
is performed visually through electronic devices. Optical system use transmitter which
help in encoding message into optical signal, which carry signals to the designation and
then recipient reproduce the message from the received optical signal. Tactical communication system: In tactical communication system information or
message is transfer as per the changing environment and its situations. Duplex communication system: It is a point to point composed with two or more
connected parties who can communicate with each other in both the directions
(Certo,2018). There are mainly two types of duplex communication system such as:
Full-duplex (FDX) and Half-duplex (HDX).
Radio communication system: In this communication model information or message
flow with assistance of radio which is transmitter. Major role in this is of antenna
because it produce signal which is totally dependent on radio carriers waves.
Communication methods and technology in business -
There are several methods defined in communication system and mainly used for
conveying message and important information. Organisation have to use every type of
communication methods because it is important for creating healthy and positive environment.
There are several methods for communication description of all these are given below:-

Written communication: It includes written communication interaction taken place in this is by
using paper, E-mails and several other written form (Street and De Haes,2013). This type of
communication is important for every type of business organisation because it improves writing
skill of employees. It can be beneficial for future also because this have its physical proof that
can be used in future.
Verbal communication: It is the form of vocally methods in which individual can share their
information or data with other person with the assistance of speech. This involves two forms of
communication such as written or oral.
Non-verbal: In this type of communication system several symbols and signs are used for
passing information. Non verbal type of communication is mainly used in hospitals and it
involves signals, body language, postures and gestures.
Visual communication: This involves several aspects such as signs, drawings, designs and
several other as well it is the best form of communication.
Formal communication: This is used in offices mainly for transferring info or messages that
must includes professional rules, standards, regulations and policies.
Benefits of formal communication: Increase efficiency: It is advantageous in enhancing level of efficiency in the
organisation (Mishra,2014). They can utilise this for making whole work with more
efficacious so that productivity can be increased and profit maximisation take place. Documentation and records systems: It is one more ways for recording any particular
informations in better manner.
Drawbacks of formal communication: Time consuming:Formal communication is more time consuming process as well it
consider top level management of business. Lack of initiations: when person who are involved in communication process and not
taking initiations then transferring info is not possible.
Various types of technology in business communication:There are several technologies which
can be used in business organisation for communication process such as mobiles, software and
some applications also. Few of them is given below: Internet: This is the best way used in company for transferring information because it is
not much time consuming and expensive.

Making communication effective Clarity: It is necessary that message which is transferring should be clear and in proper
format. Attentiveness: Receiver must have quality to listen in better way so that they can
understand any specific informations in more prompt manner.
Barriers of effective communication: There may be originate any jargon in the words which
generate barriers. along with this, Irrelevant data can make barriers while doing communication
procedure (Storbacka,2011). If Receiver is not be able to listen and speak then communications
cannot be possible so it is necessary that recipient must have listening and speaking capability.

Oral Communication - This is best method for transferring information and data to the
receiver through words of mouth or by expressions (Barratt,Hanlon and Rankin,2011). It is the
common method of communication used in several enterprises during meeting, seminars,
conferences and group discussion. Below mention defines character or role play by particular
person such as:
Interviewer as a customers: I am not satisfied with the delivery time of products because
was not on time. Thus, I am not satisfied with your services.
I as a sales person: Sorry for the delay, please allow me to correct myself.
Customers: I will not going to prefer your products again because of your delay and
irresponsible nature. I don't want this product now and I will not going to refer this to
anyone.
Sales person: please allow me to check the reason of delay in delivery of you products
and I will just review your transaction detail or history.
Customers: No chance I don't care of all these!!!
Sales Person: I apologies for this because it done because of some minor mistake and
misinformation so please relieve us and take your accept your products without giving
any delivery charges.
