implementation of new computerized system will be helpful in efficiently managing the business
operations. The paper discusses all the requirements which will be required for the
implementation of the system and also elaborates the functional and non-functional needs of the

1. Introduction
2. Company description
The paper mainly reflects on “Diamond Video Rentals” which is one of the small
business that is mainly operating within a large country town for around five years. The
organization generally rent different types of videos to its members. It is found that there are
around 5000 members as well as 10,000 videos within the stock of the company. Earlier, the
business of the company grew steadily however in the last few years, the growth in both the
members as well as rentals not occurred.
3. Problem definition
The population of the entire team is growing quite steadily in the last two years and it is
identified that another video store has been opened in the town six month ago which is growing
too much rapidly and it affecting the business of the video rentals. John Vandrine is quite
concerned about the improper growth of the business in the last year and patronage is reflected as
static and it seems to be declining. In addition to this, the complaints from the customer is
enhancing. Moreover, with the advent of the new video related store, John is generally keen for
enhancing the competitiveness of the entire business. Additionally, john has asked different IT
solutions for performing proper investigation for analyzing the benefits of computerizing
different day to day business for the video rental organization.

3.1 Business need
The company has mainly received a request to computerize some of the business needs of
the Dimond video rentals with the aim of making the entire operation of the organization much
more efficient. It is found that with the help of the computerized system, the organization will be
able to reach the customers easily and can be able to solve their queries thus assists in providing
better customer service. In addition to this, the new computerized system will be able to store the
videos and further helps in record keeping which would further helps in boosting sales and helps
in increasing the satisfaction of the customers.

 Facility of auto generated re-shelve video lists which will be helpful in searching the
videos from the database
 Providing the facility of customer support in order to resolved the queries raised by the
customers.

 The facility of training will not be given to the team members after the videos are
released from the system
 No facility of customer access cards, swipe recognition will be given due to lack of
proper amount of budget.

development of the computerized system for handling day to day operations and therefore the
project can face delay.
Hardware constraints: It is found that the hardware of the system needs to be used 24/7
and therefore this will be helpful in producing a lot of heat which requires constant cooling and if
the hardware of the system is not cooled then it can generally damage the hardware of the
system.
3.7 Lists of assumptions
 The IT manager assumed that the development of the computerized system will be done
on object-oriented platform.
 The financial manager makes an assumption according to which the entire progress of the
project gets completed within $30,000.

4.1 Functional requirements
Audit tracking: Within the implemented computerized system, the facility of
performing, managing as well as closing an audit will be provided for properly improving
efficiency as well as for providing information on various aspects.
Reporting requirements: The system generally keeps all the records of the needs
requirements and generally generates sheet as per requirement so that proper services can be
given to the customers.
Administrative functions: It is found that different types of administrative functions
including track on the details of the customers, details of the videos that are delivered as well as
status of the videos can be operated with the help of the system.
4.2 Non-functional requirements
Security: It is found that the computerized system that is implemented helps in providing
proper access control which further prevents unauthorized personnel from entering within the
system. In addition to this, information of the organization will be kept protected.
Maintainability: The developed computerized system generally helps in measuring the
ease as well as speed with the help of which a system can be properly restored for operational
status effectively if any type of failure occurs.

It can be concluded from the entire paper that the development of computerized system
for diamond video rentals will be quite beneficial with the proper aim of making the entire
operation of the organization quite efficient. It is analyzed that with the help of the new system,
the diamond video rentals will be able to solve the issues of the customers and thus assists in
providing better customer service. Furthermore, the paper illustrates both the functional as well
as non-functional needs of the information system. The assumptions as well as constraints that
are made by the project manager during the progress of the entire project are elaborated
