INTRODUCTION
Business environment is basically a combination of all internal and external factors that
are having a significant and influence on company's operating situation. It include factors like
customers and suppliers, number of competitors and efficiency of owner, advancement and
improvement in technology, trends and behaviour of market, society and also includes movement
laws and regulations (Belás and et. al, 2015). For this assignment, Mintel group Ltd is selected
which is a privately owned, London based market research firm. This organisation is planning on
providing training session to its staff members on importance of professional development. This
project includes different type of documents which can be used to present the confirmation and
different type of formats are also discussed. It also includes the pursue, content and style of
reports and different types of technology also form part of this assignment. At last format,
structure and layout of documents are also included in this report.
TASK 1
AC 1.1 Different type of documents
Business environment is very dynamic and keeps on changing,it is triggered by both
internal factors and external factors which effects growth and survival of business. To survive in
this impulsive environment every organisation need to make some extra efforts and the best way
to counter these changes is implementing training and professional development process.
Professional development is important for every business as it ensures continue improvement
and development and make employees competent in their profession or job, thus make them able
to efficiently handle the current challenges. Mintel group Ltd is also planing to provide its
workforce training about the importance of performance development (Chang, 2016). To present
this information use of different types of document can be made which are explained below:
Printed documents
this type of document provide information in a written or printed form which makes it
easy to mark important information and it is also easier to read.
Notice – it is a printed or written announcement used to provide information to a large
number of people about any changes that has happened or is about to happen to.

Letters – a letter is a written or printed message conveyed from one person to another to
communicate important information and also provide a physical evidence and record of
information.
Electronic document
it present or record data in electronic form through making use of computer and other
electronic device (Charter, 2017).
Word document – it is word processor used as a productivity application for creating
professional quality documents, letters, reports, etc. and provide features like spell and
grammar check, advanced page layout, text and font formatting, etc. Power Point – it is type of presentation program which includes a collection of
individual slides that contain information about different topics. It provide a complete
graphic package which includes everything (outlining, drawing, graphing, etc.) to create a
professional presentation.
Formal document
these documents are mainly designed for business purpose and make use of only formal
words and language for communicating any information.
Memo – it is a short message of one page or less used to communicate or convey
thoughts, reaction and opinions. Agenda – it provide information about this needed to done and generally it represents a
list of topics that are to be discussed in a meeting (Deasy and et. Al, 2016).
Informal document
these are used to communicate information in a more casual way and thus does not make
use of any official communication channel.
Email – it is used to distribute a message or information by electronic means from one
computer user to other user or receptionist through using a network.
Fax- it is a telephonic transmission of acned printed material to a telephone number
associated with a printer or output device for easily communicating information
(Erasmus, Strydom and Rudansky-Kloppers, 2016).
Electronic form of document is most suitable for Mintel group Ltd as it provide use of
best graphics and templates for communicating information. Power point presentation provide
most creative and attractive way of presenting information by making use of image, pictures,

animations which are most effective in providing information and explaining importance of
professional development. Electronic mode can also be used to provide information to staff
regarding the on going training as it is having a wide reach.
AC 1.2 Different formats
Information of documents can be presented in many forms like in form of text, numbers,
etc. some of these formats of that could be used to present information of documents are
explained below:
Text – Under this format information is presented in form of theoretical data through
using alphabets and letters which conveys a set of meaning or knowledge to the person who
examines.
Number – It represent data in numerical form or represent information as arithmetical
value or as quantity or amount (Georgescu and Popescul, 2015).
Graphics – It represent data in visual or statistical form through making use of various
graphs, images and also present data in tabular form for effective presentation.
Charts – Under this format data is represented by symbols or diagrams like bar charts,
line charts, pie charts, etc.
Mintel group Ltd should make use of charts as it provide better understanding of data
and also helps in developing and explaining relationship between different concepts. It provide a
better visualisation of information in more attractive way which creates a long lasting impact on
the mind of leaner.

AC 2.1 Report
It is a written document preprepared to focus on a particular content or subject for better
planning and timely completion of task. A report is prepared by Mintel group Ltd for the
purpose of providing training to its staff which cover following points:
Purpose – The purpose of Mintel group Ltd behind making this report or documentation
is to provide training to its staff regarding the importance of professional development.
Content – it represent the text matter of a document. The content of this report is based
on role and importance of professional development in addressing and meeting the dynamic
changes of business environment (Hillary, 2017).

Style – use of formal writing style is made to prepare this report in a more concise form
and to provide precise detail about the topic without using flowery language.

The content of this report prepared by Mintel group Ltd is based on importance of
professional development which is explained in detail below:
Professional development – it is process implemented by an organisation for improving
and increasing capabilities of staff and workforce through providing educational and training
opportunities with in the organisation premises. Professional development is very useful in
maintaining morale of staff thus, improve their efficiency and performances.

it helps in keeping pace with current standards of operational level and thus, helpful in
meeting the challenges of dynamic business environment.
maintain and enhance the knowledge and skills of workforce and staff and ensure better

way, skills and possibilities of performing a task.
Provide more competitive advantage through advancement and improvement of
knowledge and technology within an organization and individuals development (Kolk,
2016).
AC 2.3 Different types of technology
Technology means practical use of scientific knowledge through using different
techniques, methods and process. Technology provide easy way for performing a complex task
through making use of different software and processor. Mintel group Ltd is also needs to make
use of different type of technology for proper presentation and preparation of its documents,
some of these technology are explained below:
Computer software – it is a set of instructions that tells a computer how to perform a task. There
are two main types of computer software :
System software – it include programs that are designed to manage computer itself like
operating system and they are responsible or managing computer hardware.

task. It is a program designed for cresting documents, spreadsheets, database, etc.

3.1) Format of document
The format of different types of documents of explained below:
Notice – format of notice include following aspects -name of the institution/issuing
authority, notice title, date and writer's name with designation. A notice must have a attractive
look to gather attention of staff, therefore most suitable format for this is graphical presentation
of data.
Power Point –it includes data in form of different slides. It can be used for textual
presentation or graphical presentation but mainly graphical presentation is used for effective
representation of data in form of different picture and images.
Memo – format of memo includes date line, subject line and actual body of message and
it is mainly in textual format presenting data in theoretical way (Lee, 2017).
3.2) Structure and layout of document
Notice – a standard structure or layout of notice have name of institution at the top. After
that “NOTICE” word is written, afterwards information of title or subject of event is written.
After that main body or content of notice is written in detail to provide all relevant information.
A notice is incomplete without signature of authorized person also includes name and
designation of authorised party.
Power Point it includes slides layout containing formatting, positioning and
placeholder boxes appears on every slide. Placeholders are dotted lines containers on slide layout

in which content, little, text, smart graphs, clip art, videos, etc. are placed. Power point
presentation layout also contain fonts, colours, background effects of slide which are used for
making it more effective and attractive (Prajogo, 2016) ..
Memo – layout and structure of memo is divide into many segments , first segment is
heading segment which includes readers name and job title, current date and subject of memo.
Second segment is opening segment which usually includes opening paragraph and purpose of
memo. In next segment context of event, circumstances or background of problem are discussed.
4th segment is task segment which is considered as essential portion of memo where task
statement is described. After that summary segment and discussion segments are included which
is the ,longest part of a memo. At last closing segment is included that sates actions which you
want to convey to your reader and learner (Raziq and Maulabakhsh, 2015).
3.3 Presentation of documents
