INTRODUCTION
Information Technology is the system for storing, retrieving, processing the data to
convert it into information in the context of business enterprise (Business Information
technology systems. 2018). Information Technology has now merged as a need in every business
organization. With the help of this time, resources, systems are organized in a proper manner so
as to achieve it's goal. The company here taken is JS supermarket which is a small store of
grocery in UK. The effective use if IT systems are explained in the context of this store so that its
employees will be trained to adopt the skills related to IT. In this report, role of different IT
systems in support of organizational objectives are explained. Apart from that, flexible and
reliable IT systems and value added changes through IT systems are also explained in this report.
In the end, practical IT system solution to given organizational scenario are also explained.
TASK 1
1.1 Use of IT systems with different functions of organization
There are many departments in an organization where use of IT systems affect its
operation in a positive way. With the help of this, organization can effectively manage its
resources and operations. The role of IT systems in the different departments of organization are
as follows:
Production department:
This department is responsible in the management of production that how much quantity
of goods and services are required in an organization to produce (Alstone, 2015). In the context
of JS supermarket, this department has the role of managing the groceries by calculating the
requirement of a product which are frequently used by customers. To manage this system IT
systems are available which help in managing the products effectively. The IT system required to
manage the production is Clarizen. This software help the store in cutting the cost of inventory
so that products can be sold at minimum cost.
Research and development department:
It is the department in an organization to research and develop the product so that
strategies of rivals and new trends can be adopted easily. This management of an organization
also helps in fulfilling the requirement of its customers. In the context of JS supermarket,
research and development of product is done on the basis of requirement of customers which are

required by them usually. The software which should be used to research and develop the
product by JS supermarket is Master control. This software help the store in availing the new
products and services for it's customers.
Marketing:
It is the concept where the product and services offered by an organization is advertised
so that customers are aware of that (Gershenson, 2015). It is an essential tool for a company
because this help them in growing their business. In the context of JS supermarket, marketing
help them in availing their services to the customers so that they will be eager to purchase the
goods. Marketing should be done in a way that it will attract the customer to the premise of JS
supermarket. The software which is required to advertise the products and services offered by
store is Marketo. This software help the store in advertising through social media and
telecommunication.
1.2 Contribution of IT systems to the achievement of objectives
The contribution of IT system in the achievement of objective in organization is vast. The
objective of JS supermarket is to provide integration among the computers in different
departments and training of employees so that they can effectively use the skills of IT. IT plays a
significant role in every department of an organization. Thus its contribution to achieve the
objective of JS supermarket is as follows:
Process Improvement:
Process within organization is the step by step management of system so that different
department will work together to achieve the goal of organization (Kammen, 2015). In the
context of JS store, different department does not have integration among themselves. With the
help of ERP(Enterprise Resource Planning) the integration among different department can be
maintained with just a software. Thus improving the process management within store. This help
the store in monitoring and maintaining cost, sales and different aspects so as to achieve its
objective.
Competitive advantage:
With the use of IT systems, process improvement, cost efficiency and development of
product help the organization in gaining competitive advantage among its rivals. In the context
of JS store, by adopting different IT systems different section will improve their efficiency to

work, process and management. With the help of this improvement, store will get competitive
advantage from its rivals and thus achieve the objective of firm.

particular sector. In the context of JS supermarket, knowledge management helps in centralising
the data of different departments and thus data can be accessed . This will help the store in
adopting efficient skills to IT by which its working will improve. The software used in
knowledge management is Bitrix24. This software helps in storing and accessing the information
from any where and through any device.
Customer relationship management:
Customer relationship management is an art of managing the relationship with customer
so that the image of store will attract them to their premise. It is necessary because customer
always visits a store where it feels to be important for the company. In the context of JS
supermarket, it has to store the information of customers which are frequent buyers. They should
provide customers discounts and membership so that they will be attracted to the store. The
membership of store will allow the customer to feel important for the store. The software used in
customer relationship is Nimble. Hardware and Software products are produced to store the data
through Nimble. This will help the store in bringing together the contacts, communication and
collaboration in a single platform. Thus relationship with customers can be managed effectively.
Data management:
It is the art of managing the data so that it will be used as a information in achieving the
business objectives (Greenberg, 2017). When data is processed to information, it is known as
data management. By managing data any organization can easily find the required information so
that the decisions can be taken within time and accurately. In the context of JS supermarket, the
data of customers who are regular client of store should be gathered so that when it comes to

allow discount to them it will be easier for the store to retrieve information. This information will
be used to make them special for the store and thus increase in sales. There are many software
which are used in management of data such as oracle database management system. In this
software, the data can stored through attributes and keys and retrieved by just applying the query
of what is required from the database. With the help of this, store will be able to save time, cost
and manage the resources efficiently.
Communication management:
Communication is the art of sending or receiving messages through different channels
such as email, voice, written etc. (Kavanagh, 2017). The management of communication is
necessary in the context of every organization to achieve the target and objectives. This effective
communication help the company in maintaining good relationship with customers and
stakeholders so that the faith of them will get stronger on the company. In the context of JS
supermarket, The communication among the manager of store and customers should be polite
and gentle enough to make the customer feel good about the image of store. In increasing the
business communication plays an important role. It entails an automated process that involves
not only the delivery of communication but also the segmentation of messages according to
different customer profiles .

of effective IT systems help in achieving the objectives and targets of organization. The use of IT
in different departments of organization has makes it important to reduce complexity of work
and integrate all the departments with one another. With the help of this, a company is able to
reduce it's cost of using resources and expanding it's business. The use of IT in value added
changes are as follows:
Training:
It is a short term program used to provide essential skills to the employees (Johnson,
2017). In training process an employee is trained according to the desires of organization which
help it in increasing it's productivity and efficiency. Training program also emphasises on

understanding of new technology and recent trends so that an employee will update its skills
according to the need of market. In the context of JS supermarket, each employee is required
effective training process of using IT skills so that they will manage the resources and supply and
demand of products. With the help of these IT skills every employee is capable of applying

also uses more resources. Therefore to cut the cost and resources, employee should provide

related issues. The storage will be based on cloud in which other company is reliable to store the
data of others. This company also provides the data security and manipulation of data. The
solution to this problem is as follows:
Security
It is the important aspect of Information Technology because online fraud has also
increases as the use of IT increase in organizations (Liggins, Hall, 2017). Therefore the problems
and their solutions to IT are explained below:
Loss of data:
The loss of data can be done through any type such as delete, update and theft of data.
This is a serious issue in JS supermarket which is using IT systems. The solution to this is that
the store has to store a copy of important data so that in case of lost that copy will help in
availing that data again. The copy of data can be done in secondary storage devices such as DVD
or pen drives.
Logical and physical security:
This is also an important issue relating to IT systems. In this problem data can be
accessed by any intruder which is not an authorized person to access in JS supermarket.
Therefore in order to provide solution to secure data, authentication is required by system before
using it. The authorized person can only access the data by applying the password.
