Introduction
The members are requested that there will be a business analysis meeting that is scheduled to
happen tomorrow at 5 a.m. The members are requested to avail themselves promptly because of
the importance of the task to be exercised tomorrow. Members are aware of the University's
policies on the late submission of assignments, and this calls for an urgent action that bounds and
requires strict attendance by all of the stakeholders. It is expected that the members are preparing
and already coming up with ideas of how best we can tackle our school work as a team without
interfering with our current careers and busy schedule as this is by far the biggest challenge that
our team will be facing as soon as we disperse.

The purpose of this memo is to provide an analysis of the key issues in educational programs,
providing recommendations for the future Blueprint, future actions and factors of consideration
for team-based activities in educational programs. These points are expounded as follows:
Thesis
In order to function together as a high-performance team then the members must come up with
ideas to solve these key problems that are being faced because it may prove more problematic if
not well taken care of. Since it is inevitable for the team to be geographically dispersed, members
must carefully rethink about our technological pieces (Adair, 2003, p. 8).
Three Key Issues
To start with, is the compatibility of the computing platforms, the fact that all our members have
different software applications that can perform similar tasks means that if each of us uses their
preferred software we may have a problem when trying to integrate our results. The second issue
is that it would be prudent to consider our preferred method of communicating as well as sharing
information. We could either schedule meetings in-person meetings at Ivey's ING Centre in
Toronto or hold faces to face meetings at members' workplaces, or homes or both any other
suggestions are welcome. We will also need to determine the mechanics of asynchronous
document sharing since email is not a great solution as they tend to limit the size of attachments.
Last but not least we will also need to find a viable way for us to coordinate teamwork especially
long-term projects that span throughout the five-month term. Kindly keep these issues in mind

and come up with practical solutions to these matters. Every member needs to understand that
teamwork improves every other colleague's morale, commitment, and dedication towards
achieving our set objectives. Further, improper coordination and failed collaboration results to
poor organization of a group and hence ultimate failure to meeting the presumed targets.
Factors to Consider for Team Based activities in Educational Programs
Although it may seem a bit confusing while trying to differentiate between the tools of
communication from the means of storage, it might be worthwhile for us to understand that there
is a significant difference between the communication tools that technology offers and the
document sharing tools that we have on our computers. This is because, for one Skype, WebEx,
GoToMeeting, and Anymeeting are simply applications put in place for people in different
localities to be able to hold meetings even if they are not in the same room. However, Google
Drive, Microsoft SkyDrive, Amazon cloud drive and Dropbox are applications meant for sharing
documents of greater sizes with limits (Raymond& Flatley, 2002, p. 100).
We are at this moment requested to make use of Google drive, Amazon, and Microsoft Skydrive
other than Skype and WebEx. For you to effectively utilize the meeting tools, we will need to
treat these meetings as any formal meetings so we must be available at the same time for
meetings and choose the software that we will all use. Unlike the document sharing applications
that the sender may send the document at any time and the receiver will get it as soon as they
open its implementation on the other end, it must not be at the same time. Asynchronous storage

tools are handy because especially for our long-term projects we can update this document as
time passes as it allows for storage of large information and allows the document to be used by
all our members.
Future Actions/ Recommendations
In order for any learning team to succeed it must ensure that it puts into play an effective plan
with achievable goals for them to achieve within the set timelines. For our team's things will not
be any different. Setting a plan with right time frames and limits will help us meet the set
deadlines and hence avoid being penalized on the late submission of our assignment. The policy
is that late submissions result to failed awarding of marks or even reducing of marks which may
contribute to poor grades. It will be essential for us to critically look at the task ahead of us and
write up a plan that we will all have and refer to and ensure that all of us adhere and endeavor to
meet our deadlines.
We can use internet-based applications in order to ensure we achieve this; however, some
applications seem like piling up more work on the work we already have. I would rather suggest
that we set up meeting dates on which we will discuss pressing matters as well as get updates
from members about how well they are handling the tasks given to them. During these meetings,
the members shall also have the liberty to assist one another and similarly get approval to update
the project document if members are satisfied with work that has been completed.

To sum up, the two most fundamental factors of a team based activity entails teamwork and
communication. In the regard, face to face meetings is usually preferred because there is better
communication amongst members and provide immediate feedback. Face to face meetings
makes it more personal for members, making it easier for members to own the group that when
they participate than in a virtual meeting kind of setting (Gill, 2012, p. 50). Although sometimes
it's not possible for team members to meet face to face for every meeting due to the geographical
distance between them. One can easily argue that face to face meetings are better as they create
some bond.
