(a) A Process Model for the Fulfilment Order Process

(Source: created by author)
The figure shows the fulfillment order process, which is followed at Tapzeem
Chemicals. The company has a sales force team consisting of salespeople. The salespeople
take the orders and send them to the credit-control department for a completeness check
process. If the information supplied on the orders is incomplete these are sent back to the
salespersons. The salespersons send it to the client for confirmation on the completeness. In
case, if these orders were from the existing clients these are accepted. Based on the records
they could identify the demands. However, in case the orders are from new clients these face
dual-process behavior. If the previous credit records of the clients are potentially good the

orders are accepted or else rejected. All accepted orders are sent to the warehouse where
packaging and other process takes place. Once the product is ready it is dispatched to the
clients. It is followed by making entries of the sales by the sales ledger clerk. In case, there is
any problem in the packaging and other aspects of the final product, the warehouse
supervisor sends it back to the warehouse. They recheck everything and deliver it back for
cross-checking. Once, the warehouse supervisor is convinced of the packaging the shipment
is delivered to the clients through available modes of logistics.
The above process of product delivery appears simpler to naked eyes; however, it is
indeed complicated. From receiving orders to dispatching the same there is a very minimal
intervention of technology. Technology such as RFID (Radio Frequency Identification) is an
emerging concept that provides high security to the transaction process. It also speeds-up the
process. It helps to track the movement of goods. This technology has now redefined the
competition (Ali and Haseeb 2019).
(b) Four areas in which Tapzeem could improve their Fulfilment Order Process
The fulfillment order process such as one followed at Tapzeem Chemicals can be
improved and made faster by working towards improving the four distinct areas. These areas
are (Ishfaq and Narayanan 2019):
Use of Technology
As discussed in the above section, the use of technology such as RFID can faster the process
and make it more secure. It comes in the forms of barcodes attached to products. The moment
the scanning machine scans the barcode the entire information reaches the concerned
department. It, therefore, provides better monitoring and tracking of the movement of goods.
Now with Blockchain technology quickly becoming a part of the industry the security of the
orders are accepted or else rejected. All accepted orders are sent to the warehouse where

entire process is set to increase. The Blockchain technology automates the process and
communicates each stage of the movement to concerned people sitting at each block of the
Blockchain. It in this way make the movement of goods more secure. It provides security to
the shipment as well as to payment.
Inventory Management
Inventories that get sold faster should be kept at the center of the warehouse. Such an
arrangement is required to avoid more people deployed to picking, packaging and shipping of
goods. Moreover, this also helps to differentiate between the slowest and fastest selling
products. Hence, this will support the appropriate maintenance of the stock. This will also cut
down on the time consumed to pick, pack and dispatch the goods.
Integration between Systems
Integration between a few interrelated systems does not just improve the efficiency to
dispatch the orders quickly but also reduces the possible errors in the mishandling of the
entire dispatch process. To name a few there should be appropriate integration between the
sales order management system, demand forecasting, sales, inventory and logistics. If
applicable all these should be integrated into the ERP system that maintains everything from
forecasting financial data to shipping the orders (Hadi, Alnoor and Abdullah 2018).
Process Automation
Automation does not mean deploying expensive robots at the warehouse facility but rather
using the scanners. These scanners can speed up the movement of goods and make it more
secure provided if RFID technology is in use.

The process model for Southgate Hospital shows that patients can reach their
Accident & Emergency (A&E) Department in two ways. They can either reach by their
transport mode or by the hospitals' ambulance. The severity of cases can be different
depending on the kinds of patients reaching the hospital. Based on the severity level the
nurses will decide which case to deal with first. Based on their diagnosis the nurses will
decide whether to treat or discharge the patient. Some cases can be even critical than the rest.
Such cases are usually sent to the general hospital. It is done to give top quality treatment to
the patients.

Question 3:
(a) The needs for a reengineering process
An organization may need to undergo a reengineering process for various reasons. A
reengineering process may be required to cut down on the operational costs. It may be
required for eliminating unnecessary processes and streamlining the process. It is also helpful
in cases where the operations’ productivity is less efficient. Moreover, it can be used to drive
sales (Mohammed and Hammad 2018).
(b) Explaining the different methods to implement a reengineering process
Listed below are the methods to implement a reengineering process (Hossain 2018):
The Hammer / Champy methodology
It is a fundamental rethinking of business processes to achieve excellent improvements in
critical job areas such as cost, quality and so forth.
Davenport’s and Short’s methodology
It helps to enhance the IT capabilities of a firm and make it supportive of processes such as
change management. It is feasible with traditional management approaches like planning,
directing and so forth.
Process Analysis and Design method (PADM)
The method introduced by the Information Process Group (IPG) as a framework at
Manchester University. It is very useful in certain circumstances.
