INTRODUCTION
Information Technology systems is a broad concept of managing and processing the
information in the context of large organizations or company (Business Information Technology
Systems. 2018). The use of IT has increased in almost all the fields of an organization. Therefore
influence of it has made it more necessary to adopt in every organization. The company here
taken is JS supermarket in which use of IT is explained to all the staff members to connect the
computers in different departments though an IT consultancy company Risual.. In this report,
role of different IT systems in different departments of organization is explained. After that
flexible and reliable IT systems that respond to organizational requirements are also explained.
Use of IT systems in support of value added change in organization is evaluated. In the end,
Practical IT solutions for given organizational scenarios are also explained in this report.
TASK 1
1.1 Use of IT systems with different functions of an organization
Use of IT systems has increased a lot in recent time in almost every department of an
organization. In JS supermarket, employees have to be trained so that they can use computer
systems to connect every department with each other. This will help them in coordinating and
reducing duplicating data entries and retrieval. The uses of IT systems in different departments
of organization are as follows:
Marketing:
This department is responsible in advertising the products and services of any
organization (Hall, 2015). In JS supermarket, IT systems help them in coordinating with the
demand and supply department so that they can identify the need of customer. The software
which are used in marketing can be of many types but most commonly used software is Marketo
which help in advertising through social media and telecommunication.
Operations:
In this department, operations of JS supermarket is looked upon IT systems. This
department help production department in maintaining the demand supply according to the
market need. This reduces the cost of inventory by which JS supermarket can stand among its
rivals. The software that can be used in this department is Proggio. This software will help JS
supermarket to coordinate with other department easily.

1.2 Contribution of IT systems to the achievement of objective
IT systems are must to use in every company because of its wide variety of contribution
in the achievement of objective. It helps in many ways like through saving time, cost and
accuracy of it. The contribution of IT systems in the achievement of objective in JS store is as
follows:
Competitive advantage:
The use of IT systems in the organization will increase the working efficiency and
accuracy (Hashem and et. al., 2015). The work can be done with no time and the calculation can
also be done with accuracy and quickly. This helps them in taking competitive advantage among
the rivals of JS supermarket. The IT system which is used in JS supermarket is Marg which helps
them in working efficiently and accurately.
Process improvement:
The software like ERP (Enterprise resource planning) is used in organizations to improve
the process within different departments of organization. This software help the store in
maintaining integration among different departmental so that they can work by implementing
coordination among themselves. This way IT helps in improving the processing of store.
TASK 2
Different ways IT systems by storing and processing of data for knowledge management,
customer relationship management, data management and communication management
Knowledge management:
It is an IT system which is used to store and retrieve data to collaborate an manage the
knowledge management process (Price, 2016). The software which can be used in knowledge
management process is Bitrix24. This software helps in integration of information by storing and
accessing it through any device. This system has its influence in almost all the departments of an
organization so it is difficult to restrict this technology in a particular area of firm. This
management process helps the store in efficient skills to IT so that it will improve its working in
every department.
Customer relationship management:
Customer relationship is a necessary attribute to the development of any firm. The
relationship with customers can be increased with the help of Nimble. Contacts of customers are

stored in this software with the details of goods purchased. This will help the store in
communicating with its frequent customers to improve relationship with them. When a firm gets
involved itself in fulfilling the requirement of a customer than it will move on the path of
success. In case of JS supermarket, company has to improve relationship with its customer so
that their customer will feel important themselves to the organization. This technique helps the
store to attract the customers to its premise.
Data management:
The process of converting raw data into information is known as data management
(Shanks, 2016). The data in JS supermarket is about the purchasing of customers, data of human
resource, data of supply and demand. The IT system which helps in the management of data is
MYSQL in which data is stored and retrieved in the form of an attribute. Keys are generated with
the help of which an attribute is placed to find the desired result. All this data should be managed
properly so that when information is required it will not possess any problem. The case which
can be assumed in this scenario is that when information of frequent buyers is required than there
should not be delay in the processing of data to information.
Communication Management:
Communication is another important aspect of development in any organization (Ptak,
Schragenheim, 2016). There should be effective communication among the different
departments, employees seniors, juniors etc. so that they can manage things more accurately and
transparently. The IT systems which can be used in effective communication can be Skype. This
software stores the information of contacts by which store can communicate with its other
departments. The effective communication increases transparency in every problem thus
confusion will not remain hence it produce an accurate result. In case of JS supermarket,
communication among different departments and employees should be good enough so that it
will not affect the working of organization.

Evaluation of IT system that can be used to support value-added changes for improving business
operations, performance and sustainability.
The use of IT has expanded in every organization. IT has now been used from a small
grocery store to a giant retail company. This use of IT has supported value added changes in

improving business operations, performance and stability. The use of IT has added the
integration among different department so that they are able to work with coordination among
themselves. This coordination will help them to survive among the rivals of JS supermarket. The
value added changes in JS supermarket with the help of Information Technology is as follows:
Customer experience:
It is one of the important value added change in organization by implementing IT systems
into it (Srivastava, 2015). When customers order their product online, it will help them in online
tracking of their product, communication with customer care representative so that any issue can
be discussed regrading that product. The quick delivery of product will help the store to improve
the experience of customer. When customer experience increases, the chances of performance
and sustainability will also increases. The online tracking of logistics is done through
GPS(Global positioning service) which locates the product.
Integration:
When IT is used in different organizations than the collaboration among the departments
will also increase. This collaboration help in reducing the redundancy and will motivate to work
efficiently and properly. This enhance the organization to improve its operations, performance
and sustainability. The store can use a common server to communicate with each other so that
they will combine to work for the store.
TASK 4
Practical IT system solution for organizational scenarios that cover a range of business problems
in workplace.
As the use of IT has a lot in every department of an organization, therefore there are some
problems also which occurs in IT (Williams, 2015). The problems with solutions to the three
different organization are stated as follows:
Banking industry:
The banking industry is one of the most affected industry in which use of IT has
expanded very much. The bank in which problems along with solutions are going to discuss is
Standard Chartered Bank. This bank is a multinational Bank having its headquarter in London,
England. This bank has operates its 1200 branches across 70 countries. Therefore due to large

scope of operations bank has to store its data at a single server so that it can provide information
through its single channel. The problems with solution are stated below:
Security:
It is one of the biggest issues with bank. The problems with solutions related to security
are stated here as under:
Threat of intruder:
This is the biggest threat in banking sector in which an intruder can steal the important
and confidential data so that it can benefit itself (Rana, 2015). The threat of intruder can
overcome by using security features like authentication and authorization. By using this solution,
an authorized person can only enter the computer of bank having permission to open it.
Loss of data:
Loss of data is another security threat for bank. A virus can corrupt the data present in the
system of bank, therefore to secure that data, updated antivirus software should be used so that it
will scan any infected file within system and crush it.
Lack of IT resources:
When IT is used its security features should also be used by any industry. The security
features also necessary for bank because of securing their network from entering the hacker or
intruder. The industry should include firewall, antivirus, logical and physical security to save
their data.
Storage:
It is also a serious issue with bank to store data on cloud. The problems with solutions are
stated here as below:
Threat of security:
Data of bank is saved on the server of other company which is responsible in maintaining
the security, integrity and management of data (Dwivedi, 2015). If company is not guarantee
about the security of data than bank should not save its data to that company. Bank has to clarify
with its service providers to ensure the security of data which is must for the operation of bank.
Confidentiality:
Due to mismanagement of data, the database of bank can be accessed by any person
(Verdouw, 2017). This will leak the confidential data of bank. Therefore it has to hire a storage

Since Standard Chartered Bank is a banking industry therefore the speed of accession of
data should be good enough so that it will not take too much time to fetch the data. The access
speed of data depends upon the speed of server of company having data. Therefore, bank has to
confirm from its service provider to maintain the speed of accession of data.Database
Management
It is an art of management of database so that it will be fetched an retrieved without any
hindrance. The problem of database management with its solution is given below:
Growing complexity:
When database of bank is growing than it would be difficult for it to manage this data.
The problem could be how the data should be managed. The solution to this problem is available
in the Information Technology industry. The database can be relational, columnar, object-
oriented and No SQL database. These are the options available to the IT manager to rectify the
problem of complexity.
Workload on hard resources:
The workload while processing the information should be less so that the data can
accessed by the user without investing too much time. The solution to this problem is that the
hardware should be checked before installation to bear the maximum load. This will help the
bank in maintaining the hardware requirement of accession of speed.
CONCLUSION
In this report it can be concluded that use of IT has increased in every industry therefore
companies has to adopt the technology of preventing the data from hackers and intruders. The
use and contribution of IT systems has also increased in almost all industries. Apart from that it
also helps any company to store and process data in different aspects of organization. IT systems
also provide value-added changes to improve operations, performance and sustainability. In the
end, use of IT to provide different solutions to problems related to security and storage has also
explained in this report.
