INTRODUCTION
Business communication may be defined as sharing of information among the people
within and also outside an enterprise which is performed for the commercial benefits of an
enterprise. Business communication is a type of communication which is used to promote a
product or service or an entire organization (Kernbach, Eppler and Bresciani, 2015). In this
report, Sports Love is taken as an organization as per the given scenario which is facing poor
communication problems in an organization. The report will further explain about principles and
purpose of HR directors need to be considered in communication strategy. In addition to this
characteristics which participants must have as effective listener and effective speakers during
meetings will also be explained in details.
LITERATURE REVIEW
Principles and purposes of communication strategy
According to Thomas and Stephens, (2015) communication strategy is a business tool
which helps an organisation to align their market business goals with the marketing plan. By
framing a communication strategy, an organisation can focus on reaching a set of predetermined
results. A principle of communication strategy is that communication is not supplementary or
complementary activity to the main work of the organization as no work can be done properly
without having an effective communication strategy. A basic principle of communication
strategy is to shape the mind-set of employees in the organization, to develop an understanding,
positive attitudes, perception, etc. among employees to develop an effective communication. HR
director has felt that an ineffective communication has resulted in poor performance of the
employees and having a negative impact on customers. So in this context all these strategies its
principle and purpose should be incorporated by HR of Sports Love so that they could ensure
proper communication.
As per the views of Ortiz, Region-Sebest and MacDermott, (2016) purpose of
communication strategy is that it lays out a plan regarding the way to handle different forms of
communication that are dispersed in the Sports Love. Purpose of designing a communication
strategy is that it helps in addressing the problems and solving various problems at grass root
level by using effective communication methods, media and techniques. Communication strategy
ensures that a significant information of the Sports Love is dispersed to the right people

internally and externally. A communication strategy of organisation affects its image and an
ineffective communication strategy will leave employees with frustration and anger.
Communication strategy helps in increasing the efficiency of organization and reduces barriers
of communication. It helps managers to solve problems easily and have an effective discussion
with employees to frame a solution. As the HR manager is facing the problem regarding
ineffective interaction among employees and causing negative impact on customer experience.
Communication strategy helps in building morale of employees in Sports Love and brings
consistency in employee’s performance.
General characteristics of participants have to be effective listeners and speakers during meetings
According to Aten and Thomas, (2016) a general characteristic to be an effective listener
is that a listener should pay attention to each and every word spoken by the speaker. This will
help a listener to understand the actual theme what a speaker is trying to say which will help
Sports Love. As this will create clear flow of information and ideas among employees from side
of management of company and improve poor communication as well. Effective listener should
maintain positive posture, should avoid distractions, keeps attention focused on speaker and
maintains eye contact. A listener accepts ideas and feelings of a speaker and also asks questions
if anything is not clear when the speaker has finished. This helps in clearing of doubts and results
in acceptance of ideas and thoughts of employees of Sports Love. These are the important
characteristics to be a good listener which should be adopted by employees of Sports Love to be
a good listener (Wyeth, 2019.). To be an effective listener has to develop its grasping power and
should be able to understand the content and matter.
As per the views of Mehra, (2016) characteristics to be an effective speaker are that a
speaker should be confident on what a speaker is speaking because a confident speaker is
perceived to be knowledgeable, confident and intelligent and is liked by listeners. An important
characteristic to be an effective speaker is an ability to engage the audience. A speech should
engage the audience as much as possible. This helps in elimination of boredom and
communication barriers in the organization. In order to be an effective speaker, a speaker should
first need to understand who a speaker is actually what its position is and what are its strongest
qualities.
A professional speaker capitalizes on his own strengths and tries to find various ways to
improve his weaknesses. To be an effective speaker, a speaker should remain prepared about the

topic or situation a speaker has to speak on. An effective speaker rehearses before actually
speaking which develops confidence and can overcome the errors. So HR manager of Sports
Love could evaluate all characteristic of listener and speaker then help employees to effectively
communicate with each other.
Strengths and weaknesses of communication
According to me, my strengths while communicating are that I am a good listener, I listen
to the speakers carefully and try to understand most of the topics that a speaker is speaking on. I
pay close attention to what a person is saying and I even ask questions in order to clear my
confusion and doubts. As per my experience, I maintain proper eye contact and gestures while
speaking to the audience. So, these are my strengths while communicating. However, on the
other hand, as per me, my weaknesses while making a communicating are like I cannot maintain
my tone of voice sometimes as I speak in high and rough tone. Also, sometimes, I speak in low
tone which is my weakness while communicating and I get failed to praise and thank to the
people for their good work which is an important part of communication.
ANALYSIS AND DISCUSSION
As per above evaluation, it can be analysed that a communication strategy will prove to
be an important tool for Sports Love in order to overcome various communication problems and
barriers of communication (Shimizu, 2017). An organisation may have different purposes to
develop a communication strategies but the main purpose of Sports Love is to overcome poor
communication skill and barriers in communication. By framing an effective communication
strategy Sports Love can develop an effective communication in an organization. It is also
analysed that the basic principle of a communication strategy which can be used by Sports Love
is that the communication strategy can help in shaping employees mind set and to develop
understanding among various departments in an organisation. With the help of this principle
Sports Love can overcome the communication barriers and improve the efficiency of an
organization. As per the analysis communication strategy can fit to various purposes within the
organization (Marcel, 2015).
As Sports Love is facing poor communication skills and there exists various barriers in
order to make an effective communication. So Sports love can develop a strategy to develop
better communication skills and overcome the barriers of communication within the

organization. By developing a proper communication strategy can help the organisation in
improving the image of organisation and also can satisfy their customers in a better way. It can
also be analysed that employees of Sports Love should possess various characteristics to be an
effective listener and speaker. In order to be a good listener, employee of Sports Love should
possess the characteristics like a listener should listen attentively to the leaders or managers.
They should maintain positive postures and should maintain eye contact. Also, employees should
develop patience of listening and ask questions frequently in order to clear their doubts and
confusion (Hargie, 2016). It is also analysed that in order to be an effective speaker, employees
of Sports Love should possess the qualities of a good speaker. Managers and leaders to become
an effective speaker while speaking should be confident, able to engage the employees, choose
the right medium of communication and prepared before giving a speech.
By developing a characteristic of effective listener and speaker, employees of Sports
Love can improve their working results and make their communication more effective. It will
also help in addressing problems of customers easily and they will be able to change perception
of customers towards organization (Quintanilla and Wahl, 2018). By developing an effective
communication skills among employees, Sports Love can have a positive impact on customers
and increase the sale of their goods. It is also analysed that being a good listener and maintaining
eye contact are my personal strengths while communicating with others but not having control
on tone of voice is my weakness and failing to praise the people for their good work or job is
also my weakness which needs to be overcome in the future.
CONCLUSION
It can be concluded that communication in business plays an important role to operate a
successful business. To have an effective communication, an organisation should develop an
effective communication strategy to deal with the poor communication and overcome barriers of
communication in Sports Love. This report also concludes that employees of an organization
should develop an effective communication skill in order to be an effective listener and speaker.
To be an effective listener and speaker, employees of Sports Love should develop the
characteristics and qualities of effective communication skills. It can also be articulated that
communication skills can help Sports Love to tackle challenges faced within organisation and
can have positive impact on their customers.
