EXECUTIVE SUMMARY
Business communication is sharing of information between people in and outside a
business which is performed for commercial benefit. The purpose of communication in a
business such as Cinnamon Grand Hotel for the proper flow of communication and
organizational communication is not limit within the organization only but also the relationship
of humans working in organizations such as Cinnamon Grand Hotel develops. The formal
communication is beneficial for companies as it helps in maintaining coordination and
information flow under this form of communication reflects professionalism.
There are seven principles of effective communication in order to enhance the practice.
The communication practise of seven C's of effective communication which includes
completeness, conciseness, consideration, clarity, concreteness, courtesy and correctness. The
effective communication build enhancement of team work in the company as the information
flow freely from top to bottom and side to side. Communication practise increases the job
satisfaction of employees and the productivity of the company increases with it. It has observed
that the company is facing difficulty from inter departmental communication.
The Cinnamon Grand hotel must facilitate a consistency within their communication
channel. This will help the member of departments to coordinate with each other by consistent
communication in the hotel. This not only enables effective flow of communication but also
builds good human relationship among members of department of Cinnamon Grand.

INTRODUCTION
The business communication is sharing of information between people in and outside a
business which is performed for commercial benefit (Shumate, Hsieh, and O’ Connor, 2018).
The company also shares their information in order to promote the services and products to
customers. Cinnamon Grand Hotel is a luxury five start hotel situated in Sri Lanka. The report
will present the study about the purpose and principles of different types of organizational
communication. Also, the principles of effective communication will be explained in this report.
The report will also lay emphasis on communication practise. The report will also include an
analysis and discussion on barriers and strategies to overcome barriers of communication. Along
with it effectiveness of inter departmental communication will also be evaluated.
LITERATURE REVIEW
LO1 Describe and analyse the purposes and principles behind different forms of organizational
communication
According to Carayannis, Sindakis, and Walter, (2015) The purpose of communication in
a business such as Cinnamon Grand Hotel for the proper flow of communication. The hotel staff
kept informed staff working at all levels in the work place in order to develop the organization.
The right information must be reach to right person at the right time by the right person. Also,
the difficult words must be avoided while communicating to different members of staff.
In accordance with Calabro, Lonetti, and Marchetti, (2015) The organizational
communication also facilitates the information flow, beliefs and ideas, perception, opinion etc.
which enable the managers to learn skills of managerial by others experience.
On the other hand El Masri, Orozco, and Tarhini, (2015) argued that the purpose of
organizational communication is not limit within the organization only but also the relationship
of humans working in organizations such as Cinnamon Grand Hotel develops. They should
understand each other but it is not seen in the staff members of the hotel. The organizational
communication are not occurring effectively in the Cinnamon grand hotel due to lack in effective
organization communication.
In the view point of Shepherd, Sibert, and Soroka, (2016) The staff members are
encouraged for the ideas and opinion which help them in decision making. Also, the managers
able to get the best ideas and thoughts which provide them ease in process of decision making by
effective communication in the hotel.

The staff members need to follow a proper procedure for communication any information to
managers. Also, the managers need to follow communication flow downward to communicate
with their staff members.

for companies as it helps in maintaining coordination and information flow under this form of

(2015) argued that any important information flow under formal communication takes time to
communicate. Also, this is the reason behind the delay in decision making of the Cinnamon
Grand Hotel.
LO4 Apply principles of effective communication to enhance practice.
In accordance with Wu, Straub, and Liang, (2015) There are seven principles of effective
communication in order to enhance the practice. The first principle is completeness, This implies
that the communication in an organization must be complete. The required facts must be attached
with the communication while communicate it with other staff members. The second principle is
conciseness. In which the words or sentences of communication must be in the least words. Also,
the repetitive words must detached with the message to be communicated within the business to
avoid confusion.
In the view point of Carayannis, Sindakis, and Walter, (2015), Consideration is the third
principle of effective communication which enhances the practise of communication in
Cinnamon Grand Hotel. The audience interest must be there while communicating message to
them. The clarity of message is also a principle of communication in which the clarity of
message must be comprehended in effective manner to the audience. They must not get
misinterpreted by the message conveyed by the member of the company. On the other hand El
Masri, Orozco, and Tarhini, (2015), argued that the message lacks in clarity is effective and may
cause huge loss to the organization such as Cinnamon Grand.
According to the Shepherd, Sibert, and Soroka, (2016), The concreteness is strength of a
communication and the specific figures and facts are supported with the correct use of words.
The concrete message just like clarity mus be appropriate and consist of concrete words. In the

communicator need to follow that there is no grammatical error in the message when it is
communicated to audience. As they need to convey the exact and well timed words to them.

communication with the audience lead to failure of effective communication and the message get
disbursed when it is improperly communicated.
LO5 Evaluate the communication practices of themselves and others
As per the view point of Shumate, Hsieh, and O’ Connor, (2018) the communication
practise of seven C's of effective communication which includes completeness, conciseness

ANALYSIS AND DISCUSSION
To facilitate inter departmental cooperation
The inter departmental communication within the hotel Cinnamon Grand can be
improved by taking these measures. They are :
To develop a common language - It is observed that the company is facing difficulty from
inter departmental communication. As the confusion arises among different members of the
department by use of different language in the work place (Sun, Wu, and Yang, 2018). Also, the

terminologies used by communicator is different. The Cinnamon Grand hotel must use a
common language to avoid any misinterpretation .
Facilitate consistent communications - The Cinnamon Grand hotel must facilitate a
consistency within their communication channel. This will help the member of departments to
coordinate with each other by consistent communication in the hotel.
Promote an informal venue - The Cinnamon Grand hotel must also enable an informal
venue for the meeting and project execution by the team members (Shumate, Hsieh, and O’
Connor, 2018). This not only enables effective flow of communication but also builds good
human relationship among members of department of Cinnamon Grand.
Barriers face in communication and strategies to overcome them.
Language barriers - The barrier for effective communication in Cinnamon Grand hotel
is due to the language. The message are generally includes abbreviations and jargon while
communicating with audience which represents misinterpretation among them as the
terminologies used by communicator is not familiar with them (Barriers to effective

Physical barriers - The communication is easier in shorter distance rather than longer
distance. The communication must be executed by face to face until the availability of proper

formal communication in their work place. This lead to delay in communication and also the
message get distorted. Meaning of the message gets change by following this process of

Measures to overcome the barriers of communication are that the communicator must avoid
slang language in organizational communication. Also, use a common language of
communication while communicating with different members of staff in Cinnamon Grand hotel.
The media from which communication is to be executed must be chosen appropriately, As for
lengthy message email is more comfortable rather than telephonic conversation.
