INTRODUCTION
Communication is the process to interact, share and exchange of views among two people
or group of people through written or oral communication. At business enterprise, there is
requirement of proper communication technique through which it is easy for employees to
interact with one another and performing roes and responsibilities in better and effective manner
(De Alencar, 2016). This report is based on hospitality sector organisation i.e. Spectrum resorts.
This is the resort which operates in USA and managers are thinking to expand in Shri Lanka.
There are many departments at Spectrum resort such as sales, marketing, research and
development, purchase, customer service, etc. working to provide best services to consumers.
There is difference in demand of consumers, so it is important to communicate things in better
manner. In this report, there is discussion about measures taken to create co-operations among
subordinates, communication barriers which arise in inter- departmental communication and
measures to over come it.
LITERATURE REVIEW
According to Shawn Grimsley (2019) Communication is the process of sending and
receiving message, ideas, thoughts, etc. among two or more people communication is incomplete
without decoding. It is not essential that receiver decode message as it is encode by sender. There
is an proper process of communication through which message get from sender to receiver
through different channel. There are different noises which affects actual message and there will
probability that communication may get effected.
Purpose of communication
There are different purpose for which communication is important in organisation. As
there are different departments which are working to provide satisfaction to consumers. Purpose
of communication for inter- departments of Spectrum resorts is as under-
Flow of information- With proper communication, there will flow of absolute and exact
information. As there are many department having inter related business operations, so with
communication technique, there will flow of data, ideas in sequential and synchronise manner.
Coordination- communication is the way through which ideas can be communicated. For
instances, Research and Development department of Spectrum resorts analyse market and came
to know about Shri Lanka as emerging destination for tourism. So marketing department has to

make strategies for expanding business in Shri Lanka. This is possible because of
communication, hence this creates coordination among various departments.
Developing good relations- With the help of communication techniques, it is easy for
employees to make good relations among workers. Hence there is good and proper relations
among workforce which is positive for working efficiency of Spectrum resorts (Hashim, Lin and
Foster, 2016).
Importance of communication
Planning become easy- With interaction among one or more departments, it is easy to
plan business operations in accordance to current market. So proper communication is essential
for making coordination among different departments.
Ease in decision making- Decisions can be made easily because all the departments are
aware about working style, so actions will be taken as per change in external market with
informed consent of all departments.
Effective leadership- Leadership refers to the process through which leader can lead team
and perform actions in better and effective manner. For instance, there is change in marketing
actions, then leader will communicate with workers through business phones to analyse their
performance.
Principles of communication
Clarity- There is requirement of clarity in communication. When things are
communicated to employees, then it must be clear in terms of language and gesture, etc. If
communication is not clear then employees of Spectrum resorts get miscommunicated and they
are not able to complete task effectively. With implementing clarity in communication at
Spectrum resorts, it is easy for employees to understand what has to be done and they are able to
accomplish their assigned roles and responsibilities appropriately as per market (Jackson, 2017).
Constructive feedback- In effective communication, feedback is the major part because
with the help of it, it is clear that receiver is able to understand it properly or not. Hence with
getting feedback from receiver, it is easy to understand whether receiver is able to understand
about communicated idea or not. With getting feedback from receiver it is clear that they will do
they will do their task in appropriate manner. This assist managers of Spectrum resorts with
positive results.

Attention- Attention of receiver and sender is essential because they are the parties who
are communicating fr achieving aims and objectives. This is significant and crucial to understand
changes in order to understand specific task. So employees of Spectrum resorts has to be
attended what is communicated and implement it at workplace. With performing business
communication in better and effective manner which is significant for understanding what has to
be done and how to achieve it (Sumra and Hasbullah, 2016).
ANALYSIS AND DISCUSSION
What measures would you recommend to your colleagues and subordinates to take?
There are some recommendations through which managers of Spectrum resort can
communicate with different departments in better and effective manner. This makes colleagues
and subordinates aware about different working style and taking actions accordingly. Some
recommendations for Spectrum resorts is as under-
Regular interaction- There should be regular interaction with employees so they feel
familiar and it is easy for workers of Spectrum resort to communicate about their issues and
managers take measures to overcome. This gives positive impact on overall performance of
Spectrum resort. In order to make regular interaction, manager should plan some social events
such as picnic, movie, outing, etc. This reduces communication gap at workplace among
employees (Kasparova, 2016).
Weekly meetings- there must be weekly meeting with employees of Spectrum resort
through which they can communicate about change in demand and if new services are launched,
then planning can be done regarding it. If there is change in working style, then there should be
use of general communication technique such as e- mail, English language, etc. through which
all will become aware. There must be provision of revert back, so it is clear that workforce get
message right in specified direction.
Framing cross departmental teams- As there are many departments at Spectrum resort
such as finance, marketing, research and development, etc. all are working to achieve same aims
and objectives. In this case teams should be framed from inter- decremental. This assist in
completing task within specified time and cost because employees have knowledge about
different sectors. This also assist to maintain good relations among workers and they are able to
complete their task.

With the help of above mentioned strategies, it is easy for managers of Spectrum resort to
make positive environment at organisation. There will positive relations among employees this
boost their performance and productivity at organisation (Laroia and. et. al., 2016).
What kind of barriers in communication do you face and what is your strategy to overcome
them?
There are different kinds of barriers which affects communication within business
organisation, managers of Spectrum resort has to make polices to over come them. There are
different barriers such as linguistic, psychological, emotional, cultural, etc. Some barriers faced
by Spectrum resort are discussed as under-
Linguistic barriers- In this barrier communication age affected because of language
differences. There are different employees who known different language, so sometimes,
communication is not proper because individuals are not able to understand it. This leads to
miscommunication ad affects business operations of Spectrum resort.
In order to deal with it, managers must use one specific language which is known by all
the employees. Communication must be in written and verbal for, so it is easy for workers to
understand tasks and roles in better manner.
Emotional barriers- This is the barrier which arise because individuals does not feel
comfortable in front of others and this leads to miscommunicate the actual things. There are
some emotions in employees such as anger, frustration, humour, etc. due to which their
communication get affected (Markovic and Salamzadeh, 2018).
In order to deal with emotional barriers, managers of Spectrum resort must use
relaxations techniques. There must be proper break to employees through which they can
energise themselves and then perform assigned job role.
Physical barriers- This barrier is one of the most destructive barriers which arise because
of noise, fault in equipment, disturbance in communication , etc. these barriers creates problems
because employees is not able to deal with them. For instance, if communication is done through
telephone and there is disturbance due to weak network, then this barrier is due to physical
interruption.
In order to deal with such issues, managers of Spectrum resort must use test and check
equipments properly before use. There must be regular up- gradations and maintenance of
different communication tools (Penrod, Tucker and Hartman, 2017).

CONCLUSION
From the above discussion, it is clear that communication is one of the most important
concept which is assist in changing ideas and thoughts. Communication is important because it
ease in decision making, getting constructive feedbacks, etc. through which business operations
of association gets improvise and able to get positive outcome. In order to make employees
aware able changes in organisation, there must be social events, general communication channel
has to be used, weekly meetings, etc. through which there is no possibilities of communication
gap. There are possibilities of linguistic, emotional, cultural, physical barriers which affects
business communication of an organisation. It is essential to resolve these issues through
understanding cultural of receiver, using well known language, etc.
