Introduction
Business information system deals with the storing, processing and analyzing data fr
improving the business (Laudon and Laudon 2015). Pass IT is driving school organization,
which provides the learning services of vehicles. The lessons provided by the school are the
standard, Pass plus and Test preparations for the final tests. The school wants to implement
turnaround methodology for making decisions in order to control damages. The company is
collecting data from the customers which they are not aware how to utilize that data. The report
discusses the critical analysis of the requirements of the new changes in the system. The major
changes are the selecting the methodology for collecting and processing the data. Currently the
Excel and paper work are used for collecting data. It is discussed and explained that how it will
boost the business if the Access is used for business management. In the later sections of the
report, the benefits of Access, data collection and data analysis has been explained.
Question 1
The past decisions for the business of Pass IT has went wrong and resulted in
underperforming compared to the current market. The Turnaround strategy is the strategy where
these past mistakes are corrected before they can cause any major harm to the business (Santana,
Valle and Galan 2017). Currently the company stores their data on excel sheets and hard copies
as record sheets. However, using the hard copies should not be the valid storing techniques for
any business in present time. Whereas, Excel is an easy and good software for charts, analytics
and displaying data, not in managing data (Anderson et al. 2020). On other hand MS Access is
pure database management system with a better graphical user interface. It has variety of
analytical tools and management tool (Coronel and Morris 2016). The company must switch

their data collecting platform from Excel to MS Access. The major reasons why the company
should switch to the Access are mentioned and discussed below:
Accessibility: In a business organization, the data are processed and compiled from different
sources. In the case of Pass IT, the data is collected by the driving school from the student and
instructor. The instructor records the students’ progress and whereas the student and instructor
both provides their information to the school which will get recorded (Nelson and Nelson 2014).
It is obvious that generally more than one type of access will be required for implementing,
viewing or updating. In excel the accessibility cannot be defined, as the data can be changed by
anyone who has the file. On the other hand, Access provides multiple user access. In terms of the
Accessibility, the database management system software also provides the easy access of data in
the forms of query and reports.
Storage capabilities with high Accuracy: Excel suffers the performance issues and
management issues when it comes to the large size data. It can be distributed over several excel
files. However that becomes confusing for finding some particular information. Also, entry and
editing error are likely to be possible in the excel sheets. Access does not have these limitations
and performances (Kim et al. 2016). Large data queries or management can be done in Access in
less than a second. The data saved in a database is more accurate as the databases has data
integrity property. The data are structured in a relation hence, the data cannot accept incorrect
values. Also using validation techniques the invalid data such as spelling mistakes or typing
mistakes are not allowed at the time of entry in a database (Gómez-López, Gasca and Pérez-
Álvarez 2015).
Compatibility: The Access is compatible with almost all the data analytical and management
tools or software along with the Excel. In this case of Pass IT, the excel data can be loaded into

the access database with one click. Also the saved tables in a database can be exported into excel
spreadsheets (Cellary, Morzy and Gelenbe 2014). Also the databases are highly scalable to other
tools where the automated tasks can be used for reducing redundancies.
Efficient and Easy: The data retrieval process and report viewing is far better in the Access than
Excel. Excel is good in displaying the raw data along with some processing. Whereas the Access
can be used for implementing customized queries and report which is more efficient in nature.
Access has the versatility in terms of customization and management.
Question 2
Data analysis is an integral part of the business intelligence where the data is arranged
using numbers and facts. The approach finds out the more details or data storing, accessing and
retrieval. It provides a boost to the current business processes (Larson and Chang 2016). The
reasons why the company Pass IT needs to be involve with the data analysis part are mentioned
and discussed below:
Target Audience: Using the data analysis, Pass IT driving school can target its audience, hence;
the promotions or any business decisions can be made by keeping the audiences in mind. It also
helps in choosing the methods of advertising the services, with minimum costs. It provides a
direction to the business in the present market (Burns, Bush and Sinha 2014).
Predict customer trends and behaviors: The data can be used in knowing the customer
preferences and behaviors over any service. Once a business can understand that what their
services impact on the customer, it can be customized according to the usability of the customer.
The trends gets change faster than the technology in the present time (Haben, Singleton and

Grindrod 2015). It is the data which can tell that what the people are liking or not liking. The
potential customers and their preferences are also essential for the company.
Improving Business Productivity: Data analysis provides the framework to know the operating
cost, expenditure, revenue and performance of the company. It can help in knowing the status of
the company in the current market along with problem domains. According the stats, problems
can be identified and resolved in order to eliminate the trouble in business processes. Also it
helps in cutting off the unnecessary costs op operation for the company.
Decision making: Any business already possess raw data to operate before any decision making
through data analysis. However, the collected data can be processed and the problem domain can
be identified (Ingram et al. 2015). Analyzing the processed data, decisions can be made by the
leaders of the organization. The decisions can be about revenue, expenditures, cost cutting
calculations, removal of gaps and loops in the process. The analytical tools helps in processing
the raw data. Access and excel are the one kind of analytical tools.
Question 3
The data collected by the Pass IT Company from the customers are the primary data
which are the personal information and engagement data of the user with the company. The
personal data are the name, address, contact, email, sex, age etc. of the students and the
instructors which are the main customer of the company. The data can be linked with the other
information of the user with the company in order to arrange the data. The engagement data
represents how the user interacts with each other or with the company. The engagement data is
the schedules of the learning classes and the students’ performance records which are being
stored. The behavioral data is another one kind of data which can be obtained by analysis the

customers’ transactions details, their preferences and usage of the services. Currently the main
sources of the data are the instructors and the students of the Pass IT driving school.
The reason behind all of these data collection is to analyze the data in terms of obtaining
the system goals in a more efficient way. It helps in knowing that where the company stands in
the market. It makes the approach and identification of the problems so much easier that saves
the time. The leaders of the company relies on the data for improving their business process. In
case of Pass IT, it has been shown that the almost all the students acquire the classes for one to
two hours max. It clears the process of scheduling classes for students and instructors both.
According to the data the company was able to make strategies for their class enrolments. Apart
from that the data allows the leaders of the company to personalize the system for their users
which results in higher rates of user satisfactions.
Conclusion
Pass IT basically depends on the hard paper work and excel sheets in present. The
company requires strong analytical reasons for implementing turnaround approach to make
things better. The benefits and the advantages of the Access database over conventional methods
of storing data in excel sheets have been highlighted and explained. In the second part of the
discussion, the data analysis has been explained as a major functions of the business information
systems. The access and excel both contains the analytical abilities. However, the limitations of
the Excel has proved that the system must switch to the proper business management
methodologies. On other hand, the compatibility of the Excel and Access are great together as
both the import and export are possible for the access. Lastly the report has successfully

discussed the current type of data collections from the customers by the company and why it is
necessary in the fields of data analysis.
