Response to question 1.
Communication system brings employees of an organization together and establishes
a mean to communicate with each other. The traditional methods of communication has
changed and been replaced with the advent of technology. Technology has brought in new
services which are cost effective and efficient. The obvious communication equipments in a
business organization involve telephone, fax, postage system and email. There are other
means of communication system like videotext, 2-way radio, telegraph and telex. Email
chatting and the internet have provided advance means to communicate with the individuals
of enterprise (Harada et al 2019). Messages can be sent swiftly over the World Wide Web.
Telephones have made communication easy and mobile. The major advantage of the email
and the internet is that the process is cost effective and has made the previous methods
redundant. The system faces disadvantage when the server fails and the entire system crashes.
Response to question 2
There are numerous means of communication system. Communications going both in
an out are: telephones, email services, mobile phones and traditional 2-way radios.
Telephones are highly effective as a communication mean. The telephone system allowed
any employee of the organization or enterprise to communicate with other employees
anywhere in the organization. The system includes a hub which directs the messages to the
appropriate line in the organization. Mobile phones are the handiest source and means of
communication (Henry et al. 2016). Technology enables easy mobility of the device powered
by rechargeable batteries. Mobiles phone are a widely used commodity to communicate from
anywhere and at anytime. Messages and calls can be made easily and from anywhere as the
device is completely wireless (Mahaffey et al. 2016). Signal strength and effectiveness of

mobile phones vary according to the model and technology used by the device (Sigmon and
Barber 2016).
Response to question 3:
External communications means are used by business and organizations to transfer
information and communicate. External communication means include postal services,
couriers, electronic banking services and trucking or rail services to name a few. Each service
has their benefits and significant uses. Postal services are the traditional way to communicate
with an individual by sending messages physically. The system was slow and yet reliable.
Courier services come as an alternative to postal services. Courier services are highly reliable
and fast in delivering all kinds of items directly at home or at the office. Services are used by
companies as the service is swift and reliable. Rail services used for couriering large scale
parcels and the process is highly cost effective compared to other services. The major
disadvantage of this kind of service is that the receiver of the parcel has to collect the parcel
form the railway station. Lastly, electronic banking is a quick and easy solution to physical
money transaction. Salaries of the employees are directly sent to the employee’s bank
account and the employee can use the money by digital or electronic means.
Response to question 4.
The problems which are commonly faced by co-workers in the work place regarding
communication system are slow working of the internet, server problem and problem in
communication lines. To avoid such issues at the workplace, server monitoring tools should
be used to periodically check the health of the server. The communication lines need to be

checked periodically and the system should always be updated. IT teams need to incorporated
in the office as they will take care of the problems regarding IT services.
