INTRODUCTION
Business communication can be defined as process through which organisation can share
information with people in or outside the organisation. Its main purpose is to improve
organizational practices and also it reduce errors within the organisation. Present report is based
on an IT company Bri-tech that is located in Bohemia, NY, united state and is pert of
Investigation and Security Service industry. This report will outline theories of organisational
communication , furthermore report will outline barriers of effective communication and in the
end report will tell about strategies to overcome these barriers.
MAIN BODY
1) General theories of organisational communication:
Organisational communication: It can be defined as a form of communication in which
organizations like corporates, non profit, and government bodies engage themselves in both
internal and external communication with the organization as well as with its stakeholders
(Liebel, and et.al 2018). It include internal communication such as employee training,
interpersonal communication between mangers and external communication like public relation,
press release, branding etc. with the organisation. Some theories of organisational
communication are as follows:
Webber's Classic Organizational Theory of Fixed Structures: This theory was
developed by Max weber and it says that organization defined roles and responsibility of
employees very clearly and so that communication is in proper hierarchy and structured form
(Duffett, and et.al 2019.). This theory says that there should be proper communication in the
organisation and no scope is to be left for confusion. Bri-tech should follow this theory so that
communication is to be followed in effective way. By having proper hierarchy employee will
know whom they will have to report, who is their superior and what task they need to perform
and accordingly each individual in the organisation will work in an effective manner. Company
should follow this strategy as it will help in fast decision making as everyone know their roles
very clearly. It improve operating efficiency in organisation and by following proper hierarchy
there will be no conflict in the organisation and it also improve employee performance.

Shannon and weaver's model: It is a mathematical theory of communication which says
that communication is segregated and broken into six parameters that is sender, encoder,
channel, noise, decoder and receiver. It also be called as mother of all models thus it provide a
proper framework through which employees can analyse how message are send and received.
Bri-tech should follow this strategy so that communication will be effective and it also make
conversation easy as proper hierarchy is to be followed. It explains basic build blocks and
generalise proper flow of commination and by this organisation can know how message are lost
in a way and distorted in communication process.
2) Barriers of communication:
A communication barrier can be defined as anything that interrupt any message which is
sanded between sender and receiver. In organisation employees share their ideas, thoughts or any
kind of information through communicating with another employee and barrier of
communication come in a way and interfere with the message that a person is trying to send. It
happen because message send by sender is not being understood clearly by the receiver and
message get distorted during exchange of communication (Sisk, and et.al 2021). There are
numerous barrier of effective communication some of these are as follows:
Physical barrier: It can be defined as a condition that prevents effective communication
and are being visible easily and can take any form and interrupt communication. They are high if
the distance between sender and receiver is too much. Bri-tech company is currently facing this
barrier as employees are being reluctant to go to workplace after covid scenario takes place.
Some people does not have their own vehicle and they are reluctant to travel through public
transport.
Emotional barrier: It is a mental limitation in which person is not being able to
communicate openly about their thoughts or feelings as a result they have low emotional
intelligence (Barriers to Effective Communication, 2022). Employees prefer to work at home
because they become used to and find themselves more productive working at home as they have
their own schedule and they refuse to go to office.
Organisational structure barrier: It can be defined as hindrance of effective
communication between members of the organization this happen because of hierarchical factor
that is problem with structure, insufficient information system etc. In the selected company

employees are worried that if there will be proper ventilation facility or not and also concerned if
other employees will follow social distancing at the workplace(Greenway, and et.al 2019). Thus
they don't know about their task and what organisation is expecting from them and how they will
be able to manage it.
Perceptual barrier: It can be defined as a barrier that prevent us to make accurate
perception and it interrupt the way we process information. In Bri-tech some employees chosen
not to be vaccinated as they are afraid from vaccination and on the other side employees who are
vaccinated are worried that they will interact with non vaccinated person that can harm them.
Interpersonal barrier: When an employee is too afraid or shy to share their thoughts
and feelings and does not participate in important meetings interpersonal barrier occur. This is
very common at workplace as employees in this company spend long time in working at home
and they think that they lost their interpersonal skills and now they are nervous that how they
will engage with other colleagues.
3) Strategies to overcome barrier:
Communication barrier hamper overall growth of the organisation is very necessary to
overcome these barrier. Some of the strategies to overcome these are as follows:
Use of simple language: Simple language is better than a complex language as it helps
people to understand information. In organization employees must translate technical
information into simple language so that everyone can understand it clearly. It is the behaviour of
people that they trust or act on the information they understand well. In Bri-tech employees
should use simple language so that message they are sending should not be vague or ambiguous.
They should avoid jargon so that employees should communicate effectively in the organisation.
Use of simple language is necessary by this employees can communicate well with the clients
and customer and also organisation can easily give them what they want .
Eliminating difference in perception: Perceptual barrier are very hard to detect as it
reflect how person perceive any information internally. It shows how employees in the
organisation communicate with others and how they receive message totally depend upon point
of view. In selected company managers should recruit right people for right job position to make
them effective in the organisation (Bellettato, and Scarpa, 2018). It help company to eliminate
difference in perception to make communication effective. Company should overcome

perception at workplace as it foster more positive interaction and it will help the organisation to
view things perfectly and on the basis of this problems can also be solved easily.
Active listening: Active or attentive listening has several benefits and it is very much
important for organisation as it helps to develop effective communication skill and improve
employees morale. It is an ability of an individual to hear properly what other is saying in order
to understand it properly. Company should follow this strategy as it make the organisation to
develop effective communication with their employees. It is very much important as by this
employee will be fully aware and concentrate about what is to be said and also employees build
trust with each other and gain healthy work experience (Wu, and et.al 2018). Employee become
more productive and also this resolve conflict in the organisation. People who listen to
understand form better relationship with each other and also empathetic to their approach.
Avoid information overload: It means excess information available to person who aim
to complete a task. Information overload hamper decision-making ability a person resulting to
which poor decision being made. Thus, company should make a proper management so that
information doesn't get overload and managers should not overload work on employees and also
they should listen their problems and as it is necessary to give them proper feedback it motivates
employees in effective manner (Ding, and et.al 2020). Organization should identify top priorities
accordingly work is to be given, and they should also schedule related task together it makes
effective communication in reorganizationist.
Recommendations-
Employee should participate in decision-making process by this they will feel more
valued and morale of employees will also increase.
Bri-tech can welcome ideas, thoughts of people in the organization so that it will help in
overall` growth of business.
Though active listening communication can be more effective and employee will also
build trust with each other so company can use this.
Use of simple language is also necessary company can use this so that message will not
be vague and ambiguous.
